This position reports to the Practice Assistant Supervisor or Office Administrator. ESSENTIAL FUNCTIONS/RESPONSIBILITIES Legal Document Preparation and Filing Prepare template/shell pleadings, contracts, and other legal documents; coordinate document production; revise, finalize, file and serve pleadings; and coordinate preparation of attorney and court working notebooks. Word Processing Keyboard correspondence and simple to complex legal documents and forms from transcription, handwritten drafts, or notes; apply track changes, formatting, and styles; proofread, format, edit, label and redact documents; transcribe voice mail messages and attorney dictation; and compare documents using document comparison software and produce redline comparison. Timekeeping and Billing Enter, proofread, and close timekeepers' time entries in billing software; review, proofread, distribute, and track proformas and client invoices; manage complex proformas, incorporate edits, and mail out client invoices as needed; research and resolve billing problems and questions from clients and accounting as needed; and process expense reports and invoice disbursement requests. Client Service Communicate with clients and outside counsel via phone and email; work with clients to obtain signatures on legal documents; coordinate client travel for in-person meetings and hearings; and coordinate client holiday cards and gifts. Teamwork Work with and provide coverage for practice assistant team during times of need, such as heavy workload and unplanned or planned absences; delegate and coordinate projects with support departments; assist coworkers and timekeepers with questions related to technology or firm procedure; and participate in team meetings. File and Document Management Scan, copy, fax, print, and organize documents; request and review conflicts reports; open new client/matters using firm's electronic records system; maintain electronic and physical files; retrieve documents from document management system and hard copy files; prepare and maintain notebooks; and transmit voluminous electronic documents via secure file sharing website. Other Administrative Support Maintain timekeepers' calendars and monitor docketing deadlines; review documents and correspondence for important deadlines and information; maintain Outlook and Interaction contacts and working lists; prepare PowerPoint presentations; distribute internal and external mail electronically and/or by hard copy; schedule meetings and coordinate reservations for conference rooms and lunches; Continuing Legal Education (CLE) credit reporting; prepare and submit appropriate request form for business development or professional development expense approval; answer phone calls and relay phone messages; arrange travel; update and maintain practice group page on the firm's intranet; and comply with firm policies, including confidentiality, insider trading issues, etc. Other duties as assigned. EDUCATION & EXPERIENCE High school diploma or GED equivalent required. At least 3 years of experience providing legal administrative support, preferably in the area of litigation and/or construction and design law. Certificate or college degree in administrative assistant, legal assistant/secretary, or paralegal program, or related field in lieu of one year of work experience. Familiarity with local state and federal court procedures and electronic court filing preferred. Basic understanding of accounting preferred. NORMAL WORK HOURS This is a hybrid position, is non-exempt, and eligible for overtime compensation. Regular office hours are 8:30 - 5 p.m., Monday through Friday. Additionally, to utilize Trauma informed care approach to promote healing in a safe, stigma-free environment with compassion for all people. Essential job functions include reviewing and enforcing apartment rules and regulations, coordinating safety inspections and cleaning schedules, assisting residents, planning social and recreational activities, maintaining monthly inventory, communicating with clinical staff regarding residents, verifying medications with medication sheet and assuring facility is safe and orderly. ESSENTIAL JOB FUNCTIONS Oversee Contract workers at the facility. Review and enforce apartment rules and regulations. Report all infractions of apartment rules and occupancy agreement to Residential Coordinator. Report all problem behaviors to Case Managers and to Residential Supervisors/Coordinators. Maintain control of key disbursement and replacement and follow flow chart for all emergencies. Keep inventory of apartment furnishings Arrange for regular fire and safety inspections. Maintain weekly inspection reports. Coordinate cleaning of the facility with Maintenance staff. Report all major repair and/or maintenance issues to Residential Coordinator. Assist clients with ADL skills as needed. Coordinate and plan for social and recreational activities of residents. To provide direct communication to Case Manager and other Residential Supervisors regarding clients who are residing in the facility. Provide ongoing, site specific training. Monitor paper work and provide feedback to the Community Support team and to other supervisors within the Residential Department. Check medications to medication sheet and report findings to Residential Nurse and or the designee. Assist residents with self-administration of medications as necessary. Assure facility is maintained in safe and sanitary manner, and in accordance with any applicable federal, state or local laws or regulations and licensing bodies. Assist in the preparation of grocery orders. Oversee and assist as necessary in the preparation of nutritional menus and meals. Order monthly household supplies. Maintain a bi-weekly inventory of food items and monthly inventory of household supplies. Ensure monthly smoke detector and fire extinguisher checks and forward information to the Residential Department Ensure quarterly fire drills and forward information to the Residential Department Ensure all residents sign and maintain appropriate, current, and accurate documentation. Utilize respectful, trauma-informed language in all aspects of the job. Collaborate with treatment team to support techniques that are client-first and include trust and respect. Promote and support Trauma Informed Care implementation and initiatives within the organization Utilize Trauma Informed Care approach to work collaboratively with clients and other team members (internal and external) to help support clients in their treatment and recovery Must be able to react to changes and stress productively and to handle other tasks as assigned. Must be able to maintain regular and predictable attendance and punctuality. Must be able to get along with others and work as a team. Must exhibit the knowledge, skills, abilities and minimum requirements listed in this Position Description. Participate in other meetings, as deemed necessary by the department and agency needs. Complete all required records, reports, documentation, and travel expense forms. Attend weekly Residential meetings Provide emergency backup for all Residential sites. Requirements QUALIFICATIONS: High School Diploma or GED and experience working in a residential setting. Knowledge and experience in the mental health field and with substance abuse. Supervisory experience preferred. Experience with trauma-informed services or training, a plus. KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED In order to perform the essential functions of this job, the employee must possess the following: A working knowledge of Riveon Mental Health and Recovery Policy and Procedures, including sensitivity to consumers and adherence to clients' rights, confidentiality, and health and safety issues. The successful candidate will be that person who is flexible, dependable and able to provide a mature leadership role. The job requires the candidate to work as a team, thus the cooperation and collaboration will be the key factor in the employee's success. WORKING CONDITIONS Most of the work will be on site at a residential living facility. The individual will have frequent client contact and must have strong speaking and language skills, as well as exceptional interpersonal skills. Some time is spent in an office environment. The employee may be required to sit for extended periods and will spend a portion of their time on the telephone. Must be able to bend, stoop, walk, and lift and push minimal loads at various times. REQUIREMENTS/QUALIFICATIONS High School Diploma or equivalent. Experience working in a residential setting. Supervisory experience preferred. Knowledge of and experience in the mental health field and substance abuse required. Above average communication and written skills. The ability to work flexible hours. Basic computer skills required, including familiarity with Windows and Microsoft Office. Bilingual (Spanish/English) a plus. Candidates with educational backgrounds and training in trauma-informed and/or trauma-specific services, a plus. The necessity for travel in this job requires that the employee possess a valid Ohio driver's license with less than 6 points in a 36-month period and use of a personal vehicle. Favorable references and/or evaluations are required.
