Under the direction and supervision of the Plant Manager, performs complex (journey-level) clerical work in areas such as bookkeeping, inventory control, statistics, employment, human resources, purchasing, mail processing, Fleet or Work order system. Work involves compiling and tabulating data, checking documents for accuracy, transporting documents and/or stock and inventory, and maintaining files. May train others. Works under general supervision, with moderate latitude for the use of initiative and independent judgment. Essential Job Functions:
Produces, reviews, and proofs correspondence, reports, purchase orders, summaries, manuals, vouchers, records, and other related forms.
Answers inquiries regarding Fleet and procedures, assists the facility and staff in filling out forms, and provides information to the staff. Data entry for fuel tickets and fuel receipts, completes monthly mileage logs, orders fuel as requested for Fleet system. Reviews and posts information to Fleet records and modifies forms or records. Maintain Fuel card, Fuel logs and take receipts to the cashiers office.
Compiles, organizes, and tabulates data; performs calculations; and prepares charts, graphs, and tables.
Orders materials and supplies for Maintenance and housekeeping.
Opens and distributes incoming mail; prepares mail-outs; processes outgoing mail; and maintains records on postage, registered mail, and packages.
Performs data entry for CAFM work requester system, retrieval, and data searches. Data entry includes activating/completing preventive maintenance work request, Fire Marshal and Life safety Code work requests on a monthly basis or as required.
Delivers, picks up, or receives documents, supplies, mail, equipment, or materials; checks for quantity and quality.
May maintain office schedules and appointments and perform backup telephone duties.
May maintain accountability for temporary Master key check out to staff.
May maintain Personnel files, call tree records and updates all necessary files and forms as scheduled.
May arrange the scheduling, transfer, and display of surplus property; and may conduct physical inventory.
May train others.
Attends work on a regular basis and may be required to work a specific shift schedule or, at times, even a rotating schedule, extended shift and/or overtime in accordance with agency leave policy and performs other duties as assigned.
Other duties as assigned include but are not limited to administration, cashiers, and fiscal services. Provides training on tasks to new employees in the same role.
Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency's obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location. Knowledge Skills Abilities:

Enters data into the computer using the appropriate software.
Skilled in Microsoft Word, Outlook and Excel. Skilled in the use of computer and office equipment.
Composes letters and memorandums.
Prepares and maintains records, files, and reports; to transfer stock from one location to another; and to communicate effectively. Registration or Licensure Requirements:

Experience in clerical work.
Graduation from a standard senior high school or equivalent is generally preferred.
