Job DescriptionOhio’s leader in Commercial Food Equipment Service and Repair is currently seeking a Service Dispatcher to receive requests, by phone and email, and then communicate to team members to service those requests out of our Columbus location while providing exceptional customer service with professionalism and excellence.
Responsibilities Include:
Responding to calls in a calm, friendly and professional manner. Prioritizing calls according to relevant criteria (e.g., emergency need). Quickly and accurately collect important information from the customer. Accurately and concisely relaying necessary information to the team member(s) servicing the call. Maintaining detailed records of calls and processing completed service calls promptly and error-free. Assisting with keeping the work environment neat and orderly. Proactively searching for new sales opportunities to grow the existing customer base. Demonstrating the exceptional quality of work and a caring attitude towards customers and employees.


Preferred Qualifications Include:
Customer Service Dispatch Experience, preferably in Commercial Food Equipment Repair, HVAC, or related industry. Excellent verbal and written communication skills. Self-motivated and creative, willing to go the extra mile to ensure a positive customer experience. Exercise good judgment and thoughtfulness when faced with customer issues, and do the right thing. Able to work on a team, while also working independently on side projects with little to no supervision. Genuine satisfaction is derived from helping others. Proficiency with Microsoft Office365 (e.g., Outlook, Excel, Teams), Order Management Systems, Mobile & Tablet devices.

Summary
The Service Dispatcher plans, organizes, leads, and controls the flow of service work through the service department in a professional, timely manner while ensuring quality repairs at a fair cost to the customer. They will also ensure that repairs are performed correctly and efficiently by qualified technicians and that the service department maintains a consistently high level of customer satisfaction.


Responsibilities
Implements and maintains an effective dispatch system. Schedules shop work to facilitate maximum productivity in accordance with dealership policy and the technician skill level required. Prioritizes and controls all comebacks to ensure proper and prompt attention. Ensures proper repair order documentation, i.e., complaint, cause and correction noted on every repair order with punch time for each operation. Reviews job status frequently, logging status and reporting any change in time or cost estimates to the appropriate service advisor and/or customer. Maintains timely and professional contact with service customers, as needed. Maintains an organized and up-to-date repair log. Prepares estimates when required. Reviews hard copies of repair orders turned in by technicians to ensure that assigned work has been performed and the repair order has been completed properly. Opens and closes repair orders. Ensures that technicians follow warranty material disposition procedures. Communicates job status with the next shift supervisor. Schedules maintenance for service department vehicles and equipment. Prepares a list of needed service department equipment, supplies, and required repairs, and reviews with the service manager as needed. Coordinates parts requirements with the parts department. Advises parts manager and service manager of repetitive shortage so that corrective action can be taken. Maintains high customer satisfaction ratings. Maintains high-quality service repairs and minimizes comebacks. Conducts periodic spot checks of completed jobs for thoroughness and quality. Road tests vehicles to quality-check work performed as needed. Accounts for all documents; ensures that none are missing, and all are processed correctly. Ensures the proper care, storage, and inventory of special tools. Keeps abreast of new equipment and tools available and recommends purchases. Understands, keeps abreast of, and complies with federal, state, and local regulations, such as hazardous waste disposal, OSHA Right-to-Know etc. Assists with safety, housekeeping and OSHA Right-to-Know policies and procedures throughout the service department. Monitors shop condition, including cleanliness, safety, and the condition of shop equipment. Reports problems to the service manager or dealer. Strives for harmony and teamwork within the department and with all other departments. Maintains a professional appearance. Other duties as assigned.


Qualifications
Clean & Valid Driver’s License. Previous dispatcher experience preferred but not required. A high level of automotive technical knowledge and previous automotive dealership experience preferred. Excellent communication skills to collaborate with others under any type of condition. Excellent clerical and organizational skills to keep track of schedules, routes, and personnel. Knowledge of computers for scheduling and dispatching duties. Ability to multitask with different, and sometimes conflicting, events happening at the same time. Ability to work under stress and remain calm and to calm other people during rapidly changing circumstances. Ability to relay information in a fast-paced environment.
