* Implement and manage the Samples workflow to get product in and through the Time to Market (TM) process, from the time of purchase order is entered to the time the product is published on the website(s).* This requires monitoring the amount of purchase orders coming in along with the dollars being received; adjusting the TM quantity when needed to accommodate increases bases on dollars and quantity of styles (this is generally caused by Retail Show season).* This is accomplished by the use of Receiving’s Priority Log, Sample Status (Samples Tracking System) and several other reports.* Manage process to make sure samples arrive in a timely manner.* The goal is to have styles available for Catalogs and published to the website(s) prior to the bulk shipment being received, allowing us to sell the product immediately.* This would include making sure samples have been ordered within 24 hours of the time the purchase order has been entered with the first follow up coming within 24 hours verifying the vendor has received the request, with the goal of having samples shipped within 5 business days of the Sample Request having been sent to the vendor.* Manage TM’s making sure all samples needed are within the workflow process in a timely manner, as well as monitoring the flow in and out of each of the following departments: Specs, Photography, Color Correct and Copy.* Work with Merchandising, Planners and QA for items to be added or removed from websites.* Keep track of received product (from the bulk shipment) not yet published to the web, having the goal to keep the percentage of dollars not published below 2%.* Address all QA issues as samples come through the Sample department, involving the Buyer Assistants, Buyer and QA department when needed.* Making sure if changes have been made the proper notes have been added to assist the Receiving department when the shipment arrives.* Work with various departments making sure the samples needed are requested and processed in a timely manner, adjusting the workflow when needed to accommodate their needs.* Verify all products on the website have images and Color Chips using various reports.* Verify all products on the website have a Color Family associated with it using various reports.* This allows a customer to search by color on the website.* Work with Photography so Vendor Images can be used when appropriate.* Manage styles requested to be un-published, verifying they are republished at the appropriate time.* These can be un-published due to QA issues or at a Vendor’s request such as MAP dating.* Verify styles are published to website.* Manage the Samples inventory, making sure unneeded inventory has been moved to the Fulfillment Center and made available for sale; this would include any product coming back from the Photography stock.* Manage samples determined cannot be sent to the Fulfillment Center are sent to the Retail store, making sure all have an item number and pricing when needed with the goal of it being sent on a weekly basis.* Work with OMS and Reports to create better ways to monitor and process samples throughout workflow processes.* Work with Buying Assistants and QA Pod group with issues and questions they may have on the proper way to set up style numbers, colors and sizes.* Manage changes being made to a style, making sure images and copy match inventory.* This job description is not all encompassing and other responsibilities may be assigned
