Duties/Responsibilities
Office Management
Serve as primary contact for property management and all building-related vendors.
Oversee office and field needs, including ordering, managing, and organizing supplies, coordinating deliveries, and maintaining equipment.
Coordinate facility services such as cleaning, pest control, HVAC maintenance, fire inspections, alarm permits, and security access.
Update and issue key fobs for new employees, and manage access removal when employees separate.
Manage recurring vendor services (e.g., copier, shredding, water delivery) and ensure invoices are sent to the Accounting department.
Maintain current phone extension lists and office directories in coordination with IT.
Answer incoming calls, greet visitors, and route inquiries to the appropriate team members. Receive, sort, and distribute mail and packages, and coordinate outgoing shipments as needed.
Administration Coordination
Set up and maintain project documentation in ProjectSight, including contracts, submittals, RFIs, PCOs, and change orders.
Maintain organized digital and hard-copy filing systems for all project documentation.
Ensure data alignment between ProjectSight and Foundation for budgets and executed documents.
Manage the submission, tracking, and receipt of submittals, RFIs, transmittals, and related logs.
Support project setup, billing, insurance certificates, meeting minutes, and correspondence.
Oversee project closeout, including O&M manuals, warranties, attic stock, and as-built documentation.
Assist with training coordination, attendance tracking.
Manage ProjectSight permissions and collaborate with IT and project partners (e.g., general contractors) to maintain proper system access.
Coordinate with Prefab and Warehouse teams on material deliveries, staging, and logistics.
Required Skills/Abilities
Strong proficiency in Microsoft Excel, Word, and Outlook.
Experience with project management software, preferably ProjectSight.

Work Environment
Primarily office or jobsite-based, with frequent on-site responsibilities for inspections, compliance verification, and trade partner coordination.
Regular exposure to an active construction environment with the requirement to coordinate with field team members and trade partners.
Moderate noise levels in office and/or construction jobsite settings, with variable conditions at project settings.

Restoration Estimators work with owners, adjusters, and Project Managers after traumatic events such as a fire or flood to clean up and repair damage to residential and commercial property. As a RE, you will be on scene after property disasters to accurately scope projects and sign work for our production teams to complete. You will build relationships with insurance professionals and communicate with property owners the expectations to build the structure back to its original form.

MUST HAVE RESTORATION EXPERIENCE
Previous estimating experience (ex. Xactimate) is welcomed if willing to continually learn within industry. Industry certifications, including IICRC and Lead preferred. If limited experience but you meet all qualifications, we will invest in your training.
Role on the Team (Job Functions):
Meet operational objectives of: Sales, Gross Margin, Brand Experience
Track metrics during bi-weekly GS&R such as Net Promoter Score of 60
Clearly communicate expectations with project manager and adjuster, onsite as needed
Profitably scope estimates sign projects to get started
Communicate and document any change orders and insurance supplements
Ensure project completes within profit range and service level argreements are hit
Participate in the on-call rotation, requiring evening and weekend point of contact for any new losses, as determined by the rotating schedule.
