YOUR ROLE AS A RECEPTIONIST

In this Receptionist role, much of your day is spent ensuring the operational success of our office and the overall satisfaction of our clients. Your day includes completing a number of administrative tasks from answering phones, to filing paperwork, and completing data entry. Your positive and personable demeanor envelopes all you do, and both your team members and our customers enjoy working with you! You genuinely enjoy managing multiple tasks at a time and pride yourself in doing all things well. Ultimately, you are the backbone of our office operations, and our success as a company directly relates to the role you play on our team!

Lemberg receptionist/administrator support job description

This is a part time position working between 16 to 19 hours per week. At least 4 hours are required on Mondays and they rest to be determined based on the candidate. This position will end at the end of 2022.

This position is responsible for answering the phone and greeting all company visitors. Supports the accounting department and performing data entry duties to ensure accurate information is being recorded on a daily basis. Exhibiting great customer service as this position will be the first point of contact for many customers and vendors.

Duties and Responsibilities

  • Answers incoming phone calls and transfers customer/vendor to the appropriate person/department
  • Greets vendors, customers, and clients upon arrival
  • Enter daily purchase orders in a timely fashion
  • Responsible for subcontractor compliance regarding vendor certificates of Insurance and W-9s
  • Updates costs in the company pipeline on a weekly basis
  • Conducts purchase order closeouts on a weekly basis
  • Responsible for updating inactive/completed job status reports for all divisions monthly
  • Runs the Inventory Valuation Report monthly
  • Shares the responsibility of filing large jobs
  • Responsible for creating job folders in a timely manner
  • Responsible for sending, collecting, and dispersing mail
  • Responsible for sending employee birthday cards monthly
  • Remits correspondence regarding contracts
  • Orders/prepares for office lunches and events in the Training Center
  • Other duties as assigned by Manager

Physical Requirements and Work Conditions

Physical demands within this position include but are not limited to: frequent standing, sitting, walking, listening, focusing, using depth perception, using office equipment, lifting up to 20+ pounds when needed and the use of hands to handle or touch objects. Long periods of time spent on the computer- typing, using the telephone, stooping, bending, kneeling, and reaching above shoulders.

Job Responsibilities

Front Desk Duties
  • Greet/ host/ provide support for guests, visitors and employees
  • Answer all in-coming calls
  • Answers telephones and directs the caller to the appropriate associate. Will transfer a caller to an associate's voice mailbox when the associate is unavailable.
  • Point of contact for all packages/deliveries
  • Pick-up, drop-off, prepare postage/labels for mail/UPS/FedEx, courier services, etc.
  • Update phone lists
  • Respond and follow through to requests for information and communicate with all levels of management with minimal supervision


General Office Duties
  • Housekeeping Duties (i.e.: pick up and display newspapers, load/unload dishwasher, coffee machine maintenance, etc.)
  • Maintain all conference rooms for cleanliness / reserve conference rooms, including ordering and/or setup
  • Order, maintain and organize all kitchen and office supplies
  • Resolve problems associated with all building services including: janitorial, mailroom, copier services, parking, badging, and conference rooms.
  • Assists with the coordination and scheduling of office/building maintenance activities


Education/training
  • High school diploma
  • Some college preferred


Years of relevant experience
  • One to two years
  • Three years administrative/facilities experience supporting multiple people preferably in the commercial real estate industry


Skills and knowledge
  • Excellent customer service and relationship building skills
  • Strong organizational, interpersonal and communication skills
  • Working knowledge of Microsoft Word, Excel, Power Point, Outlook, Mapping and database software
