Job Description
Position Summary
The Manager of Residential Lease Administration will lead and evolve Brookfield Properties' residential lease operations across its multifamily portfolio. This role is responsible for overseeing the end-to-end lease administration process, ensuring accuracy, efficiency, and compliance. Managing the Residential Lease Administrator, the Manager will drive strategic improvements to lease forms and related documentation, working closely with legal and internal stakeholders to ensure alignment with regulatory and company standards. With a focus on modernization and operational excellence, this role will play a key part in enhancing the lease experience and aligning lease administration with the company's broader business objectives.
Essential Job Function
• Establish and maintain best practices for the creation, organization, and management of lease forms and supporting documentation.
• Develop audit sheet templates to provide transparency into lease terms, provisions, and settings across properties.
• Maintain a consistent update and review schedule for lease forms, including Blue Moon and non-Blue Moon leases.
• Lead the review and standardization of lease-related materials, including move-in packets, fee sheets, renewal offer letters, and correspondence templates.
• Partner with Legal and external counsel to ensure all lease forms, tenant notices, and application documents meet jurisdictional requirements and regulatory standards.
• Oversee compliance of site-specific lease exceptions, including documentation of unique utility billing structures or environmental testing requirements.
• Review marketing, resident selection, and leasing documents for compliance with Fair Housing and other laws.
• Conduct and oversee portfolio-wide lease audits to ensure alignment with company standards and practices.
• Support acquisition due diligence by reviewing lease files, identifying risk areas, and assessing lease health.
• Assist with dispositions by preparing data reports and lease documentation in collaboration with the Asset Management team.
• Provide strategic support to broader business initiatives related to lease administration and operational optimization.
• Maintain a master database of approved fees and rentable items, including legal constraints or policy limitations.
• Evaluate regional and portfolio-wide needs for new or updated lease terms and addenda based on operational feedback and market trends.
• Develop project plans to support the implementation of new lease programs and services, coordinating with stakeholders across the business.
• Respond to ad hoc requests from senior leadership related to lease data and performance (e.g., rent-to-income ratio analysis).
• Manage and mentor a team responsible for lease system configuration, technical troubleshooting, and user support. This includes overseeing lease packet setup in Yardi and Blue Moon, implementation of fee and program changes, resolution of system issues, and liaison with software vendors.
• The team also manages system access, performs lease audits, responds to internal lease documentation requests, delivers training, maintains regulated correspondence, and drives process improvements through KPIs and performance analysis.
• Travel up to 25% of the time
Education
Undergraduate (Bachelor) Degree in Business administration, real estate or related field preferred
Experience
5-7 Years of Leasing, Product Specialist, and/or Administration Management Experience required
3-4 Years of Experience with Blue Moon Software/Implementation, Multifamily Real Estate Experience, Experience with property management software i.e., Yardi and RealPage, Customer Service Experience, and Experience in Lease Audit and Due Diligence Discovery

Position Overview:
The Neighborhood Manager is primarily responsible for showing apartment homes, conducting local marketing efforts, and assisting residents and prospects daily. Additional responsibilities include preparing lease agreements and coordinating resident events. The Neighborhood Manager works alongside the Regional Manager and oversees the maintenance team to provide the best resident experience.
Duties & Responsibilities:
Conducting apartment home tours to potential prospects
Answering phone calls and emails
Maintaining knowledge of neighborhood specials, pricing, and notifying related parties of any needed adjustments
Scheduling resident appointments to discuss renewal rates and leasing options
Walking through units prior to resident move-in date
Completing move-in paperwork
Completing all lease applications and notifying prospective residents
Ensuring grounds are well kept and addressing any concerns with maintenance
Adhering to company standards for paperwork, resident files, budgets, and controlled expenses
Traveling between Redwood neighborhoods may be required
Overseeing on-site staff, assisting in hiring, disciplinary actions, and approving bi-weekly timecards
Being accessible for calls or emergencies outside regular hours as needed
All other related duties, as assigned
Required Qualifications:
High school diploma or equivalent
1 year management experience
Valid driver's license
General computer efficiency
Preferred Qualifications:
Prior sales or leasing experience
Exceptional customer service skills
Ability to operate smartphone, tablet, and computers
Physical Requirements:
Lift up to 20 pounds and the ability to sit, stand, bend, and walk

Own the Renewal Process. Take charge of the entire lease renewal cycle. Draft and deliver renewal notices 90 days in advance, follow up with residents, and ensure leases are signed at least 30 days before expiration.
Team Up on Leasing. Partner with Leasing to support leasing efforts and maintain strong occupancy levels, manage leads and guide applicants through the leasing journey.
Keep the System Running Smoothly. Maintain up-to-date records in our property management software, from move-ins/outs to household changes, lease updates, and more.
Support Eviction Procedures. Assist the Property Manager with eviction processes, ensuring full compliance with state laws and company policies.
Drive Rent Collection Success. Oversee rent collection efforts by managing communications, notices, and payment follow-ups.
Deliver Excellent Resident Service. Respond to resident requests and concerns quickly and professionally, ensuring a welcoming and responsive environment.
Maintain High Operational Standards. Work closely with the Property Manager to ensure daily operations run efficiently and that the property is well-maintained and visually appealing.
Step into Leadership When Needed. Assist in staff management and take on leadership duties in the Property Manager's absence.
