About the Role Charlie Health is looking for a dynamic, passionate individual to support our incredible clients and families throughout treatment as a Care Experience Specialist. This candidate will welcome clients and families into our program post-admission, build rapport, and provide care coordination and customer service to ensure all client needs are met throughout their time in treatment. The Care Experience Specialist will also act as the liaison between clients and other internal Charlie Health teams to provide a primary point of contact and an unparalleled experience for those in our care. Responsibilities Answer inbound calls, emails, and texts and resolving patient and family concerns or requests efficiently and effectively Act as a liaison between patients and internal Charlie Health teams such as, Admissions, Billing, Utilization Review, Outreach and Clinical Support client-related requests from the Clinical Care team to improve the patient's experience Identifying gaps in treatment attendance and reaching out to clients to resolve issues with treatment that may be leading to non-attendance proactively Communicate aftercare resources (i.e. outpatient therapy providers) to families and work with families to schedule appointments post-Charlie Health Managing client schedule, scheduling and rescheduling appointments Complete all documentation in a timely and accurate manner Adapt to organizational change and departmental restructuring to fit the needs of our clients, families, and referral sources Meet determined KPIs including: call answer rates, daily talk time, daily call volume, issue resolution rate, time to resolution, aftercare appointment scheduling rate, and customer satisfaction scores Requirements Upholds Charlie Health's Mission, Vision, and Values and takes great pride in providing clients with exceptional service in order to support their mental health journeys High school diploma or equivalent Minimum 2 years experience working in a customer/patient success or support role Experience working with young adults and adolescents (healthcare setting preferred) 1-2 years of Salesforce experience (or equivalent CRM platform) required 1-2 years of experience using contact center technology Strong ability to multitask and work in a fast-paced environment Demonstrates a high level of emotional intelligence Knowledge of HIPAA policies and procedures Work authorized in the United States and native or bilingual English proficiency Proficiency with cloud-based communication and software (Slack, G-suite, Microsoft Office, Zoom & EMR) Benefits Charlie Health is pleased to offer comprehensive benefits to all full-time, exempt employees. The expected base pay for this role will be between $45,000 and $55,000 per year at the commencement of employment. However, base pay will be determined on an individualized basis and will be impacted by location and years of experience. Manage appointments efficiently by adhering to the scheduled time, ensuring smooth and timely transitions between treatments. Greet clients warmly, escort them to and from treatment rooms, and ensure they feel appreciated and valued at every stage of their visit. Conduct thorough client consultations, obtaining information about contraindications and performing skin evaluations to determine the suitability of various treatments. Advise clients on skincare products and recommend appropriate treatments and home care regimens based on their specific skin concerns and goals. Stay up to date on the latest product knowledge to promote and sell both spa services and retail skincare products effectively. Ensure compliance with all esthetic protocols, including proper chemical usage, cleaning, sanitizing, and maintenance of equipment to uphold clinic safety and hygiene standards. Growth, Performance & Brand Expectations Consistently work toward monthly individual performance targets, which may include service revenue, retail sales, rebooking/retention, and treatment plan conversions. Participate in performance coaching and ongoing development, including KPI reviews and action plans to maintain strong, consistent results. Support client retention through excellent follow-up habits, education, and a results-driven, treatment-plan mindset. Social Media & Community Presence Comfortably and professionally promote Radiant Divine services and skincare education through your own social platforms (e.g., Instagram/TikTok/Facebook) in alignment with brand standards. Contribute to content initiatives such as treatment education, service spotlights, and before/after content only with documented consent and in full compliance with privacy standards. Engage with the local community and help elevate Radiant Divine's visibility through a positive, professional online presence. Training & Full-Service Knowledge Expectations Maintain strong working knowledge of all services offered by the practice, including indications/contraindications, pre- and post-care, and how services complement one another. Attend required trainings and stay current on protocols, products, and device education to support the most up-to-date client experience. Confidently educate clients, answer questions, and guide them toward appropriate treatment pathways aligned with their goals. Required Qualifications Current Ohio Esthetician license (in good standing). 3+ years of hands-on esthetic experience in a medspa, dermatology, plastic surgery, or high-end spa environment. Demonstrated confidence performing advanced skincare services (including results-driven facials and device-based treatments). Strong consultation skills: contraindications, skin analysis, treatment planning, and home-care recommendations. Proven ability to drive retail/service growth with integrity and professionalism. High standards for sanitation, treatment room readiness, and protocol compliance. Professional communication style, reliability, and a client-first mindset.
