Overview
The E-Billing Coordinator plays a critical role in the revenue cycle of the firm by performing E-Billing assistance on electronically billed matters. The E-billing Coordinator oversees the electronic billing process from start to finish, ensuring accurate and timely invoice submission in compliance with client requirements and guidelines. This role involves but is not limited to, identifying and troubleshooting E-billing issues, maintaining data integrity, collaborating with internal teams and clients to ensure successful billing.
Responsibilities
The E-Billing Coordinator is responsible for key phases of the e-billing process, including, rate uploads, follow-up on rejected items, and inventory tracking. The role also encompasses process documentation related to specific clients. The role specifically involves the following:
E-billing coordination between the firm, the e-billing vendor and the client, including all necessary setups and submission of preliminary data such as timekeeper and matter lists.
Accountable for a portfolio of clients and keeps all department spreadsheets and notes up to date.
Monthly review of assigned clients in which new timekeepers are identified. Assist with obtaining client approval for these newly assigned timekeepers on a monthly basis. On an annual basis, the E-Billing Coordinator is responsible for the submission of an all inclusive rate card for each of their assigned clients.
Maintain the spreadsheets for new timekeepers assigned to each client and add them accordingly in the vendor sites for successful submission of invoices. This also entails maintaining the timekeeper titles on the vendor sites whenever appropriate.
May be required to generate LEDES files for those clients who are not electronically submitted but require a LEDES formatted invoice.
Help to identify reoccurring violations of client guidelines and alerting appropriate team on action steps.

Title mapping
Reoccurring timekeeper rate reductions
Formatting of LEDES file
Fully documents all aspects of the e-billing process for each client. Electronically stores all documentation so that it's visible to billing management and staff.
Helps to maintain a database of all e-billed clients and their requirements for submission of bills. Also helps to maintain a database where yearly timekeeper rates are stored by client.
Utilizes E-billing Hub software or third party e-billing vendor websites to submit e-bills and conduct necessary follow up until invoices are accepted by the client.
Keeps invoice statuses current in the HUB; bi-weekly updates required.
Reviews e-bills for compliance with client/vendor terms. Fixes errors that will result in delays in uploading or rejection of the bill.
Proactively makes recommendations and implements internal process improvements to maximize productivity and workflow in all aspects of the e-billing function.
Works with Guidelines team & E-Billing HUB to ensure the proper invoice template is created according to the client/vendor specific guidelines.
Works with Pricing team to develop and maintain rate cards for client submission.
Engages in team meetings and occasionally presents information to the broader group.
Coordinating with Billing & Revenue team on various functions of the E-Billing role.
OTHER RESPONSIBILITIES:
Participates in firm-wide and departmental projects and initiatives
Helps to train new members of the team as necessary
Performs other duties as assigned
Qualifications
EDUCATION, EXPERIENCE AND SKILLS REQUIRED:
Associates degree or higher in Business, Accounting or Finance is preferred or equivalent experience
One to three years experience with professional services time and billing software
Minimum two years experience in a professional services firm, preferably in a Finance department
Experience with various electronic billing systems such as Serengeti or CounselLink is preferred
Demonstrated proficiency with MS Excel spreadsheets
Strong verbal, written, and interpersonal skills

Overview
The Pricing Operations Assistant provides essential administrative and data entry support to the Pricing Operations team, with a primary focus on the accurate and timely entry and maintenance of pricing-related data in firm systems. Serve as the firm's primary project manager for Cvent-based events, leading end-to-end delivery including build, configuration, testing, launch, reporting, and post-event analysis, coordinate timelines, deliverables, and integrations with stakeholders across departments.
Assess current event-related tools and how they interface with related firm systems (Cvent, EMS, Microsoft Dynamics 365, Workfront, Zoom, Concur, etc.) and recommend enhancements or new solutions that streamline workflows and improve the event lifecycle.
Partner with internal teams and external vendors to set up and manage integrations between event technology and firm platforms (CRM, Finance, Travel, etc.); maintain working knowledge of APIs, data mapping, and governance.
Design and deliver training and documentation that enable planners and internal stakeholders to confidently use Cvent and other event systems. Advise on best practices to improve adoption and accuracy.
Set up and manage event check-in technology, including iPads and badge printers, to ensure smooth on-site registration and attendee tracking.
Support event collateral and communication needs through basic web and email design, implementing copy into pre-configured templates, and creating event badges aligned with firm standards.
Ensure data quality across systems; create and maintain dashboards and reports that provide actionable insights on attendance, engagement, and ROI.
Manage event technology vendors, review contracts, coordinate upgrades and add-ons as needed with minimal disruption. Advise department and stakeholders on changes to platforms as needed.
Identify automation opportunities, standardize templates and workflows, and research emerging event technologies to advance Goodwin's event strategy and attendee experience.
Who You Are:
BA/BS or Equivalent
10+ years of experience in event technology management or comparable systems administration.
Cvent certification preferred.
Proven experience managing enterprise event platforms (Cvent preferred) and overseeing complex, integrated system environments.
Expertise in event management systems. Preference to Cvent, EMS, Microsoft Dynamics 365, Workfront, Zoom and an understanding of integrations (travel, CRM, etc.)

As the Sr. Collection Specialist, you will develop strong working relationships with assigned Partners in order to provide best in class customer service support for all related client collection needs. What You'll Do:

Overview
The Billing Coordinator is responsible for all aspects of billing for an assigned group of lawyers and clients. The Billing Coordinator is expected to be able to serve as a resource for Billing Responsible Attorneys and their secretaries on all aspects of inventory management.
Responsibilities
Maintain a thorough knowledge of client terms, discount arrangements, lawyer and client preferences while ensuring:
Invoices are issued timely and accurately, inclusive of client terms and discounts
Best practices are used to create, present and distribute pro formas and client invoices
Compliance with firm and outside counsel guidelines is maintained
E-invoices are submitted on a timely basis with all necessary supporting documentation
Revisions to invoices are addressed and resolved on a timely basis.
Manage the unbilled inventory for an assigned group of lawyers:
Ensure consistent and regular communication with lawyers regarding aged balances
Leverage secretaries and firm management to escalate problem accounts
Make recommendations for write-offs of aged or disputed balances where appropriate
Respond to information requests from lawyers, clients and administrative staff related to inventory levels, time and cost entries, billing reconciliations, outstanding receivables and unapplied cash
Communicate firm policies and guidelines to lawyers and clients as appropriate
Support client and partner requests for accrual information
Produce and distribute standard unbilled proformas which recap client/matter time and disbursements
Analyze short paid invoices and determine the correct course of action to resolve
Utilize firm standard reporting tools to respond to requests for information, particularly Excel and BRL dashboards
Assist with the application of unidentified cash receipts, ensuring prompt resolution;
Assist timekeepers and secretaries with diary entry issues and transfers between matters.
Ensure that requests for alternative fee arrangements are communicated to the Pricing Committee for review and ultimate disposition;
Maintain documentation of procedures, deadlines, and other client and lawyer preferences related to billing and collection;
Provide audit letter assistance to lawyers and secretaries by quickly responding to requests for period-ending balances.
Qualifications
Bachelor's degree preferred
Strong analytical and critical thinking skills
A minimum of two years experience in a professional services environment using time and billing software such as 3E, Elite or Aderant
Must be a team player with strong interpersonal skills
Possess a high degree of confidence and professional maturity and demonstrate excellent oral and written communication skills
Superior customer service and a demonstrated ability to work in challenging and dynamic environment
