This position will work closely with the education team to develop engaging, educational programs and support the development of interactive exhibits that foster growth and learning in young children.

Position Overview: The Guest Experience Coordinator provides a welcoming and informative experience for all guests. This position supports day-to-day front desk operations, handles corporate volunteer scheduling, completes data entry and reporting, and contributes to the planning and execution of museum special events. The ideal candidate is detail-oriented, enthusiastic, and enjoys working with children, families, and community members. The position operates in a dynamic, visitor-centered environment where teamwork, flexibility, and a passion for Discovery Center's mission are essential.
Schedule is Monday through Friday from 8:30 am - 5:00 pm.
Discovery Center: Discovery Center Museum in Rockford, Illinois is dedicated to hands-on learning in the arts and sciences through more than 300 exciting exhibits spread over two floors and an award winning outdoor Discovery Park. We serve children, parents, and educators from the Rockford region and beyond through both Museum visits and outreach programs.
ESSENTIAL FUNCTIONS include the following. Other duties may be assigned Corporate Volunteer Coordination
* Works with all museum departments to assess museum volunteer needs and service capabilities, and recruits and schedules accordingly
* Maintain communication with volunteers and ensure compliance with museum policies and safety procedures.
Special Event Support
* Communicates with Riverfront Museum Park staff to complete common space request forms
* Maintains the corporate google calendar
* Manage registrations for special member events, first time parent events, etc.
Administrative Tasks
* Answer incoming phone calls and assist visitors using quality customer service
* Order office supplies as needed
* Provide administrative assistance to Executive Director and staff members as needed
* Set up, prepare packets, order lunch, and tear down for BOD & Executive Finance meetings
* Track and record BOD changes
* Order food and assist with set up as requested for staff meetings/events
* Maintain the office kitchen ensuring it is stocked and cleaned
Financial Transactions
* Process credits and refunds, track and oversee gift certificates
* Oversee daily admission deposit processing and maintain checks and balances in place
Carries out other duties as assigned. Knowledge Skills and Abilities
* Excellent communication and interpersonal skills, especially with families and children
* Strong organizational skills and attention to detail
* Proficiency with Microsoft Office Suite and Google Workspace
Work Environment
Must be able to sit and stand for extended periods of time. Must be able to lift and carry items such as reams of paper, office supplies, or copier toner, typically weighing up to 25 pounds. Must have sufficient hand and finger dexterity to operate a computer keyboard, telephone, copier, and other standard office equipment. Close vision required for computer work, document review, and operating office equipment. Must be able to hear and speak clearly for effective telephone and in-person communication. Occasional reaching above shoulder height or below waist level (e.g., accessing supplies).
