What You'll Own
Executive & Leadership Support
You'll be a steady, proactive presence behind the scenes for senior leaders.
Manage calendars, schedule meetings, and coordinate complex logistics for senior leaders
Prepare meeting agendas, materials, and follow-ups for key internal meetings
Attend select meetings to capture notes, decisions, and action items, and distribute summaries
Support travel booking and logistics for senior leaders
Anticipate leadership needs, manage shifting priorities, and follow through on assigned tasks
Act as a point of coordination between leadership and internal teams
Operations & Office Management
You're the hub of daily operations and office logistics.
Manage office supplies, mail, and IT equipment inventory
Ensure new hires are fully set up before Day 1 (laptops, workspace, system access, welcome materials)
Run and coordinate new hire orientation to ensure a smooth onboarding experience
Coordinate conference room bookings and in-office schedules
Manage the operations inbox-triage requests and route them appropriately
Track recurring internal tasks and deadlines to support operational accountability
Compile and share a regular report of upcoming deliverables, deadlines, and operational priorities with leadership
Plan and coordinate internal events, team offsites, and client appreciation efforts
Coordinate with vendors and manage basic service relationships
Handle administrative tasks such as filing, document preparation, and collecting signatures
Qualifications
2-3 years of experience as an Executive Assistant, Operations Coordinator, Office Manager, or in administrative/operations support
Strong written and verbal communication skills
Highly organized with excellent time management and follow-through
Tech-savvy and a fast learner; proficient in Microsoft Office and Google Workspace

Our compensation reflects the cost of labor across several US geographic markets. The salary for this position ranges from $60000/year in our lowest geographic market up to $75000/year in our highest geographic market. Supports the President in their external commitments related to the Foundation, including service on external boards, committees and other groups.
Administratively supports other Foundation executives.

Among the varied range of responsibilities held within this role, the Marine Mammal Stranding Intern will,
Under supervision of the WDFW Marine Mammal Stranding Coordinator, assist with the following activities:
* Attending to marine mammal stranding calls, including weekend days and evening hours for portions of each month.

* Respond to sick, injured, and deceased marine mammals, and may be asked to assist with humane marine mammal euthanasia.

Travel Requirements: This position is located at the South Puget Sound Wildlife Area, Lakewood office, with work occurring throughout marine areas of western Washington. Occasional overnight stays in remote or locations away from the duty station and long hours both in the field and at the office.
Tools and Equipment: Typical office equipment, necropsy tools, 4-wheel-drive vehicles, and small boats with trailers.

The Administrative Associate provides administrative support to the Associate Dean of Student Affairs as well as other senior staff in management of fiscal affairs, office management, and human resource needs. This senior administrative support position provides enhanced administrative support to one or more individuals. This position maintains and reconciles purchasing cards for departmental, institutional or work unit accounts, and coordinates the schedules and maintains calendar(s) for assigned staff, regularly prioritizing and arranging meetings, conferences and appointments. This position will anticipate and prepares background materials needed, and may liaise with managers to ensure office administration policies, programs, and activities are appropriate for their needs. This role also typically plans, prioritizes, and manages maintenance and space activities and upgrades to equipment, facilities, and systems to minimize disruptions to business activities. This position is responsible for the hiring, training, and supervision of the office's summer and temporary staff, and oversees the customer service efforts of the front desk, to include referring constituents and resolving concerns as appropriate. This is the highest administrative support position that is not reporting directly to a Vice President or Dean. A major portion of this position includes responsibilities for pre-clinical student events and coordination with student committees. Some registrar and record keeping duties are also included. Additional duties include: Prepares meetings and minutes Orders office supplies and equipment Distributes policies and procedures related to student affairs functions Makes purchases related to student affairs using university purchase card (P-Card). Coordinates travel arrangements; prepares event pre-authorization forms, travel reimbursements and payment request forms as required Communicates with vendors and management of procurement and invoicing Assists with purchases for the student class and student government accounts. Provides administrative support and participation of SMHS senior level social functions and other SMHS hosted event activities Serves as the primary administrative liaison between the Office of Student Affairs and various internal and external contacts and organizations to provide information, enlist cooperation and implement programs and initiatives Coordinates with staff from various offices including Facilities Management, IT and Telecommunications, to ensure ease of operations and efficient management of daily incidents Supports faculty, deans, and staff in coordinating preclinical academic calendars and intersession curricular events Performs other duties as assigned by senior leaders of the Office of Student Affairs. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position. This position is a Hybrid position. Minimum Qualifications
Qualified candidates will hold a Bachelor's degree in an appropriate area of specialization. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.
