About the Role
Utilize administrative and technical skills to provide support to assigned brokerage team(s); to help them achieve their business plan goals and objectives each year. Responsible for preparing proposal, presentation and communication materials. Coordinates the distribution of internal and external marketing information.

Key Duties & Responsibilities
Provide administrative and technical support to assigned team as needed.
Accurately prepare building reports, tour books and other correspondence to meet brokers' demands and clients' needs, often under tight time constraints.
Copy, print and bind presentation materials.
Conduct online research.
Create stacking plans in Excel.
Coordinate on/offsite meetings including scheduling appointments, keeping calendars and arranging travel itineraries and meeting room reservations.
Perform accounting functions which may include preparation of expense reports and billings
Complete additional duties and responsibilities as assigned by Office Administrator or Branch Manager.
Qualifications:

Responsibilities
* Process submittal orders in Netsuite by generating box folders, queuing projects, and entering billing and shipping information.
* Manage fast track, OEM, key, and house account orders.
* Assist in responding to emails and completing necessary forms, including finance, LEED, project intake, and product order forms.
* Generate invoices for various projects and clients.
* Assist with overflow Account Management responsibilities as needed.
* Run Excel forecast reports to support project planning and execution.
Essential Skills
* Proficiency in Netsuite with at least 1 year of experience.
* At least 1 year of project coordination experience.
* Bachelor's degree in any field, with a preference for design.

Work Environment
The role is based in a newly renovated Design Experience Center, which serves as a showroom for new and upcoming product lines. The office is located in the same unit as a manufacturing facility in Gilberts, IL, where the estimating and manufacturing team operates. Employees receive 13 holidays and 10 vacation days annually. As part of a company committed to sustainability, you will work with products made of polyethylene terephthalate (PET), containing up to 60% recycled content. The work environment encourages creativity and innovation, with the backing of significant resources from AWI. The position is part of the Account Management group, which focuses on supporting and coordinating projects while maintaining strong client relationships. This opportunity is a 6-month contract, with the potential to extend or become permanent based on performance and business needs.

Support Project Management

Order parts and labor from vendors for warranty work

Review and close out completed work orders, ensuring all details are accurate and all repair work is complete
Generate and submit daily invoices for vendor reimbursements
WHAT YOU SHOULD HAVE:
Prior experience in project coordination or a related role is beneficial
Bachelor's degree preferred in business, communications, or an industry related field
Knowledge of commercial furniture solutions would be an asset
Experience with Microsoft Office, Monday.com, Enterprise resource planning (ERP), and an enthusiasm for learning new software programs
Ability to manage multiple tasks and projects simultaneously without compromising quality or deadlines
Ability to pay close attention to details and ensure accuracy in project documentation and reporting

COMPENSATION AND BENEFITS:
