POSITION REPORTS TO: Vice President of Donated Goods Retail

TEAM MEMBERSHIP: o EXECUTIVE o LEADERSHIP o QUALITY ý MANAGEMENT SUPPORT

POSITION PURPOSE

The Administrative Coordinator -Sales and Operations is responsible to perform and coordinate reports, testing, sales, operations, and office activities. Will ensure that information is disseminated appropriately and in a timely manner.

ESSENTIAL FUNCTIONS AND BASIC DUTIES

Follow safety policies and procedures ensuring maximum security and protection of all customers and company assets.
Ensure maximum customer satisfaction. Work cooperatively with all consumers, new hires, clients, community groups, store managers and district managers, and other team members to promote the achievement of the company mission. Maintain strict confidentiality of all sensitive information concerning consumers and/or employees.
Provide secretarial, clerical, and administrative support services necessary for the smooth and efficient running of sales and operations divisions. Answer telephone and provide information to callers or routes call appropriately.
Cover the front desk occasionally. Maintains all appropriate documentation for customer complaints.
Assist various departments in meeting deadlines, including the maintenance of all appropriate documentation and participation in special events.
Schedule, coordinate, set up, confirm, attend, and/or participate in department/division meetings, training sessions, record minutes as required.
Establish and maintain various record keeping systems including methods for appropriate follow-up and tracking for: store supplies, new goods, store donations, monthly billing, employee uniforms, divisional sales reports, deleted items report, managers list, store signs, new goods invoicing, check requests, AND report, administration of testing and gathering results.
Assist with assessment testing for new hires/trainees. Send assessment, note scores, follow up for retesting/referrals.
Ordering of supplies on monthly basis, prepare POs for retail orders, processing supply orders to retail locations, track P&G Report.
Advise V.P. of Donated Goods Retail of progress, problems, and new developments on a regular basis. Advise operations management staff of progress, problems, and new developments on a regular basis in regard to ADC team members.
Communicate to managers regarding monthly financials, color rotation calendar, monthly bonus incentive.
Compose and report EMR Report; AND/Janitorial Report.
Advise V.P. Donated Goods Retail of progress, problems, and new developments on a regular basis.
Assist with conducting research and prepare statistical reports.
Assist with conducting research and prepare statistical reports including information for sales and operations board meeting.
Ability to work varied hours/days as business dictates.
All other duties as assigned.

EDUCATION/EXPERIENCE:

An Associate degree in business management or equivalent in closely related fields. A minimum of 2+ years of related experience and/or training or equivalent combination of education and experience. Ability to use Microsoft Office Suite 365, Excel, and other in-house programs.

The Sales Administration Coordinator position supports the field sales staff with revenue management, data reporting, and other key business support priorities. Daily activities may include interaction with sales field teams, internal order support teams, and direct contact with hospital accounts regarding outstanding Purchase Order information.


A Day in the Life

Responsibilities may include the following and other duties may be assigned.
  • Establish an effective and collaborative relationship with the field sales team and serve as a liaison between the field and corporate teams.
  • Provide field personnel and customers with customized sales and data reports.
  • Confirm with field personnel and/or customers that product is properly reflected in applicable ERP system (SAP), for accurate invoicing.
  • Communicate with and assist field personnel and/or customers to obtain and apply purchase orders for pending cases.
  • Collaborate with internal partners to resolve pricing, inventory, or other issues with bill-only orders.
  • Assist customers with obtaining invoices and credit documents as requested.
  • Assist with credits or exchanges, collaborating with field personnel and finance to ensure timely resolution.
  • Research, track, and provide resolution relating to freight, carrier, or other issues.
  • Facilitate status updates as necessary for customers regarding warranty credits.
  • Monitor and communicate with the field team when a product has not been registered.
  • Verify and correct territory assignments within Medtronic's SAP system.
  • Review and update alignments for implanter assignments.
  • Possess comprehensive knowledge of Medtronic products, services, and cross-functional teams.
  • Contribute innovative ideas that lead to positive business results and process improvements.
  • Maintain customer relationships to increase and maintain Medtronic's competitive advantage.

Must Have: Minimum Requirements
