Responsibilities
· Under immediate supervision, the Executive Administrator assists one or more Financial Advisor with the opening and maintenance of client accounts and records and performs a wide variety of administrative support duties, including but not limited to, word processing, preparing mailings, filing, answering the phone, obtaining approvals for Financial Advisor communications and advertisements, provides overall customer service support to clients, may enter trades as directed by the Financial Advisor
· Perform clerical functions related to opening client accounts and ongoing account coding based on account features chosen by the client
· Work with the Financial Advisor and the client in obtaining the required documents based on the type of account(s) established
· Organize and assist in the maintenance of complete client accounts and trade-related records for the Financial Advisor and certain required files for the branch office
· Perform operational or administrative functions for client-related requests (i.e., check requests, wiring funds, address change, dividend information, etc.)
· Provide reports and other information to the Financial Advisor, as requested
· Identify situations that need to be brought to the attention of the Financial Advisor or escalated to the Manager, including suspicious client and/or employee activity or behavior
· Perform various administrative duties (i.e., typing, filing, answering phones, mailing documents/letters, etc.) and other duties and projects as assigned by the Financial Advisor and/or Manager
Qualifications
Administrative Knowledge - Knowledge of administrative and clerical procedures and systems such as word processing, spreadsheet applications, managing files and records, and other office procedures and terminology
Industry Knowledge - General understanding of the investment brokerage industry and securities regulations with basic knowledge of investment products
Time Management - Able to organize, prioritize, and manage multiple tasks, responsibilities, and deadlines; is able to follow through and accomplish goals, manage expectations appropriately, and use the firm's resources efficiently
Critical Thinking - Using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to practical problem solving

ESSENTIAL DUTIES AND RESPONSIBILITIES
Request, receive, evaluate, and organize required documentation in connection with trusts for which the Company is being considered to serve as Trustee.
Initial entry of information for trusts into CRM and accounting systems, and related file setup for Trusts.
Handle opening bank and brokerage accounts for trusts.
Handle directions for investment transactions to be carried out for trusts.
Handle requests or directions for distributions from trusts.
Handle payments of trust expenses, including insurance premiums, etc. and ensure all are made in a timely manner.
Draft and send Crummey notices and other beneficiary notices when the Company is required to send them for Trusts.
Request, receive, evaluate, and organize information and documentation in connection with the administration of Trusts.
Record transactions and other information in the Company's accounting software for Trusts and respond promptly to suspense items and other internal inquiries with regard to assigned trusts.
Perform annual reviews of certain aspects of Trusts.
Assist in the preparation of bills for the company's services as Trustee by reviewing billing entries in the Company's billing records and providing a description of the services for invoices.
Assist with the collection of amounts owed for the Company's services as Trustee.
Perform Patriot Act compliance for all new and transfer trusts and the relevant parties as well as resolve any and all exceptions found during such compliance process.
Engagement in business development activities, such as meeting with prospective grantors.
Assist in the training of one or more Trust Administrator Assistants, as requested.
Provide a high level of client-oriented service to our clients while complying with laws and regulations to which the Company is subject.
Open proposed account files. Prepare document comparisons (if applicable) for review by Trust Counsel, obtain all documentation needed for account opening, conduct background checks as needed. Establish and maintain excellent communications with client, their attorney and other advisors.
Finalize documents for execution, seeing that everything needed for review by Trust Counsel has been provided.
Respond promptly and professionally to client and external inquiries.
Maintain current knowledge of developments affecting client accounts, including legal, tax and investment issues.
Adhere to all operating policies and procedures and when working with support personnel, ensure that they have done so as well.
Physical Requirements:
Prolonged periods sitting at a desk and working on a computer.
Must be able to lift up to 15 pounds at times.

Make corrections and additions to ensure accuracy.
* Prepare new account paperwork, as required.
* Analyze anticipated income to insure sufficient cash is maintained to meet beneficiary distributions, banks fees, trust bills, etc.
* Obtain missing documents from clients.
* For Trust accounts, initiate annual administrative review of accounts. Review files for completed forms, codes, review payments and transactions and for accuracy. Review forms to ensure they are consistent with the Trust Document.
* Produce and review various tax reports for clients and intermediaries. Research tax deficiency notices. Pay estimated taxes and allocates tax payments between principal and income, file returns, and maintains tax calendars. Communicate with Tax Vendor and external intermediaries.
* Gather data for account reconciliation, ensuring distribution requirements are met for charitable trusts, computes distribution amounts for uni-trust accounts and reviews fee agreements between the bank, clients, and Co-Fiduciaries.
* Complete discretionary distribution requests. Submit formal requests to the Trust Officer for approval.
* Coordinate set up, tracking, and monitoring of personal property inventory; real estate, mineral, oil and gas, intellectual properties, and special financial assets. (i.e., notes, loans, partnerships, etc.)
* Provide client service by responding and researching client and colleague inquires by phone, email, and written communications.
* Respond to advisors and intermediaries regarding the administration and maintenance of accounts.
* Fields phone calls from clients and intermediaries.
* Review documents and responses to compliance department, audit and OCC inquiries after research is performed by TA.
* Gather information from clients for projects.
* Prepare draft correspondence letters and memos.
* Maintain new account logs.

What We're Looking For

* Review Court Accountings under minimal supervision and upon approval, file with the appropriate Court or Court Referee.
* Review work of Trust Associate assigned to help with account administration for accuracy and bring any issues to manager's attention.
* Monitor trust activity; approve, coordinate and supervise the establishment of the account with the trust company including, coordination and monitoring of transferred assets, correct statement recipients, collecting cost basis information, approving account on system, approving fee schedule set-up, etc.
* Review daily account activity; establish recurring bill payments and client disbursements, keep client and FA apprised of any unusual activity in the account, monitor the yearly gift from the client to insurance trusts for payment of premiums. and revalue charitable trusts on an annual basis to ensure payments are going to the beneficiaries per the trust provisions.

KEY RESPONSIBILITIES
Office Operations

COMPENSATION AND BENEFITS
