Maintain project files throughout the course of the project (from planning through close-out). Entry of estimates and production review in multiple software systems. Printing job logs and timesheets as necessary. New job activation including requisition and release process in INTREN job software. May coordinate with A/R to ensure proper billing & payment. Prepare and generate routine reports and correspondence; some involvement in preparing more complex reports. Review field reports; provide summary reports to Assistant, Project or Senior Project Manager as required. Assist with preparation of proposals. Call and / or enter locates. Create and maintain project submittal log. Follow-up with vendors to obtain submittals and current equipment delivery information. Data entry of project information into multiple systems as required. Submit / Track / Follow-up on permit status as required. Track / Scan / Submit As-Builts to customer. Attend customer scheduling / job coordination conference calls as required. Assist the PM in monitoring the work on a regular basis to assure good quality control - conformance with contract documents (plans and specs). Review and track vendor invoices for accuracy and compliance with the contract terms and provide recommendation to PM. Job Close-out as required. May assist with researching new business leads. Other duties as assigned. DESIRED MINIMUM QUALIFICATIONS: Requires effective oral and written communication skills, excellent interpersonal skills and strong computer literacy. Good problem-solving skills and the ability to multi-task are essential. Must be a self-starter and have the ability to organize and prioritize work. High School diploma, Associate's Degree preferred or equivalent experience. Knowledge of advanced functions of Word, Excel, Outlook, MS Project, Power Point, and Internet Explorer. Must have excellent communication skills and writing skills. Must be able to comprehend and communicate information that is technical in nature. Effective analytical and problem-solving skills with great ability to prioritize workload and meet deadlines. Exceptional interpersonal communication, presentation, and writing skills. During peak volumes or absence of the Project Management Specialist, monitor registrations daily for all events ensuring fees, accounting and attendee information is accurate; process substitutions, refunds and cancellations promptly; and support database accuracy through contact upload or edits. Serve as a backup moderator for third-party webinars in the absence of the Director of Education. Maintain various computer, database and email filing systems. Routinely use Microsoft Office programs, virtual platforms and other software or programs to complete assigned tasks. Prepare, verify and process reports and invoices. Prepare and process various communications and correspondence for distribution in accordance with MHA style. Compose correspondence, minutes and other materials as requested. Answer routine inquiries by phone and exercise good judgment in relaying inquiries. Perform other duties as assigned by the Director of Education and Vice President of Education. Qualifications: Knowledge, Skill, and Ability: High school graduate with excellent computer and communication skills, both written and verbal, is required. College degree is highly desirable. At least two years of experience in a professional executive assistant or executive support role is required. Handle diversified duties, pay close attention to detail and demonstrate a commitment to accuracy while meeting established deadlines. Exercise independent judgment and professionalism when dealing with all internal and external customers, both onsite at events and in-house. Work well under time constraints, in a complex work environment that is rapidly changing as a result of the dynamic health care environment. Work independently with minimal oversight, and as part of a collaborative team, training peers and sharing resources with others. Organize and prioritize workload in a timely and efficient manner. Efficiently use computers, software and database applications and other office machines needed to carry out the duties of the job. Must learn and be proficient in Cvent, MHA's membership database and other project management tools as determined by the team. Possible travel for seminar, meeting or event coverage during the day and occasionally overnight. Most travel and overnight stays will be independent of other MHA staff. Must be proficient in Microsoft Office Suite of products including Word, Excel, Outlook, PowerPoint, Teams, SharePoint and Forms. Physical Demands: Lift and move items up to thirty-five (35) pounds. Sit, stand and walk for extended periods of time. Occasionally travel long distances in a vehicle and other modes of transportation. Ability to work on the computer for hours at a time and concentrate on detailed information. Bend, kneel and reach items with use of hands/fingers, as well as be able to handle or feel objects, tools and controls. Must be able to speak and listen effectively. Vision abilities, including close vision, color vision, peripheral vision and depth perception. Work Environment: The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. Professional office setting with minimal adverse factors. This is a non-smoking work environment, including all premises and other such areas. Frequent travel may be required. If, in order to carry out the requirements of this position, business travel is necessary in either a leased/rental and/or personal vehicle, the incumbent is required to maintain a valid driver's license. The incumbent employee also is required to consent annually to a check of their Motor Vehicle Record in accordance with the Vehicles - Business Travel policy as outlined in Section 2 of the Employee Handbook.
