The patient representative supports the delivery of services that promote a positive experience for patients and guests. The patient representative collaborates with multidisciplinary teams to obtain feedback from patients and guests, proactively manage patient needs, and support the response to concerns.
Qualifications:
Required:

* Previous customer service and administrative experience/training
* Proficiency in Word and Outlook

Scheduling Requirements:
* Day Shift- 10:00am - 6:30pm
* Rotating weekends (Up to 2-3 Weekend Days coverage per month)

Essential Functions:
* Duties include but are not limited to:
* Rounding in patient care areas
* Addressing opportunities to provide a high level of service in real-time
* Performing post-discharge follow-up calls
* Management of complaints/grievances
* Providing support for staff development
* Assisting with promoting language service utilization.
* Role will require coverage of Emergency Department during designated shift hours, as well as assisting with inpatient unit round coverage.

Provides general explanation of scheduled procedures and patient instructions that are necessary for conducting medical services.

Provides explanation of legal forms and secures signature of patient/authorized party as required for services.

Eligibility/Authorization Management
Accurate identification and selection of insurance carrier in the patient medical record for specified dates of medical services.
Navigation of web-based products or system applications to initiate and document insurance eligibility, benefit details, and authorization requirements.
Performs required notifications to ensure insurance authorization for identified medical services, surgical procedures, and inpatient/observation stays are secured and documented.
Demonstrates basic knowledge of CPT, ICD10 diagnosis coding documentation as required for medical services.
Financial Counseling

Revenue Cycle Support
Performs PBX Switchboard functions as required for answering and routing of internal/external calls; paging codes and fire alarms; handles department call volumes as assigned to appropriately respond to requests from patients, providers, or other hospital departments.
Acts as a resource for clinical departments for registration/scheduled services related to data entry of patient account fields, provider order requirements, and questions regarding insurance coverage or financial assistance.
Compliance/Safety
Responsible for reporting any safety related incident in a timely fashion through the Midas/RDE tool; attends all safety related training programs; performs work in a safe manner; monitors work environment for possible safety issues and ensures others are also performing work in a safe manner.

* Responsible to place patients in the appropriate bed and maintain the accuracy of the bed board system by tracking bed assignments through bed tracking system and to ensure timely and appropriate movement of patients within the hospital; as assigned
* Demonstrates proficiency in the entire pre-admission, registration, and financial clearance processes
* Demonstrates a high level of efficiency, accuracy and productivity
* Verifies accuracy of patient demographic information to avoid duplicating a medical record

Job Overview:
The Patient Access Representative is responsible for coordinating and facilitating registrations and admissions by obtaining pertinent demographic, financial and insurance information on all patients. The Patient Access Representative ensures timely registration and promotes patient satisfaction.
Qualifications:
Required:
* High school diploma or equivalent
* Knowledge of medical terminology
* Ability to read, write, and speak or communicate in English to successfully accomplish the essential duties of the position
* Highly effective oral and written communication skills are required to communicate with clinical, administrative and other personnel
* Must be computer literate with proficiency and working knowledge of database and reporting tools such as Microsoft Word, Excel, Access and Power Point
Preferred:
* Ability to speak other languages a plus
* Epic Experience
* Knowledge of medical terminology, insurance verification, and billing processes
Scheduling Requirements:
* Day shift, 7:00am-3:00pm
* Monday through Friday
* Full-Time, 37.5 Hours Per Week
Essential Functions:
* Provides excellent customer service to all patients, colleagues and other external and internal customers
* Interviews patients, family members and other responsible parties to gather pertinent demographic and financial information, for scheduling , pre-registration and/or registration based on assigned work
* Obtains and accurately documents all demographic information
* Obtains insurance information and initiates the verification process via third party clearinghouse
* Completes verification of coverage of all insurances and financial clearance activity has been completed
* Meets and exceeds department goals including accuracy, point of service collections and productivity
* Ensures all required forms are provided, reviewed, properly explained and signed by the patient or an approved person on behalf of the patient
* Informs patient of financial responsibility and collects appropriate dollar amount for services to be rendered; issue receipt and completes daily reconciliation of all cash collections
* Provide back-up support to hospital cashier and complete cashier functions, as assigned
* Completes Medicare Questionnaire on all patients that are eligible
* Responsible to review all work queues daily and take the required actions to update the information, correct errors and ensure that the account is accurate for billing
* Responsible to place patients in the appropriate bed and maintain the accuracy of the bed board system by tracking bed assignments through bed tracking system and to ensure timely and appropriate movement of patients within the hospital; as assigned
* Demonstrates proficiency in the entire pre-admission, registration, and financial clearance processes
* Demonstrates a high level of efficiency, accuracy and productivity
* Verifies accuracy of patient demographic information to avoid duplicating a medical record
* Follows department procedures when a duplicate medical record assignment is made
* Complies with organizational policies on Advance Directives and Patient Rights
* Provides patients with all regulatory documents, obtain required signatures, and witnesses all patients' signatures
* Maintains department productivity by asking for additional duties when patient flow permits
* Makes customer needs a priority. Provides direct observation of the customer service being performed by other organizational members and reports issues to the supervisor/director
* Demonstrates initiative and motivation in role; proactively identifies and resolves problems in an appropriate manner and escalates issues to leadership when necessary
* Reflects commitment to building a supportive work environment and maintains a positive attitude
* Works closely and professionally with nursing and ancillary departments to foster a team environment
* Participate in training through the development of training tools, presentations at department in-services or staff meetings, or through the training of registration staff outside of the patient access department
* Utilize AIDET:
* Acknowledge your patient with every encounter, smile, make eye contact, call the patient by name
* Introduce yourself and tell patients about your education, training and competency
* Duration of the activity or conversation needs to be stated, Let patients know how long something is likely to take
* Explain what you are doing. This will help to put the patient at ease.

The Patient Representative is responsible for effectively responding to inbound new and current patient calls for RWJBarnabas Health affiliated offices and schedule first time and returning patient follow-up appointments, strategically scheduling patients to the provider that will best suit their needs based on a series of clinical indicators. The Patient Representative will schedule patients and handle general questions with genuine empathy, striving to exceed patients' expectations on every call.
