We are looking for a dedicated and detail-oriented Legal Secretary to join our team in New Orleans, Louisiana. This role is ideal for professionals with strong organizational skills and a background in commercial real estate and title insurance. As a short-term contract to permanent position, this opportunity offers the potential for long-term growth and collaboration within a dynamic legal environment. Responsibilities: - Coordinate the ordering and review of abstracts to ensure accuracy and completeness. - Maintain and update title company systems to track rate calculations, policy jackets, and other essential details. - Prepare title commitments and other related documents, such as seller's/owner's statements, rate calculations, and 1099 forms. - Manage zoning report requests and over-limit submissions when required. - Oversee the creation and finalization of title policies, including obtaining policy jacket numbers and ensuring proper documentation. - Track title files to confirm all necessary documents are completed and received. - Draft and issue updates and endorsements, such as date-downs or increased coverage, while preparing invoices for these services. - Coordinate payment of title insurance premiums and ensure proper documentation is provided to the accounting team. - File annual reports with the Louisiana Secretary of State and maintain compliance with title document updates. - Collaborate with title companies for audits and maintain recurring reports, including premium and open/closed reports. Requirements - At least three years of experience as a paralegal in title work or a related field. - Strong organizational skills and exceptional attention to detail. - Ability to manage multiple tasks and deadlines efficiently. - Proficient in Microsoft Word, Excel, and other relevant software systems. - Demonstrated experience in real estate or title company operations. - Excellent written and verbal communication skills. - Familiarity with QuickBooks is preferred. - Self-motivated and capable of working collaboratively in a team-oriented environment.
