The Administrative Assistant II is responsible for providing advanced level administrative support along with performing clerical tasks that aid the daily business operations of the organization. Duties and Responsibilities
Works directly with the executive team and department leaders to manage and maintain complex calendars, schedule meetings, and coordinate travel arrangements.
Provide comprehensive support to the Board of Directors by preparing and distributing board meeting materials, maintaining board records, and coordinating logistics for board meetings.
Provide administrative support to department leaders across various teams, assisting with a wide range of tasks including document preparation, data management, coordinating meetings, and handling correspondence. Ensure that each department's administrative needs are met promptly and efficiently, contributing to the overall success of departmental operations.
Prepare and proofread reports, presentations, and correspondence with a high degree of accuracy and confidentiality.
Coordinate company meetings, conferences, and events; including room reservations, scheduling, and preparation of agendas, meeting minutes, and materials.
Organize and maintain filing systems, both electronic and physical corporate records, ensuring compliance with company policies, legal requirements and industry standards.
Serve as a primary point of contact for the executive team and department leaders, handling correspondence and inquiries professionally.
Assist with travel arrangements, including booking flights, hotels, and transportation, as well as preparing itineraries.
Assist with managing inventory and ordering office supplies, when necessary
Provide backup support for arranging the delivery of domestic and international packages.

Ensure proficient use of computer hardware, software, telecommunications, and office equipment, while effectively navigating multiple systems simultaneously.

Education and Experience Requirements
Associate or Bachelor's degree preferred

3+ years of experience in an administrative support role.

This internship opportunity is available to Master of Business Administration (MBA) and Master of Healthcare Administration (MHA) graduate students attending a Historically Black College or University (HBCU) or Hispanic-Serving Institution (HSI).
The Department of Laboratory Medicine & Pathology (DLMP) in partnership with Mayo Collaborative Services supports physicians at Mayo Clinic and around the world by performing testing services for diagnostic and therapeutic evaluations. Additionally, Mayo Collaborative Services, in partnership with Mayo Clinic Laboratories, is a global leader in diagnostics dedicated to collaborative discoveries and patient breakthroughs.
The EQUAL internship is a paid, 16-week program that provides an opportunity for relevant field experiences with areas of emphasis including strategy development and execution, financial analysis and application, sales, marketing, product management or operations and logistics. Mentors assigned to the intern provide instruction and guidance and regularly assess performance. Interns are responsible for observing the functions and processes of the assigned work unit. In addition, interns are assigned selected work assignments to reinforce the learning experience, evaluate performance levels and provide benefit to the work unit.
Benefits of the internship include a full-time, paid opportunity, a private and fully furnished apartment free of charge, and paid round-trip travel to Rochester, MN, where the internship is located. Qualified candidates must attend an HBCU or HSI and actively be pursuing an MBA or MHA program at the time of applying. Successful candidates will have completed most of their required courses and be enrolled in the degree program at the completion of the internship.
This internship does not guarantee employment after the 16-weeks are completed. The internship serves as an opportunity for interns to apply their knowledge of management theory, concepts, and best practices in a healthcare facility and organization.
This is a paid internship that begins on August 25th, 2025, and ends on December 11th, 2025. The student will be required to work on the Rochester Campus and will receive paid housing and transportation to and from Rochester, MN.
This position is not eligible for visa sponsorship; Also, Mayo Clinic DOES NOT participate in the F-1 STEM OPT extension program.
Qualifications
To qualify for the EQUAL Program, you must be enrolled in an MBA or MHA graduate degree program from a HBCU or HSI. Typically, this internship would occur after the student has taken most of the courses required by the graduate degree program.
