Role Overview

Job Summary:
Provides management for all aspects of the IEMS graduate student affairs including the admission process, advising, course registration, prospective student visits, data collection and analysis, maintaining student and curriculum records, and coordinating department events. The person in this position markets the program and maintains department information through website maintenance and social media account management. This position acts as a liaison between the IEMS department and other university departments (The Graduate School, McCormick Marketing, International Office, etc.) regarding graduate affairs including facilitation of visa procedures for international students. They also monitor the English-speaking requirements for international students for their appointments as teaching assistants. The Graduate Program Coordinator also plans special events for graduate students, serves as the department liaison with the PhD student INFORMS chapter, work with the faculty Director of Graduate Studies, and updates the department bulletin boards. This position co-supervises work study students and supports the Business Administrator in his or her assigned duties.

Specific Responsibilities:
Administration
* Manages day to day operations of the IEMS graduate program.

* Maintains PhD Program and PhD Travel budget & associated analysis & reports.
* Reviews; ensures approval based on alternatives regarding practice & policy; analyzes and classifies transactions in accordance with established chart or coding of accounts; creates new accounts; prepares, processes, reconciles & provides receipts (as appropriate) for transactions.
* Processes transfer &/or appropriation charges & may balance &/or close accounts.

* Develops plans and arranges meetings, workshops, events, etc. designed to exchange information, promote research objectives, and to build internal and external relationships within NU.
* Ensures that event details including communication, venues, presenters, travel arrangements, materials, refreshments and technology are arranged and completed in an appropriate and timely manner.
Faculty Support
* Provides support to the Director of Graduate Studies and the Director of Graduate Admissions.
* Responds to faculty inquires regarding PhD program policies and student information.
Human Resources
* Ensures human resources programs, policies, & procedures are implemented & consistently applied for IEMS PhD students
* Maintains excellent working relationship with Office of Human Resources.
Program Development
* Manages PhD program/project curriculum, Candidacy Exams, Defenses, Boot Camp, presentations, workshops, learning experiences, chat rooms, websites, social networking, etc. based on goals/objectives.
* Manages academic quality and continued growth and expansion.
* Identifies & obtains external expertise as needed and works with content experts for current and new programs.
* Reviews programs/projects to increase efficiencies to support growth.
* Manages speaker selection, communication, and topic development.

Regulatory Compliance
* Ensures compliance with all necessary organizations.

The Division of Hospital Medicine in the Department of Medicine is seeking a highly motivated and talented administrative professional to join their team as Program Coordinator, (Administrative Associate 3) at Stanford Health Care. This position will report to the Program Manager and will work collaboratively with our faculty Program Directors. The Program Coordinator will manage the complex coordination needs of the Faculty Development Program, Stanford Mentorship and Advancement in Research and Training for Hospital Medicine (SMART-HM), Quality Improvement Program, Health Equity Program, and Division Wellness Program. The candidate must be highly organized, detail oriented, and able to multi-task and work independently under limited supervision.

Duties include:
* Act on behalf of the supervisor, department manager, or chair in regards to establishing priorities and identifying and resolving problems that are administrative in nature.
* Oversee and/or perform duties associated with scheduling, organizing, and operating complex conferences, seminars, and events, including arranging with vendors for services, overseeing the production and distribution of materials, administering logistics, and managing event within budget.
* Compose and draft documents and correspondence for presentations, course handouts, grants, conferences, seminars, and reports; perform substantial editing and fact checking. Create, maintain, modify, and/or ensure accuracy of content in various unit documents, displays, reports, brochures, social media, and/or websites.
* Plan and schedule calendar(s) with limited consultation, resolve calendaring conflicts, and arrange travel in compliance with unit, university, and sponsor policies.
* Create complex reports and spreadsheets which may utilize specialized software and systems.
Oversee and/or process a variety of complex financial transactions; produce, monitor, and reconcile budget statements; research, identify, and resolve discrepancies. May assist with capital or special equipment requests and/or vendor selection.
* Coordinate and monitor routine maintenance services completion. Plan and coordinate office moves and/or minor renovation projects.
* May lead staff or supervise day-to-day work of student and/or temporary workers, including scheduling, assigning, and prioritizing workloads, setting appropriate deadlines, reviewing work for quality and timeliness, and providing performance review input.

Position Summary:
This human services position is office-based and will work closely with Erie County Department of Social Services (ECDSS) Case workers to receive referrals for individuals mandated to attend parenting education through EPIC. The Coordinator will enroll participants in FIT (Families in Transition) virtual workshops, and serve as an accountability coach working with participants to prepare them for the sessions, ensure their attendance and be in the class as an observer, to create billable notes regarding the referred parent/guardian/caregiver. The Coordinator follows up individually, by video or office visit, to recap the class, discuss how learnings from the class will be implemented, and additional role-playing of the parenting strategies learned.
Essential Functions:
Work directly with Erie County Department of Social Services to obtain referrals and promote parent training opportunities. Cultivate relationships with Child Protective Services (CPS) and Children's Services (CS) to increase referrals. Cultivate independent community outreach to source referrals.
Enroll referred participants to appropriate parenting education groups.
Work very closely with internal FIT Coordinator to organize materials/paperwork.
Guide participants in EPIC programs which includes conducting initial conversation, communicating program content and dates, sending parenting materials to participants, reminders of workshop dates/times.
Attend workshops as an observer and monitor participants in EPIC programs.
Ensure completion of required case paperwork.

Position Overview
We're hiring a Dementia Program Coordinator to support caregivers through the full enrollment process into the GUIDE program. This role bridges the gap between initial caregiver interest and active participation in the program.
You will coordinate logistics, ensure compliance with Medicare/CMS requirements, and provide warm, empathetic communication to caregivers during a sensitive and often emotional time.
This is a high-touch, high-impact role that combines organization, service, and heart.
Key Responsibilities
Serve as the main point of contact for caregivers once they agree to enroll in the GUIDE program.
Guide caregivers through the entire application and enrollment process.
Coordinate shipment and setup of program tablets and provide mini-training on their use.
Liaise with neurology partners to schedule and confirm formal diagnoses as required by CMS.

Current, valid, unrestricted counseling license/certification from a State, D.C., a U.S. Commonwealth, or a U.S. Territory that grants the authority to provide counseling services as an independent practitioner in their respective fields.
Demonstrated counseling competence preceding their agreement to perform under the Military contract.
Counselors will pass criminal history, fingerprint, and credential review/verification meeting at least the requirements of DODI 1402.05, and successfully passed a DoD-initiated Tier 1 Suitability Investigation. Must be a US Citizen and fluent English speaker.
