JOB SUMMARY:
We are seeking a highly organized and detail-oriented Project Coordinator to join our Project Management team. The Project Coordinator will support multiple Project Managers in delivering projects successfully, acting as the administrative and operational backbone for our department. This role is ideal for someone eager to learn the business end-to-end, while building skills that can lead to a future Project Manager role.
KEY RESPONSIBILITIES:
Support PMs across multiple accounts, ensuring timelines, budgets, and deliverables are tracked and up to date.
Create and manage project documentation including schedules, budgets, purchase orders, change orders, and status reports.
Assist in sourcing and procuring materials and services, including obtaining quotes and managing vendor/subcontractor coordination.
Update and maintain systems such as Salesforce, NetSuite, Smartsheet, and other project management tools.
Partner with design, engineering, and production teams to anticipate challenges and resolve issues proactively.
Coordinate logistics for tradeshow, event, and installation projects, including site schedules and services.
Provide financial administration support including invoice tracking, payment applications, and reporting.
Support on problem solving, solution development, and continuous process improvement initiatives.
QUALIFICATIONS:
Prior coordination experience in commercial construction, specialty fabrication, retail rollouts, large-scale events, or tradeshow environments.
Experience supporting multiple PMs or departments simultaneously.
Familiarity with Salesforce, NetSuite, Smartsheet, Bluebeam, or other project/digital workflow tools.
Exposure to vendor/subcontractor management.
Knowledge of billing systems (e.g., GCPay, SOV management) a plus.
Strong organizational skills with the ability to manage multiple tasks and shifting priorities.
Experience creating and managing project budgets and timelines.
Competence in Excel and other Microsoft Office tools.
Strong documentation and reporting skills with attention to detail.
Basic understanding of production and build methodologies (tradeshow/event builds, fabrication, or permanent installs).
Effective written and verbal communicator with cross-functional teams and external partners.
Problem-solving mindset with ability to work independently and collaboratively.

ESSENTIAL JOB FUNCTIONS
Job functions outlined below are intended for the Project Coordinator to understand the teams needs, deadlines, expectations and be able to function diligently, have awareness of urgency, proactively, collaboratively, and responsibly by following the structured process and workflow.
Participate in elements of the development process from project inception through completion and the subsequent turnover to end-user.
Coordinate the work of the Development team with other departments internally (Finance, Accounting, and Operations) both within TRU and with outside consultants.

Drafts pre-development and pre-construction documents as necessary, including base contracts, agreements, regulatory paperwork, subcontracts, job information sheets, procurement logs, plans, addenda, specifications, and schedules.
Facilitate Submittals and Register per project based on specifications and requirements.
Facilitate and Log RFIs per project based as necessary.
Track and assist in maintaining and ensuring that the project budget is achieved.
Sets up and maintains project job files via SmartSheet platform and on internal shared drive.
Assist with the execution and submission of monthly project updates for management.
Ensures SmartSheet data, documents and information are always accurate and up to date.
Responds and communicates to all project team inquiries in a timely and efficient manner.

The Project Analyst is responsible for assisting leadership in the analysis, planning and execution of property operations initiatives. Creates data models to identify key opportunities for improved operational efficiency. Analyzes data into meaningful insights used to make operational decisions on which projects to prioritize. Partners with stakeholders within property operations to build implementation plan of proposed initiatives, measures results, and provides feedback on an ongoing basis.
Responsibilities:
Analyze data from various operating platforms and cross-reference datasets for unique efficiency insights.
Utilize statistical methods and machine learning algorithms to predict trends and identify patterns.
Develop and build data models to identify strategic opportunities for improved operational efficiencies.
Create and track metrics related to strategic property operation initiatives and programs.
Develop detailed project plans outlining tasks, timelines, and resource allocation.
Suggest improvements based on current and historical performance.
Identify gaps in data capture within existing operations and work with stakeholders to enhance data collection.
Organize data into meaningful insights for operational decision-making and project prioritization.
Recommend priority reviews of data entry to improve accuracy and insights.
Act as a strategic partner and resource during the rollout of new initiatives and programs.
Create comprehensive reports on project outcomes, highlighting successes, challenges, and areas for improvement.
Draft communications to internal and external stakeholders to increase knowledge of company data standards.
Audit data entry for compliance with standards and create training and audit histories for follow-up.
Requirements:
Bachelor's degree or equivalent combination of education and experience required.
Minimum three (3) years of experience in Construction, Data Analysis, and Purchasing preferred.
Minimum three (3) years of experience in vendor negotiation or analytics preferred.
In-depth understanding of the industry, with the capability to recommend and implement processes for improved efficiency, service, profitability, and growth.
Proficiency with Yardi, SharePoint, and CRM systems.
Advanced PC skills, including Excel and Outlook.
Relevant experience in a fast-paced, multi-project, operational environment.
Excellent verbal and written communication skills.

Compensation
The anticipated pay range/scale for this position is $57,041.00 to $71,307.00 Annually. Actual starting base pay within this range will depend on factors including geographic location, education, training, skills, and relevant experience.
Additional Compensation
This position is eligible to receive a discretionary annual bonus.

JOB SUMMARY:
We are seeking a highly organized and detail-oriented Project Coordinator to join our Project Management team. The Project Coordinator will support multiple Project Managers in delivering projects successfully, acting as the administrative and operational backbone for our department. KEY RESPONSIBILITIES:
Support PMs across multiple accounts, ensuring timelines, budgets, and deliverables are tracked and up to date.

Familiarity with Salesforce, NetSuite, Smartsheet, Bluebeam, or other project/digital workflow tools.
Exposure to vendor/subcontractor management.
Knowledge of billing systems (e.g., GCPay, SOV management) a plus.
Strong organizational skills with the ability to manage multiple tasks and shifting priorities.
Experience creating and managing project budgets and timelines.
Competence in Excel and other Microsoft Office tools.
Strong documentation and reporting skills with attention to detail.
