This position is covered by a Collective Bargaining Agreement (CBA) with SEIU-UHW. As part of the terms of employment, employees in this role are required to join the union within 31 days of hire and remain a member (e.g. dues paying, fee paying, religious exception contributor) for the duration of the collective bargaining agreement.
**What You Will Do**
Under supervision, this position supports scheduling of patients for the Specialty Clinic, management of equipment and supplies, clerical responsibilities, billing and reporting requirements.
**Required Qualifications**
+ H.S. Diploma or Equivalent

**Essential Functions**
+ Customer service Greets and welcomes a variety of customers by the telephone and in person.Obtains information from visitors/callers, directs as appropriate or takes complete and accurate messages. Acts on requests for customer service.Uses scripts as appropriate including answering phones, transferring calls and service recovery. Answers phone within four rings, transfers calls as indicated.Responds to all inquiries with timeliness that promotes customer satisfaction.Communicates effectively with all levels of staff and uses chain of command per department policy.
+ Equipment and supplies Obtains, discards, stores and cleans equipment according to policy/procedure and manufacturer guidelines.Enters work order to facilitate repair of equipment, reports urgent or unresolved equipment malfunction to supervisor or the appropriate department (Biomed, Material Management, etc.).Manages and operates equipment safely. Ensures integrity and sterility of supplies.Checks and restocks exam rooms and restocks supplies e.g. clerical patient care. Ensures compliance safety regulations e.g. equipment does not block fire exits.Monthly checks of expiration dates of supplies in clinic, removing and replacing those expiring that month.
+ Health information management functions Manages patient information per Sharp HealthCare confidentiality and Health Insurance Portability and Accountability (HIPAA) policies.Establishes and maintains medical record per department guideline.Requests medical records, films, or other medical record as required.
+ Order entry Accurately enters orders in electronic information systems per department guideline.Completes order entry via "down time" procedures when electronic information systems are not available.
+ Patient account processing Procures necessary authorization to support patient's care plan including Service Authorization Request (SAR) form.Accurately registers patients according to guidelines.Enters patient charges into computer within 24 business hours of date of services and per corporate compliance policy.Reconciles daily charges to ensure no missed charges.Responds to request for additional insurance information within 24 business hours as directed.
+ Patient care Assists with the initial nursing assessment by accurately measuring and recording the patient's height, weight, blood pressure, temperature/pulse/respiratory rate, and other pertinent biometrics.Reports all abnormal vital signs and/or observations promptly to a nurse, nurse practitioner, or physician.Assists the physician, nurse practitioner, or nurse by preparing the patient and/or setting up equipment or supplies.Provides for a smooth overall patient flow for the Clinic by escorting the patients to/from the exam rooms and by monitoring room availability in addition to patient wait times.Completes all relevant forms related to the visit.Cleans room and equipment after each patient.
+ Schedule management Schedules Specialty Clinic VisitsSchedules all Specialty Clinic visits as directed.Prints copies of schedules and routes/posts for appropriate departments/modalities.Prepare for next day appointments, exam rooms prepared.
**Knowledge, Skills, and Abilities**
+ Bilingual Spanish preferred.
+ Ability to perform duties according to specific written and/or verbal instructions and to accurately maintain scheduling documentation.
+ Ability to organize, assemble, file and maintain accurate records.
+ Knowledge of medical terminology.

Major Responsibilities:
In accordance with policy, prepares and assembles medical record documentation/chart for physician prior to patient visit. Anticipates physician needs for patient visits by obtaining internal and external previous medical records and test results. Ensures that all elements of documentation are complete and accurate.
Enters the patient room with the physician/clinician during patient visit to capture and transcribe medical record documentation in real time using electronic medical record applications. Documents the physician/clinician's communication with the patient using appropriate medical terms and phrasing.
Prepares (pends) orders including follow-up testing, lab orders, medication orders, consults and/or referrals and the associated diagnosis to be connected with those orders. Documents the correct follow-up instructions and level of service designation based on the physician/clinician's direction. Assists in data entry from devices or other sources.
Completes medical records for each encounter ensuring accurate and timely documentation. Under physician/clinician direction, updates patient history and other pertinent health information in the patient record. Prepares and sends all documentation for review and approval.
With proven competency, may perform clinical functions such as prepare and room patient for exam, obtain vital signs and document/update pertinent health information, assist the physician/clinician with non-sterile procedures, schedule appointments and referrals to other facilities or services, and perform other data entry into the EHR.

Experience Required:
Requires 1 year of experience in medicalassisting, medical transcription, emergency medical services, patient service and/or as a health care professional with demonstrated proficiency in medical terminology and technical spelling.
Knowledge, Skills & Abilities Required:
May need successful completion of authorized medical scribe training course within 30 days of hire.
Knowledge of medical terminology, including basic human anatomy and coding. Demonstrates familiarity with medication names and medical procedures.
Knowledge of essential elements of documenting a provider-patient encounter, HIPAA compliance, and Centers for Medicare and Medicaid Services requirements.
