    This is a varied and fast-paced role supporting the Privacy and Cybersecurity practice area team. We are looking for an experienced operational professional who enjoys solving complex problems and is motivated by flawless execution. This role requires an independent self-starter who serves as an ambassador to our partners, demonstrates sound judgment, and establishes a foundation of loyalty through behaviors that inspire trust. The ideal candidate understands the importance of confidentiality and discretion while simultaneously communicating context to stakeholders; empowering them to make informed decisions and solve problems. We are looking for someone who naturally operates with a customer service mindset enabling them to partner with a broad range of personalities and adapt to unique traits and working styles. Duties and Responsibilities Coordination & Operational Support * Provide coordination and operational support to assigned lawyers in the Privacy and Cybersecurity practice area team. * Ensure lawyers' time is aligned with their priorities through demonstrated understanding of the core business and by leveraging strategic prioritization strategies. * Build relationships and trust with key stakeholders and partners. * Increase bandwidth and productivity by anticipating needs and taking ownership of planning, executing, and delegating activities which create an extra layer of accountability. * Perform other duties as assigned as part of business operations. Communications & Calendar Management * Maximize efficiency and communication by building out systems and processes for increased organization and unified workstreams. * Communicate with and build/maintain relationships with key high-profile clients of the Privacy and Cybersecurity practice area team. * Maintain Outlook inboxes including reviewing incoming communications, prioritizing items in terms of deadline, and respond, if applicable. * Handle and screen all incoming communications (phone, email, video teleconferences, etc.) and respond, file, and delegate within the team appropriately. * Provide complex and dynamic scheduling and calendar support for the assigned lawyers. * Advance preparation for all commitments and engagements, including comprehensive briefing materials and pre-reads, meeting agendas, presentations, itineraries etc. * Review all materials for accuracy and completeness. Accounting & Billing * Facilitate work with the Accounting Department to coordinate client bills, generate monthly internal utilization reports, provide monthly and/or quarterly estimate reporting data, analyze billing data, and respond to miscellaneous client inquiries/requests. * Process new business forms, new client/matter reports, and conflicts of interest checks. * Provide oversight for time entry, proformas, and bills for the assigned lawyers. * Monitor Practice Area Team expenditures for budgeting purposes. * Maintain roster of billing arrangements for key clients. * Maintain monthly financial reports Travel Arrangements * Coordinate U.S. & Foreign travel arrangements by securing end to end arrangements including flights, hotels, transfers, itineraries, and any necessary visa documentation. * Promptly handle unexpected travel changes in a proactive and efficient manner.   • Legal Secretary (FAS Team)

    The FAS Team Secretary provides lawyers and other legal personnel with administrative, secretarial and clerical assistance. The Team collaborates, coordinates, maintains effective and efficient work flow, follows policies and procedures set by the Firm; establishes and maintains harmonious working relationships with Team members, top level management, supervisors, coordinator, coworkers, and clients by performing the following: Duties and Responsibilities * Coordinates U.S. & Foreign travel arrangements by securing air, hotel, rail, and car reservations for lawyers and clients. Prepares travel expense reports and other business related expenses using the electronic Accounting system, and prepares itinerary for lawyers and colleagues. * Handles reimbursement of other firm and client-related expenses, such as telephone calls, entertainment, recruiting, etc. using the electronic Accounting system. * Maintains electronic calendar of meetings and appointments, and apprises lawyers of responsibilities in advance of commitment. Coordinates luncheons and schedules conference rooms for meetings using the electronic room scheduler. * Maintains contacts in Outlook for assigned lawyers, pursuant to lawyers' preference. * Maintains list of principal contacts or working group lists for each client and matter. * Receives, screens, and transmits telephone calls to lawyers and takes messages as necessary, with recognition of and attention to the particular needs of clients. Schedules conference calls for lawyers. * Creates, maintains, and updates all client litigation files on a daily basis in accordance with standards set by the Records Management Center using the electronic Records Management database and maintains other files as needed. Must have thorough knowledge of indexing litigation files. Maintains current files for all correspondence. * Facilitates work with the Accounting Department to coordinate client bills, generates monthly internal utilization reports, provides monthly and/or quarterly estimate reporting data, analyzes billing data, and responds to miscellaneous client inquiries/requests. Processes new business forms, new client/matter reports, and conflict of interest checks. * Inputs daily diaries for lawyers in electronic Time Billing System, and proofreads and edits time diaries for accuracy. * Proofreads and revises all documents, including engagement letters, PowerPoint presentations, memoranda, audit letters, client deliverables, and other correspondence, etc., for accuracy, grammar, punctuation and syntax, and drafts correspondence. * Coordinates work performed by Support Services for prompt production and delivery of documents. * Prepares documents for transmittal via the Firm's electronic fax system and e-mail transfer. * Processes incoming and outgoing mail and distributes promptly. * Retrieves cases and other related legal documentation from the library and makes copies. * Types and prepares legal papers and correspondence such as briefs, letters, memoranda, tables, charts/spreadsheets, complaints, and motions. Also generates Table of Contents, Table of Authorities, and redline documents. * Performs other job-related duties such as compiling notebooks and exhibits, and preparing documents in connection with bar association activities. Also performs other administrative tasks as needed.
