Position Summary:
The ECA - Athletics Secretary is responsible for a variety of tasks related to the administration of the athletic department. Tasks include, but are not limited to, processing student information for the purposes of eligibility, assisting with transportation scheduling, assisting with contest scheduling, and other duties as assigned by the athletic director. All tasks will be completed in accordance with the policies and procedures established for the Columbia Public Schools and in accordance with the by-laws of the Missouri State High School Activities Association.
Essential Duties and Responsibilities:
Collect and organize all required documentation for student-athlete eligibility
Compile all athletic physicals and provide digital and paper binders for coaches
Frequently monitor credit enrollment and credits earned for student-athlete eligibility
Work with bus company and coaches on scheduling buses for away events
Create travel manifests for away events
Input data on school attendance system
Input data on the MSHSAA website related to student-athlete eligibility

* Verify counts of incoming anodized and southern stretch - Bent Geo Aluminum materials and reconcile with the amounts ordered and shipped

This position will provide office support and complete all duties related to student enrollment, transfers and records and provide office support.
ESSENTIAL RESPONSIBILITIES AND DUTIES
Maintain all school records, transcripts, grades, (deleted labels) and student demographics in eSchool in compliance with state laws and rules and regulations of the Board Office.
Review enrollment information and documents of prospective students to determine placement needs, grade level, guardianship, and locations/dates of school attendance to ensure that all records needed for enrollment are available.
Coordinate student transfers/withdrawals and communicates with appropriate people regarding transfer/withdrawal information.
Schedule enrollment appointments and meetings for students, parents and staff.
Maintain and continually update SCOIR program to send electronic transcripts to colleges for senior students.
Process transcript information to and from colleges, the military, the Department of Social Services, school administrators, employers, and high schools.
Maintain documentation on enrollment and withdrawals.
Perform other duties as necessary to support the mission and vision of Columbia Public School District.

This is a full-time position. Days and hours of work are Monday through Friday during normal business hours. Occasional evening and weekend work may be required as job duties demand.
