Manages a large unit or multiple units providing ambulatory services. Ensures staff provides high quality, accessible, cost effective care, and patient focused services to members across the continuum, which comply with local, state, and federal requirements. Develops and maintains clinical practice standards, budgets, and staff development.

Essential Functions:

• Manages the operations of a large unit or multiple units. Ensures Assistants and staff provide the highest quality of care and are in compliance with the Nurse Practice Act, The Joint Commission, federal, state, and local requirements.

• Collaborates with physicians and other health care providers in establishing, implementing, and maintaining patient care and quality service standards to meet members and internal clients expectations.

• Acts as patient advocate resolving patient care issues.

• Designs and evaluates processes to improve systems and patient care results across the continuum of care.

• Develops and monitors budgets and resource allocations.

• Monitors financial performance and identifies and implements strategies to reduce costs and improve quality of care/service.

• Determines the appropriate staff mix for department and develops processes to screen, interview, hire, train, and maintain the competency of all department staff. Provides on going staff development.

• Manages and resolves human resource, labor relations, employee and department safety, and risk management issues.

• Develops, implements, and monitors departmental policies and procedures which support the organizations goals and business objectives and ensures they are met. Collaborates with Physician Team Leader and Department Chief in developing the level of patient services and the day-to-day operations of the department.

Experience

Position Highlights:

The Department Manager of Convention and Logistics Services is the logistics lead for Lions Clubs International’s annual Convention and supports other of the portfolio of organizational annual meetings. This position plans, manages and executes logistics for all events at the convention center and for the DGE Seminar. Develops and implements process improvements within key areas of the department. Assesses future convention cities, forecasts unit budgets, and assists the Division Manager in creating goals and objectives for the annual convention that align with the organization’s strategy

What You’ll Do:

Operations

  • Manages department operations by developing schedules, assigning, and monitoring work, gathering resources, implementing productivity standards and resolving operational problems.
  • Contributes to overall project management for meetings, including development, review, and revision of project timelines.
  • Implements and revises space allocations for meeting venues, including offices, exhibits, and meeting rooms. Tracks and allocates space for ancillary meetings.
  • Initiates, negotiates, and implements vendor agreements.
  • Supervises and monitors all onsite space setups, including all onsite supply/equipment and audiovisual needs for attendees and staff.
  • Manages arrangements for all food and beverage functions, including final guarantees, roomsetup, decorations, signage needs, entertainment needs, regular vendor communication, onsite supervision, and review of catering master accounts for Convention.
  • Works with appropriate Convention and meeting venue staff to oversee food and beverage outlets in convention venues during the event/s.
  • Develops food and beverage ticket pricing and expense budgets for management and leadership approval.
  • Maintains quality services and/or product by recommending, establishing, following, and enforcing organization standards.
  • Develops and manages relationships with outside vendors and suppliers.
  • Recommends and/or implements department plans and goals and monitors progress.
  • Analyzes costs and benefits of alternative projects and chooses those that fit association objectives.
  • Negotiates initial terms of contracts with suppliers for the purchase of services or goods.
  • Collaborates with other department departments to ensure success of cross-functional projects.
  • Develops and recommends operational standards, policy and/or procedures with consideration for industry trends and best practices.

Administration

  • Maintains information systems such as databases or other programs to manage department information including meeting planning software.
  • Prepares reports as necessary to analyze and communicate information.
  • Develops site visit agendas and reports; contributes to minutes and Board items as required.
  • Participates in site visits, convention committee meetings, working in conjunction with vendors, volunteers, and related staff as required.
  • Develops and maintains post event reporting for all vendor and related logistical items.
  • Exhibits an attitude of professionalism, service, and collaboration within the Convention team, across departments, and within the Lions community at large.
  • Assists the Division Manager with other projects as assigned.
  • Contributes to a collaborative, team-oriented environment.

Team Leadership and Budget

  • Assists in the hiring, training, development, performance management, and supervision of Senior Logistics Coordinator and other team members as requested by the Division Manager.
  • Educates other staff regarding department policies and procedures.
  • Ensures compliance with organizational policies and procedures.
  • Develops annual department budget/sand manages expenses within established guidelines.
  • Performs other responsibilities as assigned

We’re Looking for Someone With:

  • Bachelor's degree in hospitality management, public relations, business, event planning or equivalent experience.
  • Experience working in a Convention planning capacity with events of more than 20,000 attendees.
  • CMP, CMM, PMP, or related certification
  • Project management experience
  • 7years of meeting planning experience

Responsibilities

+ Manages and supervises the Environmental Services, laundry and floor care staff at a single site according to policies and procedures, and federal/state requirements.

+ Utilizes protective gear in all appropriate functions

+ Provides leadership, support, coordination and guidance to ensure that quality standards, inventory levels, safety guidelines and customer service expectations are met.

+ The Manager is also responsible for coordinating and insuring the satisfactory and timely completion of project and program work done in the building on varying shifts.

+ Maintains records of income and expenditures, supplies, personnel and equipment.

+ Secure and assure that all equipment is maintained and in working order.

+ Makes sure facility has sufficient janitorial supplies.

+ The Manager must be able to communicate effectively all directives from managers, building occupants and administrators to HCSG staff.

+ Training, quality control and in-servicing staff is an essential part of the Manager's responsibility and includes touring building several times per day to assess work quality using QCIs for documentation purposes.

+ The Manager is a department head in the facility and must conduct themselves and their department in a professional manner.

+ The Manager consistently embodies the characteristics necessary to drive the Company's Purpose, Vision, Values, and DNA.

Qualifications

+ A high school diploma or equivalent is preferred.

+ Two years' experience in Environmental Services in a healthcare environment and personnel supervision is desired.

+ Basic computer skills preferred.

+ Must be able to fully understand and complete all In-Services.

+ Must be able to be at work on time.

+ Ability to follow oral and written instructions.

+ Ability to understand and place into action basic infection control procedures.

+ The ability to handle and mix chemicals safely and properly.

+ Ability to work all shifts as needed.

+ Knowledge of Environmental Services, laundry and floor care program requirements.

+ Knowledge of and ability to use all department equipment.
