Scope of Services
Provide on-site coordination and monitoring services to support a GMP-regulated life sciences facility by maintaining controlled access, ensuring personnel safety, and protecting facility, equipment, and operations.
Core Responsibilities
Control and monitor facility access in accordance with approved badge levels, access permissions, and after-hours requirements.
Verify identity and authorization of employees, visitors, contractors, and vendors using government-issued identification and access credentials.
Manage visitor registration, badging, and escort requirements using the approved visitor management system.
Monitor surveillance, alarm, and access control systems and notify management team of security or safety events.
Conduct routine interior and exterior walks and inspections to identify security risks, safety hazards, or abnormal conditions.
Monitor cafeteria consumable inventory and monitor conference room booking, client and internal personnel.
Party coordinator for holidays and special events.
Monitor and distribute incoming and outgoing mail.
Communicate effectively with facility management for visitors and emergency responders as required.
Responsible for supporting the facility management team with client site visits, scheduling and catering needs.
Assist with recruitment activities, including coordination of interviews and communication with new hires.
Coordination for new employee onboarding i.e., safety training, badge issuance, GDP Quality Training, HR related topics.
GMP & Compliance Expectations
Adhere strictly to site procedures, and GMP requirements.
Maintain accurate, legible, and traceable records to support audits and inspections.
Immediately escalate conditions that could impact personnel safety, facility security, or regulated operations.
Maintain professional conduct, appearance, and confidentiality at all times.
Contractor Requirements
Contractor personnel shall be trained on site-specific security and safety procedures prior to assignment.
Contractor shall ensure proper shift coverage, handoff, and continuity of services.
Contractor personnel must comply with all facility security, safety, and confidentiality requirements.
All incidents or deviations shall be promptly reported and documented.

Create, copy, edit, calculate, revise, retrieve, store and print a wide range of documents in final form (e.g. correspondence, reports, graphs, calendar, statistics, mailing labels, tables, databases, etc.).
Secretary III will maintain and update online web-based data systems in support of region by reviewing daily blotter reports and entering significant incidents. Function independently to interpret data and seek clarifying information to ensure the data is accurate and current. Update database as needed, entering significant activity as it happens throughout the course of the normal workday. Enter other technical reports as necessary to include inspections and other miscellaneous reports.
Maintain the official federal employee personnel files ensuring records are current and complete. Work with sensitive personal information and must be responsible for safeguarding all information in accordance with standing policies and procedures.
Prepare and submit travel authorizations and expense reports for the Regional Director. Make travel and lodging reservations on the Director's behalf and monitors the Director's itinerary effecting changes as necessary utilizing web-based travel system and direct contact with ticketing and travel agents.
Consolidate and prepare information briefing sheets for the Regional Director as required for weekly and other ad hoc conference calls and meetings.
Schedule and record use of the 2 Regional Conference rooms.

Serve as the primary contact for front desk operations, ensuring quality customer service and timely response to inquiries.
Supervise daily activities of reception staff, including scheduling, task assignments, and providing guidance or coaching as needed.
Maintain the receptionist schedule to ensure consistent coverage for all shifts.
Provide administrative support to the Admissions Department, including data entry, document preparation, filing, and phone support.
Assist in coordinating communication between Admissions, clinical staff, and other departments as directed by the Manager of Admissions.
Take initiative in identifying and resolving front desk operational issues, escalating matters when appropriate.
Ensure compliance with all facility policies, procedures, HIPAA regulations, and confidentiality standards.
Monitor and control building access by verifying the identity of all individuals before unlocking entry doors, ensuring the safety and security of staff and patients.
May provide backup coverage for the Executive Assistant as needed, including managing calls, scheduling, and handling administrative tasks for executive team.
Perform other duties as assigned.
Qualifications
High school diploma or equivalent required; associate degree or higher preferred.
Minimum of 2-3 years of receptionist, administrative, or customer service experience; healthcare setting preferred.
Demonstrated leadership skills with the ability to oversee staff scheduling and provide direction.
Strong organizational skills, attention to detail, and ability to manage multiple priorities.
Excellent communication skills, both verbal and written.
Proficiency in Microsoft Office Suite and familiarity with electronic health record (EHR) systems preferred.
Professional demeanor with ability to maintain composure in a fast-paced environment.
