SUMMARY
The Senior Staff Accountant will directly support the Director of Finance and Accounting in a wide range of financial duties including payroll processing, accounts payable, general ledger reconciliations, and month-end close out procedures.
ESSENTIAL RESPONSIBILITIES
Lead and manage all aspects of bi-weekly payroll and benefits administration for multi-state company.
Oversee the timesheet process for timely and accurate completion. Train new employees on payroll system.
Prepare payroll journal entries and reconcile payroll-related accounts.
Prepare 403B retirement contribution calculations and upload to broker.
Serve as the finance lead for the 403(b) retirement plan audits. Prepare all required support.
Ensure all payroll tax returns are timely filed and resolve federal, state, and local tax compliance issues.
Manage our workers compensation insurance plans and annual audits.
Prepare allocation journal entries for ZTT cell phones and internet stipends
Perform all accounts payable functions. Review check requests and invoices. Ensure reasonableness and allowability of incurred costs, proper documentation, and accurate coding.
Follow-up on outstanding purchase requests and vendor invoices regularly.
Review and process credit memos and voided checks.
Follow up on outstanding checks
Prepare month-end accrual and prepaid reconciliations
Manage and process corporate credit cards and upload into our accounting system.
Review and process employee expense reports, reimbursements, and cash advance requests.
Follow-up on unsubmitted expense reports with staff and supervisors regularly.

Prepare IRS Forms 1099, verifying the accuracy of the information, printing and submitting the forms.
Respond to vendor and staff inquiries.
Support the accounting team in month-end closings and financial audits.
Apply accounting principles and practices following standardized, well-established procedures.
Ensure that the operational and design effectiveness of internal controls is maintained.
Ensure accounting systems and processes are continually streamlined via process improvement and automation to achieve greater efficiencies, accuracy, and timeliness of reporting.

JOB SUMMARY:

PRINCIPAL RESPONSIBILITIES:
Finance and Accounting
Ensure accounts, ledgers, and reports comply with GAAP and regulatory requirements.
Work with the CFO to develop and maintain a service-centered financial system that meets the information needs required for external reporting, internal financial planning, and program implementation.
Prepare, review, and approve financial statements and month-end entries and accounting report package for accuracy and timely distribution to the Executive Team, as well as the Finance Committee and Board as needed. Monitor financial performance and keep CFO informed of significant variances across periods and impact on cash needs.
Prepare annual financial statements and notes. Oversee and consolidate information in the preparation of annual tax returns.
Maintain internal controls and safeguards for receipts, payments, fixed assets, and recording transactions.
Serve as primary point of contact with outside auditors to coordinate audit activity.
Recommend and implement improvements for accounting processes to increase efficiency and accuracy.
Provide training and guidance to stakeholders on finance and accounting current best practices to support effective program implementation.
Cash Management
Monitor operating account balances and recommend necessary cash transfers among bank accounts and/or investment accounts.

MINIMUM QUALIFICATIONS

Knowledge of tax laws and related issues for 501(c)(3) and 501(c)(4) organizations, including UBI, lobbying disclosures, federal and state filings, and internal controls
Expertise in accounting software and office software products (Sage Intacct preferred).
Superior understanding of all aspects of nonprofit accounting, financial management, and FASB pronouncements.
Experience in accounting for deferred gifts.

The Opportunity:
The Leadership Conference is seeking a Controller to join our Finance Department. Reporting to the VP, Finance, the ideal candidate will have experience performing highly specialized accounting tasks required to maintain both organizations' general ledger. The candidate must have a working knowledge of accounting principles applicable to not-for-profit organizations. The Controller will update and maintain the accounting manuals of the C3/C4 organizations, ensuring full compliance with IRS, GAAP, and FASB's evolving codifications, while also providing accurate financial reporting for both internal and external stakeholders. This position is also responsible for preparing monthly and annual financial statements, reviewing tax returns (including Form 990), and managing an annual audit, to achieve no material findings. Candidate Profile:
Supervises, directs, reviews, and enhances the accounting functions and processes (including, but not limited to, cash reconciliations, investment account reconciliation, accounts receivable transactions, fixed asset activity, accounts payable transactions, recording of revenue and expenses, etc.).

REPORTS TO: Assistant Director of Finance
General Duties and Responsibilities
* Daily accounting operations, including general ledger, accounts payable support accounts receivable and payroll as needed
* Daily Bank reconciliation and sales and use tax reconciliation
* Maintain accurate accounts payable, prepayments schedule and accruals accounting records.
* Review purchase orders, invoices, Associate expense reports, check request and travel agency commission to ensure they are approved by appropriate outlet managers and they are in compliance with the hotel policy and contractual requirement.
* Process invoices for payment and conduct weekly check run.
* Responds to vendor and Associates inquiries regarding invoices, expenses, and check request and any discrepancy.
* Reconcile vendors statement and AP Aging.
* Familiar with the hotel expense general ledger code and ensure expenses are coded correctly in the general ledger account.
* Maintain vendor files that requires ACH/WIRE payment and submit them for approval before setting up any ACH/WIRE.
* Upload ACH/Wire transactions to the bank system (SUN Infor).
* Conduct weekly/biweekly check run.
* Prepare daily cash flow forecast, keep track of daily food cost and send reports to Food & Beverage Management.
* Reconcile monthly prepayment GL and ensure balance sheet reflects a fair reflection of the assets and liabilities.
* Work closely with the Senior Assistant Director of Finance, proving necessary support regarding month end.
* Assist in the month end process, manage account payable accrual, post adjusting journal entries, allocate expenses to various departments and perform outstanding check reconciliation.
* Review and upload credit card transactions to the back system (SUN Infor).
* Maintain vendor W9 and prepare annual 1099s
* Performs other related duties as assigned by management
* Comply with attendance rules and be available to work on a regular basis.
* Ensure timely and accurate month-end and year-end closings, reconciliations, and financial reporting
Experience and Requirements
* 2+ years of AP and Gener ledger experience, preferably hotel specific experience.
* Must possess superior computer skills, with Excel and MS Office; those with on-property management systems experience will be favored.
* Knowledgeable in hotel property management is a plus
* Bachelor's Degree in Accounting/Finance is required.
* Must have strong communication skills with fluency in English (verbal and written).
* Must be a demonstrated team player with a commitment to delivering their best every day.
* Must be able to work a flexible schedule to accommodate the business demands of a 24/7 operation.
* Must be willing to "pitch-in" and help co-workers with their job duties and be a team player.
* Strong organizational skills with attention to detail.

Responsibilities
As a Senior Property Accountant - Mixed Use with Hines, you will be responsible for ensuring accuracy and timeliness of accounting information to meet reporting requirements for a specific project and/or business entity. Responsibilities include, but are not limited to:
Works closely with applicable Hines personnel (e.g. Controller, Property/Project Manager, and Accountants) to ensure accuracy of accounting and financial reporting and construction draws (if applicable)
Prepare funding request to investors and lenders
Treasury functions including but not limited to setting up wire payments for distributions, debt service and other ad hoc wire payments
Review AR aging and assess collectability; recommend write-offs/reserves as needed
May assist Property Management team with A/R Analysis for collection efforts
Record journal entries to the general ledger and ensure records are kept in compliance with GAAP or other basis of accounting. As applicable, review journal entries prepared by Accountant or third party to ensure accuracy and compliance with accounting principles
Maintain reporting and draw calendars for Property/Project
Perform month-end close procedures including preparation and review of account reconciliations for more complex accounting areas
Process recurring and one-off revenue billings; diligently record cash receipts
Review and verify information provided by a third party or other internal functional groups
General ledger review and analysis
Prepare Property/Development Management fees and Construction Management fees ensuring proper calculation, invoicing and recording on a timely basis
Maintain fixed assets including recording/setting up new fixed assets and recording monthly amortization/depreciation
Prepare monthly/quarterly financial statements and supporting schedules working closely with Property/Project Manager to ensure accuracy
Prepare lender reserve/escrow/draw requests (TI, Commissions, Capital)
Research accounting guidance and draft position memos documenting accounting treatment of new/unusual items
Carry out the proper procedures to ensure internal controls are being met
May assist Asset Management and Property Management with annual property budget and reconciliation between Argus model and Budget/Forecasts. Enter approved budget into applicable accounting system.
Prepare information for financial statement and internal audits, as needed
Prepare tax projections and tax preparation workpapers
Assist with training and be a resource to new accountants within product type or specialization to ensure consistency of processes and deliverables
Assist Accounting Team with projects, ad hoc reports and analysis as requested
Qualifications
Minimum Requirements include:
Bachelor's degree in Accounting from an accredited institution.
CPA designation (or intention to work toward CPA designation) is preferred.
Three years of public accounting experience or 4 years of professional accounting experience.
Three or more years of prior management experience required.
Commercial real estate experience is strongly preferred.
Public accounting experience is strongly preferred.
Strong organizational and time management skills.
