WHAT YOU'LL DO
This role is designed to support leadership, improve operational efficiency, and manage day-to-day administrative and coordination tasks. Responsibilities may include:
Accounting & Financial Support
Assist with accounts payable and receivable
Organize and track vendor invoices and documentation (including W-9s)
Support budgeting, expense tracking, and financial reporting
Coordinate with accounting partners (CPA/bookkeeper)
Assist with construction draw tracking and reimbursement documentation
Administrative & Operations Support
Maintain organized digital and physical filing systems
Coordinate meetings, scheduling, and calendars for members of the executive team
Track renewals, deadlines, and compliance-related items
Support office operations, inventory, and supplies
Help identify and implement process improvements and efficiencies
Project, Real Estate & Development Support
Assist with property, vendor, and tenant communications
Help organize documentation for development and construction projects
Track project-related documents such as contracts, permits, and invoices
Support due diligence activities for acquisitions and development projects
Assist with assembling materials for lenders, inspectors, or agencies
Training will be provided for industry-specific tasks and systems.

The Opportunity
As the Associate Project Sales Engineer Intern this individual will be responsible for coordinating submittals, equipment selection, pricing and ship dates for each project. Must be detail and customer service oriented and have excellent organizational skills. Position requires a high level of oral and written correspondence with the Sales Team, Customers and Manufacturers to ensure timely completion of assigned projects while maintaining customer satisfaction. Must be able to work well with others in a fast-paced & high-volume environment.
Responsibilities
Create and maintain job files for each project throughout its duration
Optimize the project through the stages of product selection, specifications, plans, estimates, proposals, value engineering and redesigns
Manage multiple projects on an ongoing basis
Communicate with owners, architects, MEP Consultants and General, Mechanical and Electrical Contractors
Organize project related data for order entry
Respond to and track IOM & Submittal requests
Read, understand and interpret building plans & specifications
Develop and grow relationships with customers, contractors, project engineers and manufacturers
Determine project requirements, constraints, and sales team responsibilities to meet all of the customers' system design, installation and maintenance expectations
Investigate concerns, implement corrective action and communicate with customers and co-workers as necessary to maximize customer satisfaction
The Required Profile
Working to obtain a bachelor's degree in engineering or related field
Working knowledge of HVAC, estimating, engineering, construction management or contracting environment
Working knowledge of MEP consulting, architecture, design, CAD, general contracting, mechanical contracting, engineering or construction industry a plus
Strong PC skills in Microsoft Office, including Word, Excel, PowerPoint, and Outlook

JOB SUMMARY:
We are seeking a highly organized and detail-oriented Project Coordinator to join our Project Management team. The Project Coordinator will support multiple Project Managers in delivering projects successfully, acting as the administrative and operational backbone for our department. This role is ideal for someone eager to learn the business end-to-end, while building skills that can lead to a future Project Manager role.
KEY RESPONSIBILITIES:
Support PMs across multiple accounts, ensuring timelines, budgets, and deliverables are tracked and up to date.
Create and manage project documentation including schedules, budgets, purchase orders, change orders, and status reports.
Assist in sourcing and procuring materials and services, including obtaining quotes and managing vendor/subcontractor coordination.
Update and maintain systems such as Salesforce, NetSuite, Smartsheet, and other project management tools.
Partner with design, engineering, and production teams to anticipate challenges and resolve issues proactively.
Coordinate logistics for tradeshow, event, and installation projects, including site schedules and services.
Provide financial administration support including invoice tracking, payment applications, and reporting.
Support on problem solving, solution development, and continuous process improvement initiatives.
QUALIFICATIONS:
Prior coordination experience in commercial construction, specialty fabrication, retail rollouts, large-scale events, or tradeshow environments.
Experience supporting multiple PMs or departments simultaneously.
Familiarity with Salesforce, NetSuite, Smartsheet, Bluebeam, or other project/digital workflow tools.
Exposure to vendor/subcontractor management.
Knowledge of billing systems (e.g., GCPay, SOV management) a plus.
Strong organizational skills with the ability to manage multiple tasks and shifting priorities.
Experience creating and managing project budgets and timelines.
Competence in Excel and other Microsoft Office tools.
Strong documentation and reporting skills with attention to detail.
Basic understanding of production and build methodologies (tradeshow/event builds, fabrication, or permanent installs).
