The Coordinator, Medical Education plays a critical role in advancing the effective delivery of the Foundational Sciences curriculum within the Chicago Medical School. This position provides high-level coordination and operational management to ensure that medical education programs, courses, and faculty-led sessions are delivered seamlessly in both virtual and in-person settings.
Reporting to the Department Chair, Vice-Chair, Education Directors, and the Manager of Medical Education, the ACME serves as a central hub for curriculum operations, schedule management, instructional technology, and academic program support. The Coordinator partners closely with faculty, staff, and students to foster an organized, efficient, and learner-centered environment that supports the school's academic mission.

Essential Duties & Responsibilities
Curriculum & Program Coordination
Coordinate day-to-day operations and logistics for medical education courses, blocks, and threads to ensure programs run smoothly.
Update and distribute course syllabi, schedules, and upload all lecture materials to the learning management system in collaboration with Block/Course Directors.
Monitor and communicate schedule changes in real time, ensuring timely updates to students, faculty, and administrative staff.
Track and report student attendance and course participation in accordance with institutional requirements.
Technology & Learning Platforms
Manage and optimize use of educational technologies and learning platforms (e.g., D2L, ExamSoft, Zoom, NBME, Google Workspace) to support instruction and assessment.
Administer and proctor M1 and M2 exams and quizzes, both in-person and virtual, ensuring secure, consistent, and professional testing environments.
Coordinate secure administration of assessments, ensuring compliance with institutional standards and confidentiality protocols.
Stay current with innovations in instructional technology and recommend enhancements that improve course delivery and student engagement.
Coordinate classroom and meeting room technology (A/V, videoconferencing, recording, etc.).
Faculty & Student Support
Serve as the primary point of contact for faculty regarding course logistics, instructional technology, and program operations.
Provide clear and consistent guidance to students on course requirements, testing procedures, and institutional policies.
Manage preparation, verification, and dissemination of grades, evaluations, and official course communications.
Assist with department meetings, including scheduling, agenda prep, and taking minutes.
Administrative & Records Management
Maintain comprehensive and well-organized academic records, ensuring compliance with institutional and accreditation standards.
Draft, edit, and distribute professional correspondence, reports, and program documentation on behalf of faculty and leadership.
Protect confidentiality and uphold integrity in handling sensitive student and program information.
Support departmental initiatives, special projects, and continuous quality improvement efforts as directed by program leadership.

1. Lab Management:

Specific Responsibilities:
* Hiring staff, including reviewing applications, interviewing, offering positions and onboarding for instructional and residential staff
* Providing customer support (to parents, instructional staff, etc.) and maintaining good relations with all people and groups associated with the program and the Center assuring a positive representation of the Center;

Position Summary:
Along with the Residential Director (RD) and the Assistant Residential Directors (ARDs), the central responsibility of the CPP Residential Advisor (RA) is to provide mentorship and support for the academic, experiential, and co-curricular components of the College Preparation Program. You will have a unique opportunity to bridge and cultivate learning inside and outside the classroom. CPP students and RAs are housed together on campus in the program's residence hall. RAs are expected to be engaging, visible, and accessible to students and the program on a daily basis throughout the summer. RAs will be responsible for regularly checking in with an assigned group of students and ensuring the safety of all participants. You will also create, coordinate, and implement extracurricular activities and supervise students at those and other program-related activities. In addition, upholding CPP values, policy, and procedures, and managing the duties supporting the functions of the program. RAs report directly to the Assistant Residential Director and Residential Director. They may receive further supervision from the Director of Summer Session. This is a full-time residential position.
General Responsibilities:
* Build community through planning and implementing extracurricular activities for students
* RAs are expected to be engaging, visible, and accessible to students and the program on a daily basis throughout the summer.
* Assist with student arrival and departure on Sundays and Fridays, as well as orientation for incoming students
* Live in the residence hall throughout duration of the program
* Report unsafe and inappropriate behavior

Job Summary:
Reporting to the Associate Director, the International Scholar Advisor will serve as an Alternate Responsible Officer (ARO) as determined by the U.S. Department of State. The Advisor is responsible for advising international scholars in J-1, H-1B, E-3, and TN status. The Advisor will also work to inform the campus community on relevant federal immigration regulations and federal agency guidance. Additionally, the Advisor will ensure regulatory compliance by reporting and maintaining international scholar records in the SEVIS system and in the Terra Dotta portal/database and other immigration case management systems (currently Docketwise).
Specific Responsibilities:
* Interpret, monitor and advise on relevant federal immigration regulations as they pertain to J-1, H-1B, E-3, TN and other employment-based immigration statuses in the Northwestern context.
* Process scholar immigration requests, receive scholar and department appointments, respond to electronic inquiries and other advising tasks.
* Ensure data integrity and regulatory compliance within the U.S. Department of Homeland Security's Student and Exchange Visitor Information System (SEVIS) and the Terra Dotta portal.
* Provide workshops for scholars and other stakeholders within the university community related to immigration advising, including, but not limited to: Homebase usage, employment authorization, travel abroad and visa acquisition, maintenance of visa status and others
* Liaise with assigned departments, units and assigned scholars on both the Evanston and Chicago campuses.

Adapt content for segmented audiences and marketing channels, supporting both awareness and lead generation goals.
Strategic Storytelling & Campaign Support
Collaborate with the Director of Content Strategy, the communications team and broader marketing team to develop storytelling strategies that support strategic campaigns for student recruitment and institutional initiatives.
Contribute to the creation and execution of integrated marketing campaigns by developing content frameworks, messaging, and copy.
Conduct interviews with faculty, staff, and students to gather accurate and compelling content.
Liaise with academic and administrative departments to ensure content accuracy and relevance.

Required Education & Experience
Bachelor's degree in English, Journalism, Communications, Marketing, or related field.
3-5 years of professional writing experience, preferably in higher education, healthcare, nonprofit, or mission- driven organizations
Required Knowledge, Skills, & Abilities
Strong writing, editing, and storytelling skills with a portfolio that demonstrates versatility across formats and audiences.
Working knowledge of SEO, content marketing, and editorial best practices.
Excellent organizational and project management skills.
Ability to synthesize complex information into accessible, audience-centered content.
Preferred Qualifications
Familiarity with AP Style or similar editorial style guides.
Understanding of accessibility standards for digital content (WCAG).
Experience with Google Analytics, Google Search Console, or other content performance tools.
Background in health sciences, STEM, or academic environments is a plus.
