Job Description
The Surgery Scheduler must schedule office based and hospital procedures consistent with the patient's diagnosis and procedure request.
Position requires utilization of clinical knowledge to schedule appropriate procedures/surgeries per provider's orders.
Also requires excellent customer service skills with patients, employees, and the public. The Surgery Coordinator must be able to respond to both written and oral correspondence regarding scheduling changes/cancellations in a timely, accurate manner. Individual must be organized, and be able to manage demanding workload with accuracy.
DUTIES AND RESPONSIBILITIES:
Schedules office and hospital based medical procedures, for patients with appropriate provider and time/location slot, utilizing appropriate scheduling code.
Schedules diagnostic and imaging tests to be completed at PMG. Schedules office and hospital based medical procedures, tests and imaging ensuring available time is utilized to maximum efficiency.
Interfaces with appropriate vendor staff to ensure all necessary equipment will be on site for
office and hospital based procedures, including scheduling with contracted anesthesia groups.
Interfaces with appropriate hospital staff to ensure a cohesive working relationship in providing patient care serves.
Enters notes/special instructions needed for scheduling in the electronic medical record.
Effectively utilizes clinical knowledge when determining if appointment is consistent with the
diagnosis/indications indicated by the provider.
Completes accurate documentation of informed consent with patients for procedures and
surgeries as needed.
Provides accurate, detailed information to patients regarding test preparations, time of patients
scheduled arrival, and any other directional information needed; takes appropriate action in
responding to questions from patients.
Confirms patient's insurance provider and either obtains prior authorization or communicates
need for prior authorization to appropriate parties as needed.
Ensures patients have proper medical clearance and pre-surgical testing as needed.
Completes pre-procedure phone calls and confirms appointment times with patients via telephone.
Ensures completion of assessment for advance directive, including DNR when applicable.
Reviews discharge instructions with patients and ensures proper follow-up appointments are scheduled at the time the procedure is scheduled.
Performs all aspects of patient care in an environment that organizes patient safety and reduces
the likelihood of medical/health care errors.
Assists other members of the department as needed.

POSITION SUMMARY:
Working under the supervision of the Clinic Manager, the Patient Access Representative will work closely with the medical, mental health and recovery, and other staff to ensure a smooth and efficient operation of reception, data collection, answering phones, scheduling appointments, and overall administrative support to health services. This position demonstrates excellent customer for patients and guests when they arrive at the health center. The PRN Patient Access Representative is an on-call or as needed position to provide coverage when there are short or long-term absences.
ESSENTIAL JOB FUNCTIONS:
Essential functions of the job include, but are not limited to, scheduling, utilizing a computer for data entry and reporting, operating office equipment, sorting, conducting research, attending meetings, interacting with others and managing multiple schedules.
MAJOR AREAS OF RESPONSIBILITIES:

Manage any Medical records that come in via fax or mail, by organizing and distributing to a member of the Medical team.
Coordinate with the RN/LPN daily to schedule vaccinations and Lab visits.
Assist in planning, managing and coordinating patient flow in clinic areas, and day-to-day operations of the clinic to ensure high quality service provision.
Maintain a clean, orderly and professional waiting room, reception area, and other health services areas.
Prepare and maintain health services patient/client records in compliance with HIPAA government regulations and in accordance with Equitas Health provider standards to ensure efficient services.

The Patient Concierge Coordinator will join a team working to establish and cultivate this global service offering at Medpace. This new service directly supports the patient in their journey of participating in a clinical trial through coordinating travel logistics on their behalf and reimbursing any out-of-pocket expenses. The goal is to provide a positive experience for the patient by easing the financial burden and coordination effort when traveling from their home to clinic. This position will be coordinating processes between several internal groups at Medpace and working with the technology team on website and integration enhancements.
Responsibilities
* Main point of contact for the patient and clinic nurse to receive and fulfill travel and payment requests
* Work with the client and trial manager to create guidelines and parameters for each new study
* New study set-up activities: add to portal, set-up in finance, generate materials from existing templates, ensure proper regulatory filing and translations
* Onboard the clinic nurse for new sites
* Liaising with patients (or patient's primary caregiver/family member)
* Coordinate logistics and translation needs with various outside vendors
* Effectively plan for future visit needs and utilize efficiencies whenever possible
* Track spending and prepare monthly usage financial reporting
* Maintain effective and efficient communication
* May be responsible for other projects and responsibilities as assigned
* Some evening and or weekend work for patient travel emergency assistance
Qualifications
* Bachelor's degree
* Experience in a patient-facing role preferred
* Knowledge and experience of global travel logistics, infrastructure and cost drivers
* Knowledge of the pharmaceutical clinical research industry and how participation in clinical trials affects patients, as well as clarity on the benefits of this support
* Prior experience of working within a clinical research/healthcare setting
* Spanish speaking is a bonus, however not essential
* Effective time management skills, with a strong ability to manage multiple projects and timelines
* Computer literacy and knowledge of Microsoft Office products (e.g., Word, Excel, Power Point)
* Determined and enthusiastic to embrace an opportunity within a new service
* Team-player with a positive attitude and genuine love to support patients

Ability to multitask in a busy environment with frequent interruptions
Strong communication and interpersonal skills
