Provides leadership in healthcare management to ensure day-to-day execution of medical model collaborating with therapists and specialists to drive optimal clinical outcomes and case closure
Manages clinicians, support staff, and complies with APC supervisory requirements

As an Assistant Center Operations Director (ACOD), you will assist and support the Center Operation Director with ensuring that the optimal level of care and customer service is delivered to all customers. Assists in the preparation and review of operational reports and schedules to ensure accuracy and efficiency
Assists Center Operation Director in conjunction with Human Resources in the implementation of Human Resource policies and procedures for Center personnel
Assists in preparing annual budgets
Assists with on-site tours and training of Center personnel to present clinic services to clients to ensure achievement of established goals
Provides technical support and/or resources to client and Center personnel
Assists with managing on-site nursing services provided by Center to client companies, including billing counseling, and supervision of on-site personnel
Administers testing by medical staff to ensure proper performance, and ensures all certifications are current and regulatory procedures are adhered
Assists in monitoring marketplace trends and gathers competitive information
Assists in coordinating and consolidating services with local vendors to obtain best prices for goods and services obtained Facilitates productivity and customer service

Become the Quality/Risk Coordinator you've always wanted to be
• Partner with the Director to assess compliance regulatory and accreditation standards.
• Facilitate processes to remediate and/or maintain compliance.
• Assist in writing corrective action plans and assessments (i.e. TJC PPR).

Follow up with new front office employees to ensure they have been trained fully, have a complete understanding of their responsibilities and expectations, and understand the importance of their role in the facility's success.

Monitor and manage bad debt at the location level to ensure maximum results are achieved through reports, audits, and retraining as needed to meet established goals.
Analyze and review financial metrics to drive the company's business plan. Identify areas with improvement potential in lowering DSO, improving clean and timely claim submission, and OTC collections. Guide the facilities to improve their processes with follow-up to ensure that the improvement is made and sustained.
Actively engage in Revenue Cycle processes by managing Optimix queues and reviewing all reporting on the Front Desk Dashboard to identify errors, disseminate the information to the centers, ensure timely resolution, and provide training/refresher training as needed.
Ensure centers are compliant with the Over the Counter payment policy to include the daily reconciliation of all payments, obtaining the weekly money order timely and securing all cash in a locked area at all times.
Ensure center Patient Exchange Funds are reconciled daily and Petty Cash Funds reconciled monthly to include completion and submission of the Outpatient Petty Cash Reconciliation Form.
Ensure monthly reconciliation is complete for each clinic and all visits and charges are captured and balanced. Review and resolve any variances for the month-end.
Ensure quarterly audits are performed, completed, and entered into the QA database by the deadline, along with any action plans as needed. Findings are to be reported to the Center and Market management and the Senior Revenue Cycle Manager or Director of Revenue Cycle Management. Provide feedback to the front office staff and follow up to ensure all concerns and deficiencies are addressed and resolved. A summary of the audit results should be included in the weekly report to the Senior Revenue Cycle Manager or Director of Revenue Cycle Management.
Ensure completion of the electronic medical record retention process to verify that all required patient chart information is saved, legible, and properly named according to protocol.
Provide ongoing communication to center management and market leaders on the overall performance of the Patient Service Specialists to assist with the annual performance review process and corrective action as needed.
Visit clinics on an as-needed basis to provide necessary support, training, audits, and follow up on action plans when appropriate. If overnight travel or travel with incurred costs (extensive mileage or car rental) is necessary, prior approval by the Senior Revenue Cycle Manager or Director of Revenue Cycle Management is mandatory.
Act as a gatekeeper of payer information, communicate updated payer information to facilities as needed; create facility reference tools for “top ten payors” for the market. Communicate regularly with the Contracting department to stay informed of any new changes or requirements involving payors.
Perform as a market liaison, an extension of the CBO. Develop relationships with CBO leaders and have regular communication to identify issues, trends, and successes.
Oversee and ensure completion of market-specific and state-specific credentialing of facilities and new and existing clinicians.
Assist in the transition of new facilities, relocations, and closures. Complete Payor Notification Checklist to ensure all requirements are met.
Coordinate and lead monthly conference calls with Patient Service Specialists and Center Support Specialist staff to address updates and improvement opportunities. Calls may include CBO members when

The Medical Support Specialist (MSS) is responsible for performing routine medical and testing procedures under direct supervision of the treating clinician as well as supports in other areas of the facility as needed including registration and referral management. Responsibilities
Perform Department of Transportation (DOT) and Non-DOT drug and alcohol testing
Prepare patients for physical examinations, including taking vital signs and any required or requested ancillary testing including but not limited to vaccines and injections, phlebotomy, PFTs, audiogram testing and respirator fit testing
Perform rapid screening tests (influenza, strep, mono, glucose, etc.)
Assist providers during examination and treatment
Responsible for performing routine medical procedures as ordered by treating clinician as well as triaging emergent patients as needed
Prepare and assist clinician with procedure set up and injury care
Apply bandages, dressings and splints as ordered by the treating clinician
Dispense medications and DME as ordered by the treating clinician in accordance with state regulations
Complete quality assurance activities on equipment and medical devices as well as testing processes used in the center
Maintain supplies, clean rooms and equipment, and stock exam rooms
Maintain and operate all medical devices and equipment, including calibration and record keeping in accordance with current policy and procedures
Notify supervisor immediately if equipment is not functioning properly, supplies are needed, or facility is not operating as expected
In partnership with center leadership, assist with patient flow and volume
Keep patients informed of expected wait times during all aspects of the center visit
Responsible for clerical tasks in both the front and back office associated with patient care and proper record keeping
Ensure accuracy in documentation
Perform front office duties: greet patients, obtain authorization, check in/out, communicate wait times, answer multi-line telephone system, and distribute employer results/paperwork as needed
Follow HIPAA guidelines and safety rules
Attend center staff meetings or huddles as required
Assist in maintaining a neat, clean, and orderly appearance throughout the facility
Complete any applicable training including but not limited to clinical competency training that occurs monthly

Qualifications
Education Level: Vocational/Technical/Business School
Graduate of an accredited medical assistant program with completion of an externship highly preferred, OR at least one year of direct patient care experience as a medical assistant, OR military medical specialist experience (must meet credentials in the state of employment in accordance with state requirements and applicable regulations)
Job-Related Experience
