The Senior Executive Assistant that we are looking for needs extensive knowledge of the organization in which she/ he works (to know who key personnel - both external and internal - and understand the organization's aims and objectives). The Administrative Associate is a key role of the Finance & Administration Dept. Our team manages and supports systems that are used across multiple departments. This full-time position is located in our Bayview office and is on-site, Monday through Friday, 9:00 a.m. to 5:30 p.m. The successful Administrative Associate will be detail-oriented, task-driven, organized, and able to multitask. Being comfortable working with staff in various positions and departments is crucial. Our department is heavily involved with systems and data, so the ability to manage administrative tasks and a familiarity with computers and software are needed. The ideal candidate is well-rounded with basic knowledge of administration, operations, IT and HR. This position is entry-level with a trajectory for growth.
Primary Responsibilities:
Perform general office management duties
Track and manage company vehicle registration
Maintain office supplies not directly related to facilities
Scan physical mail using discretion when necessary
Check voicemails and forward them to the appropriate department/staff
Provide administrative support to other Finance and Admin Dept staff
Assist with data organization, with a focus on digital documents
Basic low-level helpdesk support
Train on other F&A staff responsibilities for coverage
Other duties as assigned
Essential Skills and Experience:
2+ years of relevant administration/operations experience
Proficiency with Google Suite (especially Sheets and Docs), Slack, experience with BambooHR and Workforce is a plus.
Experience with Windows/Apple laptops and mobiles, knowledge of cable types and computer components.
Ability to work in a fast-paced, small business environment with competing priorities
Excellent communication, both written and verbal
Independently manage workload with minimal supervision
Can execute multiple tasks simultaneously
