Reconcile warranty credits and process repair orders for invoicing daily.
Review customer bill and warranty repair orders for accuracy prior to submitting.
Request specific parts as identified by the vendor to be returned, tagged and held for 120 days. Upon vender request all failed parts must be returned with all required paperwork and shipped within 24 hours of request.
Create, monitor and manage TAC cases with Toro
Continuously monitor and update the Dispatch console.
Close all repair orders in three days or less for invoicing.
Consult directly with customers initiating the repair order process, documenting their concerns with a review of the unit's history, inclusive of providing a written quote to the customer.
Complete troubleshooting of customer concerns when feasible and rely on the Lead Technician when additional knowledge is needed.
Prepare pickup and delivery paperwork and print to warehouse with details of model, serial number and special notes needed.
Schedule with techs work order assignments.
Consult with the customer to schedule their work through Service-Max according to the capacity of the department and to the needs of the customers.
Coordinate with all parties to determine the need for pickup and delivery according to customer needs and schedule.
Obtain authorization for repairs before repairs are conducted and document thoroughly on repair order authorization form with date, time, name and signatures or initials of person giving authorization for work to be completed.
Consult with techs on ordering of parts and communicate with vendors for reporting issues and obtain assistance as needed.
Process the transfer of parts requested by Team Technicians for the timely repair of equipment.
Control inventory of parts not required to complete jobs by correctly transferring them back to the parts department in a timely manner.
Add jobs as needed to repair orders, coordinate with the shop serviceadvisors, and obtain proper authorization from the customer as necessary.
Update repair order as needed per repairs, complete billing of all charges for customer repairs and release for invoicing upon completion of repair.
In order to recoup additional freight cost, add overall cost for shipped parts when the order type allows.
Perform monthly inventory of equipment/parts.
Assist with repairs in the shop as needed.
Assign setups and repairs to techs.
Oversee and manage employees when manager is not on site.

Gettel Nissan is looking for no less than 2 experienced ServiceAdvisors. This dealership is growing rapidly and needs well-qualified experienced ServiceAdvisors. Knowledge of the Reynolds & Reynolds system is a plus. We have added 5 techs in the last 15 days and are adding more, with even a night shift. This is a legit posting; we need qualified people. GENERAL RESPONSIBILITIES
The serviceadvisors' primary responsibility is to provide for an outstanding customer experience. Serviceadvisors have a high customer contact count each day, in person and on the phone. As such, the following is critical for success:
Professional appearance
Excellent communication
Organizational skills- attention to detail and accuracy on paperwork
the ability to multitask
A true passion for serving guests Most importantly follow GAMG's reception and active delivery process.
BEST PRACTICES OF A SUCCESSFUL ASM
These “best practices” are itemized below as to how often they should be done, i.e., daily, weekly or monthly. This list is extensive but not all-inclusive in describing the duties of an Assistant Service Manager.
Know your appointments for the day.
Have your preprinted work orders and other documents prepared the night before the appointment date.
Call all missed appointments from the prior day to reschedule.
Call Orphan Owners that have appointments with an advisor that is no longer an associate of the dealership
Call customers from service marketing lists that are potential customers.
Provide clear documentation on work orders for technicians.
Provide clear and accurate invoicing for customers, warranty and internal ROs.
Present customers with factory maintenance needs.
Recommend the items documented on the multi-point inspection.
Pro-actively update customers on vehicles progress when appropriate and at a minimum of twice a day. 10:00AM and 2:00PM
Customers in the lounge waiting at the dealership for service to be completed need the sale pro-active updates.
Follow 10-5-First-Last rule.
10 Foot Rule - Recognize that a customer is within your workspace.
5 Foot Rule - Have contact with the customer.
First: Be the first person to speak
Last: Be the last person to speak
Smile and portray a positive attitude and happy demeanor.
Deliver vehicle by promise time, contact customer in advance if the original promised time cannot be met.
Answer phones and return calls in a timely manner.
Arrive at work sufficiently before start time so that all preparations are complete (uniform, name badge, start-up process) before guests are received.
Review special order parts status with parts department and make call as necessary.
Prepare your Game Day Report (example attached) as your manager will be reviewing with you and picking up first thing in the morning. That will include:
Activities from the prior days sales and gross
Calls made to develop new business
Appointments for the next day

Oversee service orders and flow of Drive Lane. Ensure that customers receive prompt, courteous, and effective service
Take ownership of the customer's experience by carrying out those additional assignments that allow the dealership to leave a positive impression with the customer
Provide concierge support for all owner inquiries, whether phone or in person, to assure the customer does not get mishandled
