Job Responsibilities: Prepare shipments for postal or commercial conveyance, selecting the most economical and efficient shipping method and appropriate containers. Safely pack items to ensure secure delivery. Prepare bills of lading and compare items to be shipped against work orders to ensure accuracy of quantities, destination, and routing. Receive and unload incoming materials, comparing packing slip information with purchase orders to verify shipment accuracy. Process return shipments from customers and vendors when necessary. Sort, count, package, label, insure, unpack, and log inventory for shipment or receipt. Inspect shipments for damages or defects, record discrepancies or damages, and promptly notify supervisors and/or purchasing personnel. Deliver items to requisitioning departments and obtain authorized signatures for accepted items. Trace lost shipments and handle customer claims of lost shipments. Initiate proof of delivery documents. Maintain department database, prepare routine reports, and file shipping/receiving records as needed. Operate pallet jacks and/or forklifts to load and unload supplies and equipment. May operate company vehicles for delivery purposes. Assist in routine maintenance of equipment and shipping area. Adhere to established departmental policies, procedures, objectives, continuous quality improvement objectives, and safety, environmental, and control standards. Perform other duties as assigned. The two primary functions of this position are to process freight bills and assist customers with freight tracking and status information. Essential Duties/Major Responsibilities: (this list is not all inclusive, nor may all duties be completed by all within this job title) Accurately prepare assigned billings. May include inputting, plugging, imaging/scanning, filing, copying, etc. Process paperwork related to invoices, delivery receipts, manifests, faxes, damages, shortages, refusals, manifests, bills of lading and other types of paperwork. Receive customer phone calls and provide appropriate information regarding their freight. This may include activities such as: Tracing or researching freight status. Answering questions. Faxing information. Obtaining corrections. Provide updates or reports as appropriate. Secondary Duties: Assist other Billing/Receiving/Customer Service staff. Sort and distribute paperwork within the office. Other duties as assigned. Job Scope: Work for this position is typically governed by established procedures. The nature of the work is recurring work situations with occasional variations from the norm. Communication is rarely about confidential information. Supervisor/Management: Position is not supervisory in nature however, leadership experience is preferred. DESIRED MINIMUM QUALIFICATIONS Education and Experience: High school education required. One to two years of general office experience required. Transportation or freight experience preferred. Most tasks are learned on the job. Or any equivalent combination of education and experience which provides the necessary qualifications to successfully perform the duties of the position. Necessary Knowledge, Ability and Skills: Good verbal and written communication (in English). Must be able to read schedules, freight bills of lading, rate sheets and other paperwork. Strong professional phone and customer service skills. Ability to deal with difficult and diverse people and remain calm. Good computer skills, including data entry and 10-key. Ability to operate general office equipment (i.e. multi-line phone, fax machine, copy machine). Must be conscientious and aware of safety procedures and issues. SPECIAL REQUIREMENTS Hazardous Materials certification may be required post-hire. PHYSICAL DEMANDS Must be able to sit and use computer, which may require repetitive motions of the hands.
