Supervising and oversee the work of external partners (Bookkeeper, CPA, recruiter, and vendors), this role ensure seamless coordination of internal performance review, employee benefits, vendor management, accounts payable/receivable, compliance, and SOP development. The Operations Director will be a strategic operator and vendor manager who balance hands-on problem solving with structured oversight. Key Responsibilities Leadership & People Management Directly supervise the recruiter and bookkeeper, providing coaching, performance reviews, and accountability Foster a culture of accountability, operational excellence, and collaboration across staff. Records and Information Management Develop and enforce policies for organizing, storing, and securing all firm records (physical and digital) Oversee Office Manager in maintaining filing systems, archives, and retrieval protocols. Financial Oversight Manage relationship with external CPA, ensuring timely AP/AR processing, reconciliations, and reporting. Review and validate financial reports for accuracy and completeness. Ensure billing, collections, and vendor payments are tracked and escalated if delayed. Coordinate with CPA for audits, tax filings, and compliance reporting. Performance and HR Operations Oversee employee performance review process and documentation Supervise administration of benefits and ensure compliance with employment laws Work with leadership on training, onboarding, and staff engagement initiatives. Compliance and Risk Management Ensure compliance with federal, state, and local regulation for employment, licenses, insurance, and etc. Oversee vendor agreements and risk protocols to minimize exposure. Systems & Process Management Draft, update, and enforce Standard Operating Procedures (SOPs) across all firm functions. Identify and implement process improvement and technology solutions. Ensure timely delivery of operational reports in Finance, HR, Firm Performance. Vendor and Office Oversight Supervise Office Manager on vendor management, facilities, IT, and office operations. Negotiate and evaluate vendor contracts. Ensure both in-office and remote staff receive the operational support needed. Qualifications Bachelor's degree in Business Administration, Operations Management, or related field, MBA is a plus. 7+ years in operations/management, preferably in law or professional services. Proven success supervising staff and managing external contractors/vendors. Strong knowledge of HR, AP/AR oversight, compliance and vendor negotiations. Excellent leadership, communication, and project management skills. Tech-savvy, proficient in accounting system, and productivity tools, such as Jira, Confluence.
