Shift/Schedule Requirements: Ability to work various shifts and days including nights, weekends and holiday periods to meet business needs.
The Maintenance Office Assistant will perform receptionist duties including greeting and receiving visitors and directing them to the proper individual and/or department, and answer, screen and transfer/dispatch calls to the appropriate personnel. This position will operate two way base radio for communication to maintenance trades and supervision, provide clerical support including but not limited to: execution of documents in DocuSign, scanning, filing, date entry, creating spreadsheets, sorting and distributing mail, and monitor and maintain all associates' timekeeping, attendance tracking and entry of schedules. Additional duties include entering purchase order requests in the JD Edwards accounting system and processing packing lists and invoices as well as the distribution of open invoices.
Responsibilities:
Maintain, research, distribute and track all open invoices sent through the OnBase system.
Process receipts and invoices in JD Edwards, Smartsheet and OnBase on a daily basis.
Provide trouble shooting assistance with receiving issues regarding invoices not clearing in OnBase.
Create and distribute monthly spreadsheet of Open Purchase orders to Leaders.
Timekeeping: Review and correct all departmental labor time-clock entries in Kronos on a daily basis. Obtain all required documentations of approval for any time edit corrections.
Update and maintain all maintenance division schedules. Maintain and track associates' attendance via hard cards, spreadsheet and Kronos. Work with Manager on any discrepancies. Greet and receive all visitors and direct them to the proper individual and/or department.
Answer, screen and dispatch calls to the appropriate personnel while maintaining the daily call logs/work lists for all trades.
Provide clerical support including but not limited to: execution of documents in DocuSign, scanning, filing, typing divisional correspondence, creating spreadsheets, sorting and distributing mail and coordinating events.
Assist with organization and distribution of employee incentives.
Labor Distribution: Data entry of all work records on a daily basis.

* Collaborate with Chief of Staff to strengthen Board of Trustees relations, supporting strategic initiatives and fostering effective communication between President and Board members.
* Gather and organize briefings, background materials, and key stakeholder information for presidential meetings and events.
* Assists with development and management of the budgets under control of the President's Office by maintaining records, producing financial reports, approving expenditures, completing budget transfers, expense reporting, and reviewing vice president's purchasing card transactions.
* Supervise presidential interns and/or other office assistants and coordinate their schedules, projects, and hours.
* Assist Chief of Staff and Academic Affairs Coordinator/Executive Assistant to the Provost as needed.
Required Qualifications
* Associate degree in Office Administration or similar program strongly preferred. High School diploma/GED with some higher education credit is required.
* Minimum of five (5) years relevant clerical, administrative, and/or managerial experience, preferably with an upper-level administrator.
* Requires comprehensive administrative experience, exceptional management and public relations skills, and broad knowledge of organizational policies and procedures.
* Performs duties of a sensitive and confidential nature that require discretion, independent judgment and decision-making skills.
* Must be detail-oriented, calm under pressure, able to multi-task, prioritize, and demonstrate excellent organizational, follow up, and verbal and written communication skills.
* Candidate must be proficient in the use of technology platforms, including Microsoft Teams and Zoom, and have the ability to instruct Board members on their usage.
* Must be proficient with media presentation platforms.
* Must be able to create and edit Excel files, PowerPoints, PDFs.
* Ability to work indoors in moderately stressful environment.
* Requires availability to work some evenings and weekends.

* Experience in a higher education setting is preferred.

We are seeking a Cleaning Manager to join our team! The Cleaning Manager is responsible for assisting with management of contract compliance for designated building maintenance services, as well as maintaining the relationship between City Wide and Independent Contractors. Employee must possess ability to review the client contract and check that work expectations have been met.
Essential Functions:
Perform Client site visits in the evenings to ensure compliance with account scope of work and company policies.
Manage inspections, address complaints, and oversee new Client starts to maintain high levels of satisfaction.
Build strong working relationships with Independent Contractors (ICs) by communicating client priorities and collaborating to find solutions.
Communicate with Facility Services Manager daily for any issues that need immediate attention, including the nightly recap via email or phone message.
Ensure compliance with client policies & procedures, approved cleaning tools and equipment and their proper use.
Other duties as necessary.

Requirements
Fluent English written and spoken skills (Spanish and Portuguese highly preferred as additional).

Must have reliable transportation with an active driver's license and auto insurance.
Must be comfortable using a smartphone and Outlook email.
