Responsibilities Effectively and Efficiently Manages the Company's Parts Inventory: Promptly notifies parts management of out of stock items, discrepancies, and shop materials/equipment in need of attention. Locates out-of-stock parts from outside source and submits an emergency order as required. Promptly notifies the Service Consultant/Advisor, and the Client, when special ordered parts have been received. Promptly notifies the body shop when all parts have arrived along with an estimated time of delivery. Promptly pulls orders for delivery to the body shop and ensures all parts are tagged with Client name and job number. Effectively and efficiently tracks and follows up on back-order parts. On a weekly basis, verifies will-call, back-order files, and returns to vendors; returns to inventory those items not picked up or no longer required; issues credit for parts returned while also ensuring that the original invoice, or its number, is available so that purchase and pricing can be verified. Assists with regular parts inventories and selection of parts for returns. Assists with developing and maintaining the most effective physical storage layout. Effectively and efficiently maintains department security. In a timely manner, assigns parts upon arrival, inputs exchange parts orders on DealerConnect, returns exchange cores. Promptly inputs Dealer Connect Material Return Authorization (MRA) shortage/damage claims. Issues shop tools to Technicians; tracks to ensure tools are returned in a timely manner. Maintains clear and precise record keeping for all RO's, invoices, insurance estimates, special orders. Ensures accurate and timely receipt of freight; accurately places incoming stock in the proper locations; file packing slips in numerical order. Assists with regular parts department inventories and selection of parts for returns. Assists with all paperwork relating to damages/shortages and vendor returns. Participates in perpetual counts, bin organization and parts stocking. Match purchase orders and invoices for Parts Manager to review and approved. Attend training classes as directed by management. Qualifications Experience (Desired): A minimum of 2+ years in position of related or similar positions progressively in automotive, Retail, Sales, Hospitality or Food & Beverage industries. License (Required) Current California Driver License with satisfactory Department of Motor Vehicle driving record. Before forwarding to administration, carefully and consistently checks all paperwork for correct information such as, but not limited to, title, lien information, and taxes. Verifies payoff information on all trade-ins; verifies proper insurance coverage on all deals. Effectively and Efficiently Contributes to Achieving Strategic Goals Assists the sales process through completion of the sale while ensuring all corporate finance goals are met on a departmental and individual level. Encouraged and expected to generate additional revenue by negotiating gross profit, maintaining and improving reserves, and by selling aftermarket products and services through consistent use of the finance menu.
