The Opportunity

As we continue to grow, we are seeking a Sr. International Logistics Coordinator to assist the International Affiliates in the placement and processing of their orders, requests, inquiries and issues via service request entry, research/comprehension, and issue resolution. Will create OCD specific international documentation and be responsible for handling and resolving escalated issues and queries and processing international documentation for international affiliates. Responsible for Track and Trace on shipments from origin to final destination, and managing customer relationships within assigned international geographic area. Will provide Affiliate VOC to cross-functional holiday planning committee and coordinate communications. This position can be located in either Memphis, TN; Rochester, NY; Raritan, NJ or Pompano Beach, FL.

The Responsibilities

Provisionally secure forwarder capacity to ship based on agreed shipping schedule for the next 2 weeks.Coordinate with Regional Supply Chain and Distribution Center Teams to ensure critical shipments are scheduled and actually ship on agreed dates.Agree on shipping dates with Memphis Distribution Center (DC) and work with DC Supervisors to ensure scheduled orders ship on tine - follow up on Delivery Order (DO) status daily to ensure the DO moves through various stage on-time to meet shipment booking and pick up cutoff times.Book freight with Forwarders based on agreed schedule and DC completion of order by the required daily cut offs with the forwarder. Ensure required documentation is 100% accurate and on-time for forwarder pick up.Provide Track and Trace updates on daily basis for all DOs in transit from Mem to destination point.Resolution of all issues in transit to ensure On Time Delivery (OTD) performance is achieved and temperature excursions are minimized.First escalation point for Forwarder non-performance. Think and communicate cross-functionally to investigate, research and resolve all exceptions and adjustments promptly and accurately including any necessary coordination with other departments and all required customer follow-up.

The Individual

Associates Degree or equivalent business experience. BS Degree (Logistics, Business, or related field) a plus.Minimum 3 years of relevant experience, preferably in a Freight Forwarder organization or a transportation role with an OEM.Experience managing freight forwarding relationships.Strong data analytics skills Proficiency in advanced Excel and Power BI /TableauStrong planning and organizational skills Strong written and verbal communication skills.Strong problem-solving skills.Results oriented with strong customer focus.

Position Highlights:

The Senior Meetings Logistics Coordinator Assists in the planning, coordinating and execution of the logistics for all events relating primarily to the annual International Convention and DGE Seminar. Responsibilities include budget planning, drafting RFPs, bid analysis and negotiations with numerous vendors. Coordinates event space assignments, designs room set-ups, orders catering, AV, freight, telecom, translation, general service contractor projects, printing, temporary personnel, and other projects as determined by the Meetings Logistics Manager.

What You’ll Do:

  • Supports the convention and other meetings on-site to ensure operations run smoothly, addressing onsite issues and interfacing with clients.
  • Writes detailed RFPs as assigned annually for the required services that go out for bid including AV, general services contractor, translation, freight logistics, printing, and more. Analyzes bids, negotiates, to help determine which vendor would be the best selection to meet our needs.
  • Analyzes official venues to determine best assignment of space for all official events including general sessions, meetings, catered functions and more.
  • Coordinates catering for numerous large-scale functions ensuring appeal to a global audience with special dietary requirements within budget parameters.
  • As assigned, able to work within secure portal to construct event mobile app, design/build meeting set-ups, create and update the event detailed outline, and additional technology duties as assigned.
  • Maintains professional and technical knowledge by attending workshops, reviewing professional publications, establishing personal networks, and participating in professional organizations as appropriate to field.
  • Maintains quality services and/or product by establishing or recommending, following and enforcing organization standards.
  • Develops and manages relationships with outside vendors and suppliers. Ensures project timelines are adhered to and met.
  • Ability to multi-task to manage and prioritize duties to ensure the successful execution of projects.
  • Strong communication skills due to the high volume of email correspondence and phone inquiries from vendors, exhibitors, event personnel, and Lions members.

We’re Looking for Someone With:

  • Bachelor's degree in Hospitality Management or related field or equivalent experience.
  • Five to seven years’ experience in meeting planning or equivalent combination of education and experience; hotel or trade show experience is a plus.
  • CEM or CMP designation a plus.
