Executive Administrative Assistance:
From the general direction, composes, edits, signs, and sends correspondence.

Coordinates meetings: scheduling, preparing agendas, and distributing agendas, taking minutes, and distribution of minutes.
Coordinate with other agencies and facilities around collaborative projects.
Prepares reports for the organization.
Schedules and organizes activities such as meetings, travel, conferences, and department activities for CEO, Medical Director, HR Assistant, and Director of Community Engagement and Marketing.
Creates and develops visual presentations for the Leadership Team.
Establishes, develops, maintains and updates filing system for the CEO and Medical Director. Retrieves information from files when needed. Establishes, develops, maintains and updates journals and magazines.
Organizes and prioritizes large volumes of information and calls.
Sorts and distributes mail. Drafts written responses or replies by phone or e-mail when necessary. Responds to regularly occurring requests for information.
Answers phones for CEO. Takes messages or fields/answers all routine and non-routine questions. Works in cooperation with the front desk to cover phones as needed.
Acts as a liaison with other departments and outside agencies, including Board of Directors. Handles confidential and non-routine information and explains policies when necessary.
Works independently and within a team on special nonrecurring and ongoing projects. Acts as a project manager for special projects, at the request of the CEO, which may include: planning and coordinating multiple presentations, disseminating information, coordinating direct mailings, and creating visuals.
Types and designs general correspondences, memos, charts, tables, graphs, business plans, etc. Proofreads copy for spelling, grammar, and layout, making appropriate changes. Responsible for the accuracy and clarity of the final copy.
Supports Business Office Coordinator with administrative finance activities. Activities such as: copying check requests and sending to accounts payable travel reimbursement, documenting credit card expenses.
Office Management:
Oversees the mail distribution center to ensure timely distribution of internal and external mail, including certified and registered mail and FedEx/UPS packages.
Monitors mailing process.
Oversees office equipment repairs (copiers, fax machines, postage meter) as it relates to maintenance agreements.
Receives scans and indexes answering services messages daily.
Receives all supply and forms requests.
Compiles orders that may include copying, collating and packaging/boxing and distributes in a timely manner.
Facilitates the most efficient method of distribution including UPS, interoffice mail or personnel as courier.
Verifies supplies delivered against purchase order.
Reviews incoming requisitions and special orders and determines best item selection and price.
Investigates and takes appropriate action on purchase order discrepancies such as pricing, incorrect shipments or damaged goods.
Recognizes and responds to staff needs.
Special Projects:
From general direction, has responsibility for completion of special projects.
Completes special projects in a timely manner utilizing advanced computer skills.
Researches, gathers information and asks questions to ensure projects are done correctly.
Recognizes and responds to company needs by initiating special projects or identifying areas of concern.
Arranges catered meals, seeks out and secures up-to-date mailing lists, utilizes knowledge of community resources to find needed information.

Coordinates and communicates all special event requests between Recreation and Parks staff and the event organizers.

Receives work orders from staff and inputs them into the work order database.
Accepts and records registrations for athletic activities, programs, and other miscellaneous events.
Collects a variety of fees and payments, reconciles the daily deposits, and delivers deposits to Customer Service at the City Office Building.
Schedules shelter reservations and coordinates necessary staff response related to rentals.
Reviews and checks records, forms, and other documents for accuracy, completeness, and conformance to rules and regulations.
Prepares, composes, and types a variety of documents, technical and statistical reports, data for publication, and other material where knowledge of format and presentation is necessary.
Posts various information to files and records.
Explains departmental and City policies and procedures for employees and the general public.
Attends monthly Community Appearance Commission meetings and records the minutes.
Coordinates the clerical needs of the bi-annual Garden Tour.
Disseminates any monthly correspondence and other notifications as requested.
Performs other duties as assigned.
Minimum Requirements

Description of Responsibilities and Duties

* Manage all the financial aspects of Parking, including ensuring the parking decals prices are reflected accurately on the parking platform and on the website.
* Pull all reports relevant to parking, for example: Adjudication Packet, Adjudication Report, Issued Violation Report, and Parking Appeals Report that identify the reasons for the requested appeal.
* Financial reports should be submitted monthly unless they are requested, earlier. The parking appeal report should be submitted weekly, with the 10-day response deadline in mind. The Chief or his designee has 10 days to respond to an appeals request.
* Ensure the parking website reflects relevant and accurate information.
* You will manage and process parking decals for all faculty, staff, and students.
* Receive and review all parking decal requests.
* Verify that parking spaces are available, process the request and provide the decal to the customer.
* Track all parking decals, ensure that all fee charges for parking decals are accurately reflected in the parking system and on the UNCSA Parking website, and announce any changes via My-SA.
* Ensure the Parking website is updated and provide a link to the new student checklist, which contains various information, including parking services information.

Summary
The Faculty Support Assistant serves to provide efficient and comprehensive administrative support to Law School Residential, MSL, and Adjunct Faculty. Academic support contains a wide range of tasks directly related to course management, scholarly research and writing, committee appointments, conference travel expenses, and academic workshops and programs. Support Assistants also take the lead in coordinating exam review and disseminating information to Faculty regarding Law School-wide events and timelines.
The Faculty Support team is uniquely situated to serve as a resource and provide general support to the administration of Law School-wide processes and initiatives. Support Assistants are expected to be able to anticipate faculty needs and be prepared to help communicate process changes and share feedback.
Law Faculty Support
* Responsible for a wide range of administrative functions that assist faculty with their teaching responsibilities, committee assignments, scholarship and other job-related activities.
* Serves as a main point of contact and disseminates a wide range of information regarding academic programming, student matters and academic events. Answers and routes phone calls, mail and email messages accordingly.
* Understands law school-wide processes and timelines, anticipating and preparing faculty for upcoming events and deadlines.
* Create resources and assist with onboarding and orientation for new faculty (both resident and adjunct).
* Assists with faculty documentation related to Law School teaching and scholarship, including conversion, formatting, troubleshooting, copying, scanning and proofreading. This may apply to written scholarship, exams, outlines and other material.
* Utilizes software related to clerkship recommendations, providing support and training when needed as well as mailing and organizing letters of recommendation.
* Understands and administers aspects of academic technology in Canvas and other future learning management systems. This could include formatting, editing and uploading course materials, calendaring courses and office hours, and assisting with accommodations for timed quizzes and other assessments.
* Responsible for the creation of class rosters, photo seating charts and PowerPoint presentations.
* Coordinates book orders and assists with preparing additional class materials before each semester and throughout the academic year.
* Assists with aspects of exam administration including preparation, distribution and document record keeping. Coordinates and leads review sessions for students as part of adhering to academic, student, and operational policy such as student anonymity.
* Processes travel expenses and reimbursements for faculty, committees and guests.
* Performs information retrieval and data collection as needed to assist faculty in the preparation for their academic endeavors.
Other Functions:
Program Support and Special Projects
* Provides program support for faculty-specific and Law School-wide initiatives.
* Organizes materials and assists with coordination for Wake Law workshops, committees, and programs. This can involve creating electronic files with outlines, agendas and itineraries, completing room reservations, and sending out polls or calendar invites.
* Assist the events team in coordination of academic events. Builds and delivers materials, manages timelines, tracks information for events as needed.
* Takes on special projects as assigned based on availability, skill level and areas of individual interest.
General Administration
* Coordinates purchases and maintains inventory of non-specialty office supplies used by faculty.
* Coordinates maintenance and supplies for copiers/printers near faculty offices.
* Assists with requests for facilities assistance and reports emergency related information as needed.
* Maintain the templates for branded letterhead, stationery, envelopes and other branded printed materials. Develop new or revised versions as needed.
* Responsible for document storage and record keeping.
Other
* Other duties as assigned.
Required Education, Knowledge, Skills, Abilities:
Associate's degree and 3 years of professional administrative experience or equivalent combination of education and experience.
Proficiency in Microsoft Office, GSuite, Adobe products, ability to juggle competing requests, high level of problem solving and multitasking; strong interpersonal skills, professionalism and work ethic; excellent written and verbal communication and organizational skills; ability to work in a diverse work environment; self-sufficient but also able to work as a team player.
Preferred Education, Knowledge, Skills, Abilities:
Bachelor's degree or paralegal degree or certification. Experience in a law firm or similar setting and familiarity with legal terminology and citations.
Accountabilities:
This position will report directly to the Manager, Faculty Support Services. The incumbent interacts with Faculty, Students, and Staff at the Law School.
Physical Requirements:
Work is mainly sedentary. Daily requirements include use of computer, phone, and physical filing/stocking. Occasionally required to lift and move up to 10 lbs of weight. Must be able to push and/or pull a rolling cart with equipment and supplies, and may be asked to assist with event set up or breakdown.
Environmental Conditions:
Work is performed inside an office building during all seasons and in all types of weather. Employees are expected to use appropriate and acceptable safety measures. Assigned in-office hours will be dependent upon business need.
