Responsibilities
Process childcare billing for preschool, camp, childcare, swim team, masters, gymnastics and other assigned programs
Responsible for submitting childcare reports to directors timely and efficiently
Responsible for payment and draft updates, vouchers and refunds, third party billing, childcare chargebacks, NSF's and participant communication
Process cancellations and maintain waiting lists for childcare and other programs
Maintain contact with participants, schedule meetings with families on alternative payments and communicate changes with third party vendors
Responsible for summer camp processing including weekly drops for camp, process changes, cancellations and refunds
Ensure licensing requirement packets are complete with licensing payment information. Prepare packet folders for each site based on licensing requirements
Coordinate and collaborate with membership team for draft updates for childcare and programs
Process weekly drops for camp, process changes, cancellations and refunds
Provide tax letters as requested
Ability to sit and type for extended periods of time

Qualifications

Position Summary

Essential Functions
Support the implementation, oversight and management of programmatic services and special initiatives ensuring they align with organizational goals and KPIs.
Serve as a key focal point to coordinate and manage workforce development related programs with excellent project management skills.
Assist in the establishment and/or maintenance of contractual oversight and relationships.
Ensure the completion of enrollment documentation, meet program compliance guidelines, facilitate employment placements, make appropriate community referrals, schedule trainings and information sessions, and conduct participant evaluations.

Collaborate with interdepartmental team members to ensure team-based approach to meet program delivery with integrity and focused on client needs, ensuring the timely delivery of jobseeker support, career, and placement services.
Represent the organization's fiduciary interests, managing systems and operations with financial integrity.
Ensure compliance with SDWP policies and procedures, overseeing the team's understanding and implementation of relevant Operational Issuances.
Identify and address challenges that program participants may face, providing support to help them successfully engage in services and opportunities.

Fundamental Job Requirements

Education and Experience
Equivalent to graduation from a four-year college or university in a related field; including or supplemented by upper division or graduate course work in counseling techniques, interviewing and conflict resolution where such are job-related. The Housing Coordinator plans, compiles, directs, and coordinates housing related activities to include but not limited to: establishing eligibility, completing all associated applications and paperwork required for voucher attainment and leasing, certification, re-certifications, and housing inspections for approximately 50 clients.

ESSENTIAL FUNCTIONS

• Travels throughout the County performing fieldwork and transports clients to visit permanent housing locations and interviews and interacts with vendors to ensure housing payments are made in a timely manner
• Inspects housing units to ensure compliance with established housing standards, assists clients with meeting and maintaining these standards and coordinates required housing inspections
• Provides client advocacy with prospective/current landlords and community supports and educates them to the program
• Provides education workshops for clients on-site, or in the community, to inform clients of information regarding their housing options at least 3 times per fiscal year
• Works closely as a fully integrated member of the ACT team to ensure client needs are being addressed to assist in gaining and maintaining housing goals
• Attends all required provider meetings, acts a liaison with members of the housing industry and other providers
• Provides administrative and programmatic support for the successful operation of the housing subsidy program
• Must utilize all available housing subsidies to house clients who are homeless
• Must manage housings vouchers
• Must maintain access to an array of housing options to include short-term, transitional or permanent supportive housing that may include housing subsidies, in accordance with Title 9, Housing Urban Development (HUD)
• Must ensure non-institutionalized enrolled clients are housed in short-term, transitional, or permanent supportive housing
• Must work with housing technical expert to identify a range of housing opportunities for homeless clients, including but not limited to short-term stays, transitional housing, shared housing, independent living homes, and permanent housing
• Must manage programs subsidizes per policy
• Must support all potentially eligible clients in applying for Housing Choice Voucher Program (Section 8) subsidies with local Housing Commission, and other Housing Authorities in the region. Position must ensure clients have access to permanent supportive housing subsidies administrated by local Housing Authorities
• Must assure members eligible for Housing Authorities subsidies apply, complete eligibility process and be leased up within guidelines
• If employed at Inpatient program, must assist with restraint of members served in the event of assaultive behavior and pass assault crisis/crisis prevention training
• If employed at Outpatient program, must evade members served in the event of assaultive behavior and pass assault crisis/crisis prevention training

QUALIFICATIONS Required:
• Bachelor's Degree and one year of experience providing housing services to clients or Associates Degree in social services field and three (3) years of experience providing housing related services to behavioral health clients or five (5) years of experience providing housing related services to behavioral health clients
• Must understand and apply of Federal, State, and local housing rules and regulations
• Knowledgeable of cultural and socio-economic factors that inform service provision to persons with behavioral health issues
• Must be at least 18 years of age
• Must be CPR, Crisis Prevention Institute (CPI), and First Aid certified on date of employment or within 60 days of employment and maintain current certification throughout employment

Job Summary:
The Health Services Coordinator serves on the health services team supporting the overall operations of the department through a variety of administrative and clinical functions as directed by the Director of Health Services (DHS). The Health Services Coordinator preserves dignity and promotes independence for each resident while providing care and services according to each individual service plan and in accordance with MBK policy and procedure.
Duties & Responsibilities:
Conduct and coordinate assessments / evaluations of potential residents and make recommendations for admission in accordance with current rules, regulations, and community policies and procedures that govern resident assessment.
Draft initial individualized Service Plans and update as needed.
Review service plans with responsible parties and Executive Director as requested by DHS.
Ensure continuity of the assisted living residents' total care regimen.
Under the direction of the DHS, provide training and education as needed on a range of essential topics including competent medication delivery, acceptable treatments, safety protocols, emergency procedures, accurate record, and state requirements to provide the best possible resident care.
Perform all assigned duties accurately and timely including required documentation.
Serve as a medication technician, if needed.
Provide coverage of job duties within the department during absences, either through assistance in finding coverage, or personal completion of duties.
Check vital signs as directed and look for signs that health is deteriorating or improving.
Perform basic nursing functions such as treatments, medication delivery and managing resident emergencies ensuring residents are comfortable, well-fed, and hydrated.
Maintain adequate inventory of resident care supplies and demonstrate a commitment to minimizing waste of supplies and equipment.
Coordinate prescription orders with doctors' offices and manage pharmacy delivery of medications including oversight of the central storage, tracking and delivery of medications, and ensuring Medication Administration Records are completed according to company policy and State regulations.

Provides direct support to instructors during their application, interview, selection, hiring, and scheduling process - with a keen focus on managing the university guidelines for background checks and HR compliance. Provides first-level support for returning instructors scheduled to teach regarding their contracts, room requests, and course and enrollment management issues. Trains instructors in the use of the student information system so they can retrieve their rolls and rosters. Trains instructors in the use of the learning management system and electronic document distribution systems. Responsibilities
Reception & Visitor Management: Serves as the primary point of contact for all visitors to the Front Office including greeting and directing staff, volunteers, and guests, managing front desk security protocols, operating access control systems (e.g. intercom, badges), and notifying staff promptly of guest arrivals.
Phone Response: Answers, screens, and directs all incoming phone calls, responds to general inquiries via phone and email, and serves as a communication backup for branch calls.
Security & Safety Coordination: Follows established procedures for office admittance and access control. Maintains current staff and emergency contact lists, assists with fire and evacuation drills, and immediately reports any security concerns.
Maintains general office operations: Includes receiving, sorting, and distributing incoming mail and packages, and coordinating outgoing shipments.
Y Ambassador: Displays a cursory knowledge of the YMCA of San Diego County's mission, services, programs, and community resources to provide accurate general information to the public.
Inventory & Procurement: Manages and maintains adequate inventory of breakroom and general office supplies. Sources and orders necessary supplies within budgetary guidelines, verifying the accuracy of orders and invoices upon receipt.
Conference Room Management: Schedules and coordinates conference room bookings, ensuring rooms are prepared, organized, and equipped prior to meetings. Supports special meeting needs, including setting up equipment or coordinating catering.
Technology & Digital Support: Provides low-level technical support for basic office systems, staff logins, and digital platforms (e.g., T-Rec, My Community). Assists with minor updates to digital communications or website content as requested.
Marketing Collaboration: Collaborates with Marketing team members to execute a variety of new and ongoing marketing projects, provides regular reporting on assigned marketing projects, and supports other marketing team members as needed.
Office Assistance: Coordinates travel arrangements, organizes meeting logistics, and provides administrative support for office events and projects as needed.

Qualifications
Associate's degree, OR 2+ years' of equivalent related experience required

Licensing, state law and our government funders require that staff within YMCA of San Diego County be fingerprinted, prior to reporting to work, and include subsequent arrest notifications
CPR/AED, and First Aid Certification, must include Adult and Child/Infant, obtained within 30 days of hire and must be from one of the following certifying organizations:
