    The Executive Assistant, Lab Operations, provides administrative planning and support to the Vice President of Lab Operations. The role will be responsible for handling meeting schedules, travel arrangements, expense reporting, records management, training records, owing and managing team communication lists and groups, assisting with logistics for on and off-site meetings, and day to day office requests. In this position, working collaboratively with assistants throughout various departments / functions within and outside the Region is essential. The Executive Assistant will also provide administrative support to the Lab Operations Team as needed. This position is part of the Lab Operations Team, which is responsible for Lab Operations encompassing four major labs, Specimen Management, Advanced Engineering, Satellite Lab Operations (SLO) & Professional Lab Services (PLS). This position will be located in our Tampa, Florida office. Responsibilities Coordinate all aspects of the Executives calendar / schedule including travel arrangements. Acts as the primary point of contact for the Executive handling all communications with precision and professionalism. Provide administrative support as needed to Operating Leadership Team (OLT) Point person for Tampa Site - Serve as gatekeeper of the Executives time, schedule, and information Anticipate potential schedule conflicts and proactively deal with them before they become issues Handle highly confidential materials, including strategic business deals, negotiations, and other sensitive information Facilitate communication and coordination for complex and confidential business transactions Communicate and coordinate early and clearly with other executive assistants supporting other functional areas and Leadership Teams within and outside the Region General project management assistance, including maintaining and updating action plans and timelines including capturing meeting minutes including agenda development / preparation, and action item follow up Support the planning and execution of strategic and tactical projects and initiatives, ensuring alignment with the goals and objectives Produce PowerPoint presentations, Word documents, Excel spreadsheets Set-up video conferencing and other media technology as needed Manage and reconcile expense reports and purchase requisitions Manage memberships and subscriptions for executives and team members Maintain files and manage invoice approval and submissions Respond to procedural requests, understand organizational policies and procedures necessary to ensure appropriate decision making protocols are followed Perform other duties as assigned to meet the business needs / customer requirements Qualifications 5+ years of Executive Assistant experience required in a related field Proven track record of performance, results, meeting deadlines, and successfully managing administrative processes - Excellent time management and ability to manage shifting priorities Impeccable attention to details, independent thinker and problem solver with a strong work ethic Demonstrated ability to manage sensitive information and exercise discretion Highly organized and capable of prioritizing and managing multiple projects / tasks Professional communication style, both oral and written, including impeccable accuracy in formatting Experience liaising with and managing communications and events for internal and external stakeholders Superior interpersonal skills with a demonstrated ability to partner with other administrative professionals Proficiency in Microsoft Suite and SharePoint tools Ability to work independently and take initiative while supporting a team-oriented environment Strong problem-solving skills and reasoning to quickly follow up and solve administrative issues Excellent interpersonal and communication skills (oral & written) necessary to effectively communicate at all levels Education: Associate's Degree in Business Administration or related field preferred. The District Manager has overall responsibility for leading and developing a sales team that drives high impact customer interactions, yielding strong sales performance in an ethical and compliant manner. The District Manager will have responsibility for staffing and developing their team. Responsibility also includes the creation of local strategic plans that are driven by high impact resource allocation decisions. DMs will assume ownership and the management of a wide range of customer interactions as well as accountability for the highly effective application of the budget and expenses within their assigned customer base. Job Responsibilities * Recruits and selects team members (Neuroscience Sales Representatives) and oversees their training and development. Establishes a high-performance team built on a culture of trust and collaboration, ethical and compliant behaviors, and a dedicated focus on science-driven customer interactions. * Ensures all representatives meet/exceed product and brand strategy training targets - including approved product attribute/claims understanding, awareness of competitive products, as well as related disease and patient management strategies. Shares learnings, information, and best practices with appropriate internal stakeholders. * Sets ambitious performance and productivity objectives that support the achievement of business objectives as well as meeting or exceeding DM field deliverables. * Provides consistent feedback and coaching to direct reports to enhance their scientific and disease state expertise in order to improve the impact of their customer interactions. * Expected to provide daily coaching by completing field coaching summaries leading to effective mid-year and annual feedback discussions with direct reports. * Leads team in strategic analyses of their geography; uncovering key opportunities for growth and adapting activities to fit local dynamics. Uses analytical framework to identify business opportunities and helps the sales team incorporate new perspectives and ideas. Effectively and efficiently manages resource allocation, including trade-off decisions across customers and representatives. Works with Regional Sales Director when appropriate to make trade-offs within a larger geography. * Conducts regular field visits with each representative to assess performance, skills, and support development through coaching and modeling. Provides timely written and verbal individualized coaching, feedback and encouragement. Supports representative functional and career growth. * Routinely monitors all pertinent region data sets and updates region business plan/tactics appropriately. Develops a plan to maximize the region's performance impact and the utilization of resources (e.g., sales calls, samples, promotional speaker programs, etc.) to support appropriate usage of Lumateperone. * Works collaboratively with other functional areas to identify and respond to local opportunities and customer needs. Does so by serving as a resource within one's region and by appropriately leveraging the expertise of others (e.g., Managed Markets ADs, Medical Affairs, Sales Operations, etc.). For select HCP/Accounts, leads/coordinates with customer team to develop customer strategy. * Works with the Regional Sales Director to develop and maintain local business plans that ensures achievement of all KPI goals and delivery on all sales objectives. Job Requirements * Must have a Bachelor's degree. * Must have 5+ years of pharmaceutical or healthcare sales experience required; launch experience and CNS experience are highly preferred. * Must have at least 2+ years of field sales management experience. * Must have strong sense of self-motivation/initiative, excellent decision-making judgment, strong teaming/collaboration skills (across functions) and the ability to learn and adapt to environment in order to overcome obstacles. Must be resilient and adaptable - ability to recover from setback and problems and learn from mistakes. * Demonstrated success in translating vision and strategy into tactical plans to drive business; ability to develop and execute localized business plans. * Experience interacting with KOLs, organized customers, and managed care organizations. * Effective communication, presentation, and decision-making skills. Exceptional ability to clearly communicate and articulate strategy and tactics in a way that motivates and energizes their team. * Thorough understanding of customer segments and area market dynamics and competitive landscape within neuroscience.
