This position is responsible for planning, building, and executing a comprehensive training operation to ensure excellence and continued quality improvement within CHEMTREC's Emergency Operations Center and Emergency Response offerings. This position is also responsible for offering technical support to the CHEMTREC Training and Learning Academy for developing and conducting training offerings. The position reports directly to the Senior Director of Operations.
Major Duties and Responsibilities
Working with the Associate Director, Emergency Operations Center, creates a single, unified standard for CHEMTREC operations execution. Owns and updates the CHEMTREC training standard matrix for all Emergency Services Specialist levels.
Develops Emergency Operations Center training content in coordination with the CHEMTREC Technical Advisor, Emergency Response.
Conducts internal training to the single, unified standard for all relevant emergency response protocols supporting Operations, Customer Service, and Sales, as needed.
Conducts initial classroom training for new Emergency Services Specialists, ensuring that they are competent at the single, unified standard.
Identifies and evaluates external training courses.
Coordinates training enrollments for Emergency Operations Center personnel for required training and continuing education.
Defines and executes a process to improve Procedures, Policies, Guidelines, and Extended Service Protocols (ESP), including multi-lingual call processes.
Uses Quality Assurance reviews, communication with internal and external stakeholders, and other data sources to identify training needs.
Identifies lack of consistency between work shifts and supports the implementation of measures aimed at removing potential inconsistencies.
Interfaces with Account Managers in order to facilitate the onboarding of CHEMTREC customers with complex Extended Service Protocols (ESP).
Supports the development and launch of new CHEMTREC Learning Academy offerings.
Performs other related duties as assigned.
Qualifications/Requirements
Required
Bachelor's degree in related field.
Three years' experience in emergency response or O&EHS experience related to chemical transport, storage, production, response and safety
Strong written and oral communications skills, as well as the ability to give internal and public presentations.
Ability to work on a variety of complex matters simultaneously, including ability to prioritize and manage multiple issues, tasks, and information/requests.
Ability to design and implement strategy, direction and action plans.
Ability to build consensus, work in a team environment, and coordinate across multiple groups.

Collaborate with IT, business unit leaders, and external vendors to ensure a high level of quality of business-critical statement and letter products, aligning with compliance, legal, regulatory, client, and strategic needs.
Regularly perform focused quality assurance reviews of business letters.
Consult with or provide expert advice to management of various lines of business when creating new letters, notices, and statements. This mainly applies to providing guidance on letter trigger and exclusionary criteria, which would determine when important business letters are sent.
Collaborate with Compliance, Legal, Bankruptcy, and other departments to create and review statements, letters, and notices for quality and compliance in accordance with applicable federal, state, and local law, any applicable regulatory body, investor guidelines, company policy, and borrower experience standards.
Collaborate with print vendors to ensure letters are programmed timely and accurately, establish test plans, conduct proper testing and release to production. In some cases, the Quality Assurance Coordinator has authorization to deviate from some of the established procedures (e.g., bypassing certain steps of the letter production process may be required in order to meet a regulatory deadline and ensure that notices are sent timely.)
Manage letter change documentation, ensuring all necessary approvals and process steps are documented by responsible parties.
Manage offshore team's performance related to quality review and test tasks.
Respond to remediation requests and oversee its resolution. Respond to remediation plans initiated by internal quality control teams as well as third parties such as investors and regulatory bodies. Responsible for the investigation and the resolution of letter related issues.
Address internal and external quality assurance and audit inquiries. Partner with Print Production management, Compliance, Legal, and other relevant departments to determine root causes, propose solutions, and develop remediation activities for identified issues.
Create QC and UAT test scenarios, perform tests, record results.
Engage with all enterprise groups to identify root causes for issues, provide suggested solutions, and drive those solutions to completion.
Champion quality-oriented strategies, creating, designing, and implementing quality related policies.
Effectively communicate and present ideas and findings to a diverse audience, including operations staff, senior management, and third-party clients.
Oversee special projects related to quality assurance, audit, QA/QC, and remediation.
Oversee the periodic letter recertification process.

Primary Responsibilities:
Oversee work assignments, ensuring efficient task distribution and timely completion.
Generate and analyze inventory reports to guide decision-making.
Proactively assess inventory throughout the day to optimize workflow and prioritize urgent cases.
Communicate effectively with various departments to resolve discrepancies, including missing work files and IT platform issues.
Audit employee work for accuracy, providing constructive feedback and coaching to enhance performance.
Conduct one-on-one meetings with employees, fostering professional growth and setting annual goals.
Offer timely support by answering employee and stakeholder inquiries.
Train new hires and develop comprehensive training resources.
Create and interpret complex SOPs, job aids, and special workflows for diverse processes.
Design and lead engaging team meetings.
Navigate multiple platforms and websites to facilitate prior authorization tasks.
Perform specimen history research to assist with escalations, training, and troubleshooting.
Deliver exceptional customer service with professionalism, patience, and empathy.
Escalate critical issues to leadership when necessary.
Identify and recommend process improvements to enhance efficiency.
Maintain a thorough understanding of policies, guidelines, and payer requirements related to specialty testing (such as oncology, women's health, and other advanced diagnostics).
Ensure compliance with specialty test regulations and proactively address any policy updates that impact workflow.
Meet deadlines consistently while maintaining high accuracy and minimal errors.
Complete required trainings punctually and thoroughly.
Qualifications:
High school diploma or equivalent required; associate degree or higher strongly preferred.
Minimum 3 years of relevant work experience required.
Minimum 1 year of experience in prior authorizations strongly preferred (concurrent experience acceptable).
3+ years of leadership experience strongly preferred.
Minimum 2+ years prior work experience in insurance claims, pre-authorization, and medical benefits strongly preferred.
Utilize MS Excel, Word and Outlook; PowerPoint proficiency preferred
Experience with specialty testing (such as oncology, women's health, and other advanced diagnostics) preferred.
Proven ability to identify improvement opportunities and implement recommendations preferred.
