Shift/Schedule Requirements: Ability to work various shifts and days including nights, weekends and holiday periods to meet business needs.
The Maintenance Office Assistant will perform receptionist duties including greeting and receiving visitors and directing them to the proper individual and/or department, and answer, screen and transfer/dispatch calls to the appropriate personnel. This position will operate two way base radio for communication to maintenance trades and supervision, provide clerical support including but not limited to: execution of documents in DocuSign, scanning, filing, date entry, creating spreadsheets, sorting and distributing mail, and monitor and maintain all associates' timekeeping, attendance tracking and entry of schedules. Additional duties include entering purchase order requests in the JD Edwards accounting system and processing packing lists and invoices as well as the distribution of open invoices.
Responsibilities:
Maintain, research, distribute and track all open invoices sent through the OnBase system.
Process receipts and invoices in JD Edwards, Smartsheet and OnBase on a daily basis.
Provide trouble shooting assistance with receiving issues regarding invoices not clearing in OnBase.
Create and distribute monthly spreadsheet of Open Purchase orders to Leaders.
Timekeeping: Review and correct all departmental labor time-clock entries in Kronos on a daily basis. Obtain all required documentations of approval for any time edit corrections.
Update and maintain all maintenance division schedules. Maintain and track associates' attendance via hard cards, spreadsheet and Kronos. Work with Manager on any discrepancies. Greet and receive all visitors and direct them to the proper individual and/or department.
Answer, screen and dispatch calls to the appropriate personnel while maintaining the daily call logs/work lists for all trades.
Provide clerical support including but not limited to: execution of documents in DocuSign, scanning, filing, typing divisional correspondence, creating spreadsheets, sorting and distributing mail and coordinating events.
Assist with organization and distribution of employee incentives.
Labor Distribution: Data entry of all work records on a daily basis.

Job Purpose
The Program Assistant works with the Administrative Team Leader to support the full implementation of the Summer Youth Employment Program (SYEP). This includes delivering supplies to Job Coach team in the field and returning sensitive participant information to the Y.O.U. office for processing. This person will work to correct errors identified in participant files to ensure young people are able to participate in the SYEP. This will require regular interaction with participants and their families.
Essential Functions
Assist Administrative Team Lead with program operational duties to ensure smooth implementation and execution of program goals.
Sustain an open line of communication between program and participant/families related to process of correcting file errors.
Enter accurate and complete information into database management systems.
Provide timely reports to program management and partners as directed and required.
Transports eligibility files and supplies to other staff in the office or in other locations throughout the community.
Meet with participants and their families in the community as necessary to gather required documentation.
Help fix errors contained in the files by contacting families of potential participants.
Ensure that office supplies and relevant equipment are in adequate supply and are well maintained.
Assist with general administrative duties including taking messages, photocopying, responding to correspondence, answering telephones, filing, etc.
Prioritize and manage all incoming requests for assistance in a professional manner.
Pick up and deliver messages, documents, packages, and other items between offices or departments within Y.O.U.
Assist in review of timesheets for correctness before payroll transactions and assist in rectifying errors as needed.
Work with Payroll Specialist to ensure that employee payroll can be processed accurately and in time.
Respond to payroll queries from employees, worksite supervisors, and Y.O.U. staff in a timely manner.
Other duties and projects assigned.

Education
Associate degree in a relevant field (e.g., Business, Communications, Education, Social Work) from an accredited college or university preferred or required.

Work Environment
This position is based in-office 5 days a week.

This position requires such physical abilities as sitting for computer and phone work for long periods of time, lifting up to 25 lbs periodically and carrying office supplies, standing, and walking throughout the office buildings.

MAJOR RESPONSIBILITIES:
Maintain and enhance an understanding of the current fiscal software.
Provide rapid detection and solution to the current fiscal software application inquiries and effective means of ‘trouble-shooting' user questions, concerns and needs.
Assist, plan and deliver training for users on the current fiscal software.
Maintain and enhance a working knowledge of other software packages outside the respective software package of concentration.
Act as primary contact between school district personnel and NEOnet regarding related questions and issues.
Keep users notified of changes and/or updates to the current student software applications and supporting software modules.

GENERAL STATEMENT OF DUTIES: The Social ServiceAssistant will be responsible to the Program Manager of the locality within which they are employed and work to provide a trauma-informed, safe and stimulating environment for clients. They will be expected to work within the policies and procedures of Family & Community Services and work toward the maintenance of excellent service standards and professional practices.
ESSENTIAL RESPONSIBILITIES:
1. To assist in the efficient running of the facility and its therapeutic programming and other general duties associated.
2. While utilizing trauma-informed care, assist clients upon shelter entrance with required paperwork, continued assistance throughout their shelter stay by providing supplemental case management, and assist in communication and coordination with various agencies to secure appointments and resources.
3. Provide a level of support necessary to ensure all clients experience an improved quality of life while in our shelters.
4. Use a strength-based approach to help clients in working towards their goals of obtaining independent living.
5. Accompany clients to appointments, as needed.
6. Organize, plan and lead groups for clients in shelter to help promote positive interactions and group work (i.e. affirmation boards, book club, yoga, etc.), on a voluntary basis, when time allows.
7. Complete daily administrative duties such as answering phone, directing inbound calls, keeping office clean and organized, tracking supply lists and facility needs, completing check requests and therapeutic programming attendance of clients.
8. Maintain facility documents and records and ensure all requirements to operate a facility are being met, such as conducting fire drills, kitchen temperatures, and other facility needs.
9. Prepare rooms and meals (as needed) for clients.
10. Work with team members to foster a positive working environment.
