Job Description ESSENTIAL DUTIES and RESPONSIBILITIES Performing this job includes the following, and other duties may be assigned. Supervises front desk, switchboard, and medical records and managed care staff. (Recruitment, orientation and training, provide point of contact to front desk and dental front desk staff, resource allocation, task definition, performance standards, performance feedback, cross training, performance evaluation, corrective action, shift scheduling, coordinate training, changes in policy that affect their department, and interface between management.) Maintains high degree of confidentiality and professionalism. Oversee access, customer service; check in procedures, patient confidentiality, registration, and patient financial screening procedures. Ensures that all policies and procedures are being followed and are efficiently implemented. Works closely with the Nursing and Lab departments to ensure the delivery of efficient and effective customer service to staff and clients. Will be responsible for delegating tasks that will ensure necessary completion of daily assignments. (Providing interoffice phone directory, maintaining accurate changes in providers schedules, keeping postage machine updated, ordering and receiving supplies, providing support for office equipment and operations, overseeing collections and deposits, ensuring all encounters are reconciled and correctly processed and mail distribution). Assists in the preparation and implementation of departmental policies and procedures. Will work closely with supervisor/managers/directors to keep staff informed on any changes in policies. Works closely with clinic management on problems and issues related to patient flow and operations. Responds to patient complaints and concerns in coordination with clinic management when necessary. Will be diplomatic and offer solutions that will benefit not only the staff but the organization as well. Will offer leadership to prioritize and organize the departments in the most efficient manner. Assists with compiling data and preparing reports relative to various phases of health center activities. Assists with implementing and conducting audits relative to quality improvement activities. Develops and maintains collaborative working relationships with Sea Mar employees and the community. Demonstrates knowledge and skills necessary to provide services appropriate to the age of patients served and identifies age-specific needs. Qualifications To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. The person in this position must be of good character and able to maintain the understanding, physical health, emotional stability and personality suited to meet the physical, mental, emotional, and social needs of the population served. Must have excellent customer service skills and experience working with culturally and economically diverse communities. Computer proficiency required (Microsoft Office). Post-secondary education preferred. LANGUAGE SKILLS Ability to read and write proficiently in English. The ability to speak and interpret in Spanish is ideal. The Front Office Supervisor must demonstrate clear concise written and verbal communication to communicate skills. Must be able to interpret documents such as safety rules, operating instructions, policy and procedure manuals and reference materials. MATHEMATICAL SKILLS Ability to add, subtract, multiply and divide. Basic accounting principles. Should be able to analyze and present simple data as needed for reports. REASONING SKILLS Must be able to solve practical problems creatively in a variety of situations and circumstances. Must be able to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Education, Certificates, Licenses, Registrations, and Medical Screening EDUCATION and/or EXPERIENCE High School graduate or equivalent. Must have demonstrated leadership skill of at least two years ambulatory front office experience. Previous supervisory experience preferred. Facilitates appointment time through scheduling and following up on failed appointments according to protocol, coordinates services with other health professionals, and cooperates with other departments. Documents assessment, treatment, and plan of action from counseling session in Medical record according to protocol. Compares information collected to program criteria to accurately determine WIC eligibility and nutrition risk factors. Determines appropriate food package, explains nutrient content of WIC foods, identifies contracted food vendor, issues manual or computerized food vouchers and documents check issuance. Required Education and Certification: Bachelors or Master's degree in Nutrition from an accredited university. Completion of accredited dietetic internship program or Coordinated Undergraduate Program in Dietetics. Registered Dietitian (RD) credential and Certified Dietitian in the state of Washington required at time of hire. Experience and Required Skills: 1 year experience in an outpatient nutrition setting is desired, but not required. Experience in a community nutrition setting with an interest in eating disorders, weight management and diabetes education desired. Ability to deal patiently and empathetically with multicultural clientele, even under stressful conditions, is required. Conditions of Employment: * The person in this position shall have no history or evidence of alcohol or other drug misuse for a period of three (3) years immediately prior to the date of employment at the facility, and no misuse of alcohol or other drugs while employed at Sea Mar. * Ability to write routine reports and correspondence. * Ability to speak effectively before clients or employees of organization. * Must be able to perform a minimum of 40 face-to-face encounters per week. Disordered Eating - Outpatient Integrated Behavioral Health Policy and Advocacy TRAINING All interns at Ryther receive basic introductory training in Motivational Interview, behavior management, trauma-informed care, crisis de-escalation, record keeping and clinical writing, workplace expectations, ethical decision-making, case management, and more. Additional trainings are provided based on each intern's degree program and learning pathway. SUPERVISION & CONSULTATION All interns meet regularly with their direct supervisor. Additionally, group supervision is made available to all interns. Group supervision allows for collaborative learning and discussing prominent issues in our work. All interns will be expected to attend their respective team/department's weekly team meetings. Depending on the program/department where the intern is working, they can attend regularly scheduled interdisciplinary case consults (“grand rounds”). REQUIREMENTS Ryther seeks interns at the Associate's, Bachelor's, and Master's level. We currently only accept interns enrolled in a relevant educational degree program. The required qualifications vary for each Learning Pathway. Click on each Learning Pathway to review eligibility requirements. Responsible for performing phlebotomy, waived tests, Automated CBCs, EKG's, Spirometry's, to assist in the diagnostic and treatment of the patients. Keep and maintains lab, reports and logs, processes specimens for outside referrals, keeps adequate inventory of supplies. Performs all tasks in a safe manner and in compliance with Sea Mar Health and Safety and infection control program. RESPONSIBILITIES AND DUTIES Follows Universal Precautions against biohazard contamination during blood drawing, handling, preservation and transportation of body fluids, keeping area clean and disinfected, disposing of contaminated material in proper containers, using personal protective equipment (PPE). Observe and follow the OSHA safety and the Health Insurance Portability and Accountability Act of 1996 (HIPAA Privacy) regulations. Greetings the patients. Communicates well with the patients to make sure they are kept calm and still. Identifies patient with name and DOB, labels tubes and follow proper timing of collection as needed with high attention to detail to ensure patient's address is correct. Collects human fluids, blood specimens by venipuncture and capillary from patients using proper collection tubes for tests ordered. Gives clearly instructions to the patients. Verify for proper tests order in Electronic Health Records (EHR) Follows written policies and procedure for a comprehensive quality assurance program and quality control procedures, providing and assuring accurate and reliable test results and quality reports. Maintain appropriate documentation of temperature; preventive maintenance activities; method procedures; quality control; and quality assurance. Follows the Policies and Procedures Laboratory Manual, Safety and infection control procedures. Maintains constant contact with providers and nurses for patient care. Restock reagents and requests replacement supplies from referral lab for specimen collection and transport. Verify reagent's expiration dates. Requires by HIPAA to protect the privacy and security of the Personal Health Information to which you have access and follow OSHA and CLIA regulations. Assist support personnel by assisting them during the day across various departments as requested, and working overtime hours as necessary. EKG: • Prepares room for the patient. • Prepares the patient with cape, drape sheet or other supplies needed to maintain modesty and dignity. • Applies electrodes, operates EKG machine according to manufacturer's instructions to obtain proper tracings. • Identifies patient by name and DOB and register in the monitor. Labels tracing as required and consults with provider if any unusual circumstances affect the test. • Responsible for the maintenance and storage of the equipment. • Responsible to work with the manufacturer for equipment troubleshooting. • Verify for proper order in Electronic Health Records (EHR) Spirometry: • Run the calibration of the equipment every 24 hrs or day of use. • Prepare the patient and testing following the manufactures' instruction and laboratory Policies and Procedure Manual. • Report accurate results to a licensed provider. • Responsible for the maintenance and storage of the equipment. • Responsible to work with the manufacturer for the troubleshooting of the equipment. Specimen Processing and Results Reporting: • Verify for ordering test in EHR. • Blood draw patients and follow instructions for specimen processing. • Process specimens according the reference lab guidelines. • Tracking and review tests results in EHR every day. • Communicates with providers, clinic staff and reference lab for smooth operation of the department. CONDITIONS OF EMPLOYMENT The individual must pass a background check from the Washington State Patrol and from other States when required. This individual must sign an oath of permanent confidentiality covering all patient related information and a complete hire packet. The new employee shall sign and date the job description to affirm the validity of the information provided, and to signify compliance with the conditions of employment. Qualifications Active Medical Assistant-Phlebotomist (MA-P) certification from the Washington State Department of Health required. Education: High School Diploma or GED. Able to provide documents during the interview. Foreign applicant requires the equivalency in the US for the HS Diploma. International education equivalents applied to US education. Graduated and certified from a recognized US Phlebotomy School Program or authenticity of documents and accreditation status of foreign schools. Pass a pre-hire competency test. Ability to communicate bilingually in English and Spanish or other languages is desirable. Exceptional customer service and blood drawing skills. This individual is responsible for providing direct counseling services to patients. The counselor is the agent for providing services to patients in a one-to-one or group format, performing assessments, evaluations, and intakes. Counselor will understand the services at the organization follow a client-centered model with emphasis on integrated care. Duties and Responsibilities: Demonstrates knowledge and skills necessary to provide care appropriate to the age of the patients served. Provides screening and evaluation of individuals and refers them as needed to other treatment/service programs as are available in the facility and in the community. Provides individual and group counseling for persons in the process of discovering and dealing with drug related problems and emerging mental health issues. Implements problem oriented records system, Federal/State/County reports, patient surveys, and submits on a monthly basis to Program Manager. Maintains professional standards and follows the treatment policies and procedures of the facility, and of the federal, state, and local regulations, especially WAC 388-805 requirements. Has a thorough working knowledge of appropriate WAC, and RCW's. Prepares current patient progress reports and completion notices and provides them to the courts, probation departments, families and referral sources when appropriate. Conditions of Employment: The person in this position shall have no history or evidence of alcohol or other drug misuse for a period of three (3) years immediately prior to the date of employment at the facility, and no misuse of alcohol or other drugs while employed at Sea Mar. Ability to write routine reports and correspondence. Ability to speak effectively before clients or employees of organization. Must be able to perform a minimum of 40 face-to-face encounters per week. If less than 40 per week, then must meet a minimum of 85 direct service hours per week. Education and/or Experience: For Trainee, must have completed all the classes required to become a Substance Use Disorder Professional and must have completed all the practicum hours required by the State Department of Health to become a Substance Use Disorder Professional. Must have current Substance Use Disorder Trainee Registration with the State Department of Health.
