Hill is hiring a Project Administrator FDOT CEI experience to join our team in Orlando / Jacksonville, Florida.
Responsibilities



A Civil Engineering degree or related PE License in Florida plus two (5) years of engineering experience in construction of major road or bridge structures, or for non-degreed personnel eight (8) years of responsible and related engineering experience, two (2) years of which involved construction of major road or bridge structures. FDOT Advanced MOT CTQP Final Estimates Level II CTQP Quality Control Manager Full Covid-19 vaccination is recommended. Mandatory vaccinations are subject to client requirements.



Qualifications



To be in primary control the Deputy Area Manager must have supervised two or more projects as well as two or more support staff (Office Manager, Compliance Officer, and Secretary) and Inspector, must have been directly responsible for all CEI / FDOT services assigned. Directs and assigns specific tasks to inspectors and assists in all phases of the construction project. Will be responsible for the progress and final estimates throughout the construction project duration.

Under direct supervision, this position is responsible for routine project documentation, materials, job costing, status monitoring, invoicing, and administrative closeout of each project. This position is required to closely interact with Project Managers, Account Managers and other assigned project staff to ensure the timely completion of each project.
Responsibilities include the following and other duties may be assigned:

Responsible for general administrative functions to support the equipment fulfillment process. Assists with ordering all bill of material associated with projects. Obtains all bill of materials, estimated ship dates and updates appropriate schedules. Assists with updating customers on estimated ship dates. Process documents for service claims sales allowances, retrofit, and labor warranty. Assist with processing all job closeout documentation.



Qualifications:


High School diploma or GED and up to two (2) years of related experience and/ or training; or equivalent combination of education and experience. Must have strong communication skills, proactive approach with willingness to work independently as well as part of a team. Ability to multitask and work well on a team Proven experience prioritizing tasks in order to meet tight deadlines within a high-paced environment. Familiarity with the operation of HVAC Systems preferred, not required. Flexibility to work overtime, as required.


Base Pay Range: $45,000 - $70,000 / year

This base pay range is based on US national averages. Actual base pay could be a result of seniority, merit, geographic location where the work is performed.

Provide project support to the corporate engineering and asset management team including, but not limited to, managing project budgeting, scheduling and tracking; submitting purchase requisitions and contract requests; managing invoicing and project reporting; assisting with RFPs; managing vendor relationships; assisting with data management for various initiatives; helping with presentations; providing administrative support as needed; and performing other duties as may be requested.
Responsibilities:



Manage project schedules, address any delays with engineering leads and vendors as necessary, coordinate project meetings, set appointments, coordinate travel, organize property meetings, distribute enterprise facility communications and provide related support. Manage project-related paperwork and invoicing by ensuring all necessary materials are current, properly filed and stored. Maintain project portfolio reporting of schedules, budgets and cashflow. Handle ordering responsibilities, purchase requests, contract requests and other related duties for department-managed capital projects and professional service engagements. Compile data and prepare reports for tracking projects, executive reviews with properties and presentations. Track project costs and ensure project data is accurate and current by coordinating with project engineering leads. Liaise with capital assets, accounts payable and sourcing groups as needed. Provide support with data management, including manual data entry that may be required for permit tracking and compliance. Create and manage a database of property attributes such as conditioned area, room count, parking, roof dimensions and other attributes needed for management of R&M expenses and utility spend normalization. Qualifications:


Education and Experience:


5+ years equivalent work experience. Prior project coordination experience (preferably in an engineering/facilities/construction environment) highly preferred


Skills and Abilities:


Strong computer skills (MS products; strong Excel skills a must) Strong organizational and multi-tasking skills Ability to make decisions and complete assignments with minimal oversight Good communication (oral and written) and interpersonal skills capable of maintaining strong relationships Database experience a plus



Work Environment



Office environment. Some work on property sites in back-of-house locations (e.g. engineering shops, conference rooms and similar locations). Some travel may be required.
