Under minimal direct supervision, the Senior Billing Coordinator is responsible for compiling, managing and executing attorney billing.
Responsibilities/Duties
Interface with attorneys, secretaries, clients and staff regarding billing matters
Compile, analyze and process a high volume of attorney bills to clients on a monthly basis
Review and edit pre-bills in response to attorney and secretary requests
Apply retainer/on-account funds as directed by attorney and as per Firm policy
Process write-offs according to Firm guidelines and policy
Execute complex bills, such as multiple discounts by matter, split party billing, and preparation of electronic bills, in a timely matter
Submit invoices electronically, assisting with bill resolution as required
Review billing supporting documentation for accuracy
Research and verify descriptions, amounts, rates, client/matter data and client billing requirements and make appropriate corrections
Create billing schedules and various billing analyses as required
Effectively interact and communicate with attorneys, secretaries and clients providing accurate information and timely responses to inquiry and completion of assignments
Distribute monthly partner reports
Regularly review and update comments for reports distributed to the Finance Committee and Partners
Attend Partner meetings and weekly management meetings to review unbilled matter comments, matter on-accounts, and e-billing issues
Work cooperatively with Collections staff and assist with accounts receivable issues to minimize credit balances
Mentor and train new Billing Coordinators as directed
Assist with special projects as needed
Perform other duties as assigned
Required Skills

The Opportunity
We are seeking an Information Governance Coordinator to join our Firm. This position will be based in our New York office (hybrid). The Information Governance Coordinator coordinates various Firm resources to effectively coordinate and perform information governance functions, including file intake, transfers, data access, records retention, and disposition. This individual will exercise judgement to ensure that business and ethical obligations are being met while effectively and efficiently performing tasks. Reviews outgoing client files complying with the engagement agreement, outside counsel guidelines, and Firm policy.

You will be responsible for the department's readiness and ability to provide high quality and on-time delivery of benefit administration services with optimal customer service. Responsibilities include but are not limited to:
Supervises the partner and retiree Health and Welfare benefits day-to-day operations/administration, manages workflow, projects and long-range planning.
Supervises and manages expectations for Benefits Department staff.
Organizes, assigns, delegates and coordinates work to ensure tasks, duties and department objectives are completed timely and accurately. Works with staff to ensure assignments and projects are running efficiently and meeting the goals of the department.
Oversees the day-to-day delivery of customer service support by ensuring timely and accurate resolutions of partners', retirees', and dependents' inquiries.

Collaborates with other departments and brokers for partner onboarding, withdrawals, and retirements.
Implements the operational components of new benefit offerings and annual enrollment processes.

Oversees the maintenance, integrity, and security of all partner and retiree personal data and ensures that all mandates are met related to data privacy (e.g., HIPAA, ERISA, federal, state and international regulations and laws).
Maintains Benefits Department's procedures; recommends and implements changes and improvements in methods and procedures to higher level management.
Reviews and provides input on all benefits communications including but not limited to Summary Plan Description, open enrollment materials, and other benefits communication materials as needed.
Supports the HRIS team in the design, configuration, testing, and support of Benefits/HRIS initiatives, implementations, enhancements and upgrades.
Provides support to the Benefits Department HRIS team on the review and testing of employee self-service (ESS) during the Firm's annual open enrollment.
Demonstrates effective interpersonal, written and verbal communication skills to facilitate effective work relationships with others.
Participates in the interviewing, selection and training process.
Reviews and evaluates the performance and work of staff; prepares performance evaluations.
Supervises employees' work performance and provides guidance in the resolution of problems.

Develops and communicates departmental guidelines and procedures.

Support the analysis of metrics for our offices, practices, clients and matters.
Collaborate with other groups within Finance (Billing, Pricing, etc.) on analysis of pricing arrangements in RFP process, fee agreement approval review, etc.
Engage in various special projects related to profitability, client analysis, reporting enhancements, and process simplification for the department.
Adhere to Firm policy and procedures, escalating issues when appropriate.
Education
Bachelor's degree required.
Preferred
Degree in Finance or Accounting preferred
Skills and Experience
Minimum of five years of financial analysis experience in legal or related field
Demonstrate flexibility and initiative with respect to handling multiple projects and shifting priorities.
Excellent analytical, problem-solving, and critical-thinking abilities.
Ability to work well independently as well as effectively within a Global team.
Ability to effectively present information verbally and in writing, with ability to influence stakeholders.
Proven ability to work with financial systems, data cubes, and dashboards.
Excellent attention to detail
Strong organizational skills
Proficiency in MS Excel and PowerPoint, with the ability to learn new software and operating systems
Salary Information
NY Only: The estimated base salary range for this position is $120,000 to $145,000 at the time of posting.
The actual salary offered will depend on a variety of factors, including without limitation, the qualifications of the individual applicant for the position, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location in which the applicant lives and/or from which they will be performing the job. This role is exempt meaning it is not overtime pay eligible.

Job Summary & Objectives
The Collections Assistant is responsible for assisting Collections Coordinators with Collection inquiries, invoice copies, supporting reports and related administrative duties, under general supervision.
Essential Job Duties & Responsibilities
Assist with monitoring various incoming email correspondence for timely replies
Assist Collection Coordinators with information gathering, running reports and maintaining matter comments
Assist with maintaining data accuracy within the 3E collections module
Research ebilling statuses, rejections and short pays and collaborate across teams to work towards resolution
Respond to internal inquiries in a timely manner
Support Collection Coordinators with preparation of material for follow-up
Observe confidentiality of client and Firm matters
Provide administrative support as needed, such as providing client invoice copies and pulling invoice information
Assist with special projects as needed
Perform other duties as assigned
Education
High School diploma or GED equivalent required
Preferred
Bachelor's degree from four-year college or university, preferred, or equivalent combination of education and experience
Skills and Experience
Ability to effectively present information verbally and in writing
Basic math skills: add, subtract, multiply, and divide
Ability to utilize computerized accounting and payables software programs, such as CMS and MS Excel
Proficiency in MS Office Suite
