About this Position
The Administrative Operations Specialist is a supportive and cooperative team member providing human resources and administrative service to the Department of Wellness - Sponsored Programs (DOWSP) and Student Accessibility Services (SAS) administration, staff, and students. The responsibilities of the Specialist are to assist and coordinate the implementation of personnel related services, such as timekeeping, leave reporting, payroll, position classifications, recruitment, and onboarding of new employees. The Specialist assists in recruitment and new hire processes including, but not limited to, creating/updating position descriptions and posting of vacancies, and preparing letters of offer, all while acting as liaison between the DOWSP team and the Department of Wellness' Assistant Director of Business Operations. Provides Specialized (Programmatic specific) administrative support to DOWSP employees for the successful operation of multiple, diverse grants and contracts serving individuals across the state of Oklahoma. Develops and maintains/updates DOWSP HR procedural handbooks and provides HR & travel training assistance as needed to current and new staff (ex: Banner system - completing and submitting timesheets, leave reports; AIRS system - travel requests, etc.). Processes travel requests and reimbursements using the AIRS system. Initiates and completes travel processes, and assists with all travel arrangements (hotels, airfare, rental cars, conference registrations, etc.) for DOWSP personnel, stakeholders/partners as needed. Proficiently uses OSU systems and forms and effectively communicates relevant Human Resources/personnel information to the DOWSP team. Serves as financial back-up when needed. This entails entering requisitions into OK Corral and processing invoices and change orders for the Accessibility Programs (ABLE Tech) section of the organization. Corresponds with employees, vendors, Purchasing, Fiscal Manager, and Accounting in connection with the OK Corral processes. Creates CVIs for Student Accessibility Services interpreting services. Verifies Pcard purchases of ABLE Tech staff and signing off as accountant for those purchases. Enters all invoices paid, Pcard purchases, as well as CVIs onto the appropriate commitment logs. Will be cross-trained and provide back-up coverage on support processes as necessary. All other duties as assigned.
Required Qualifications
High School/GED (degree must be conferred on or before agreed upon start date)
Five years of progressive administrative experience. Post-secondary education may be substituted for experience (1 year of education: 1 year of experience).
Certifications, Registrations, and/or Licenses:
Completion of Ambassador Program and/or Leadership Development after hire is required (approximately 10 hours per year).
Skills, Proficiencies, and/or Knowledge:
Ability to lift up to 10lbs.
Ability to efficiently handle multiple job assignments, with high levels of productivity, in a rapidly changing environment. Maintains confidences and protects security of operations by keeping information confidential and secure. Good working knowledge of Microsoft Word and Excel. Acquisition of Notary Public after hire is required. Good verbal and written communication skills as well as the ability to work with a team are necessary for this position.

ESSENTIAL FUNCTIONS:
The incumbent should be able to perform the following functions at a pace and level of performance consistent with the job performance requirements.
1. Provides case processing and administrative support to Immigration and Customs Enforcement's (ICE) mission. Processes immigration cases including immigration records management and document preparation. Maintains alien records in accordance with DHS policies and federal data security requirements.
2. Enters case data into ICE systems, ensuring accuracy and compliance with agency protocols and data integrity requirements. Coordinates with ICE to address data quality and integrity issues.
3. Retrieves, compiles, and organizes county, state, and federal court records, conviction documents, and supporting case materials from multiple databases and other governments sources in preparation for ICE review and/or hearing.
4. Assists ICE legal representatives in obtaining criminal history checks and other supporting documentation as needed prior to court.
5. Prepares, reviews, and manages case files, ensuring accuracy and completeness in all documentation. Provides logistical and administrative support to alleviate administrative burdens from law enforcement officers. Ensures all administrative applications are reviewed, A-files are updated, where applicable, and docket officers notified and referred to ICE for appropriate law enforcement action.
6. Assists with docket coordination with Executive Office of Immigration Review (EOIR) and US Citizenship and Immigration Services (USCIS). Coordinates with ICE Officers to facilitate hearing schedules, and adjudications; ensuring all documentation has been filed and/or submitted.
7. Reviews appropriate paperwork for filing an Application for Stay of Deportation/Removal, Order of Supervision (OSUP) or Own Recognizance (OR) reporting, Bond applications or other documentation for completeness and accuracy.
8. Coordinates with ICE officers to facilitate interviews, hearings, removals, and case updates.
9. Maintains up-to-date case status records, court scheduling details, and case tracking logs. Generates case status reports and monitoring dashboards.
10. Tracks compliance with release conditions and reports violations as applicable to designated ICE liaison.
11. Organizes and prepares removal documents and coordinates with ICE personnel for scheduling removal and staging flights. Ensures aliens scheduled for removal have necessary documentation in A-files per ICE instructions. Verifies all documents are completed and inventory prepared and ready on time and day of departure. Ensures case is closed in ICE data systems and file is transferred for storage.
12. Verifies detainees have necessary legal paperwork, appropriate quantity of medications per medical standards, property and valuables before transfer or removal, including retrieving and verifying travel documents.
13. Performs routine duties in accordance with established policies, regulations and procedures to maintain order and provide for the security, care and direct supervision of detainees in the holding areas, during transport and all established locations. Maintains visual observation and conduct regular welfare checks.

QUALIFICATIONS:
* Graduate from an accredited college or university with a Bachelor's degree in Criminal Justice, Social or Behavioral Science, or a related field is required.

The Department of Agricultural Economics at Oklahoma State University invites applications for a 90% extension and 10% teaching position. This position carries the expectations of excellence in extension and teaching commensurate with the land grant mission of Oklahoma State University.
Position description
The Extension State Program Specialist position is a 90 percent Extension and 10 percent teaching staff appointment in the Department of Agricultural Economics. The primary responsibility of this position is to provide leadership and support with farm management, production research, and Cooperative Extension educational efforts within the department. This may include, but is not limited to, planning, implementation, or evaluation of agreed upon assignments within farm management. Aspects of the position's responsibilities may require grantsmanship / securing extramural funds, and the ability to collaborate with other public and private sector entities. The Extension State Program Specialist is expected to work closely with the Area Extension Ag Economics Specialists, as well as with the faculty and Head of the Department of Agricultural Economics at Oklahoma State University.
Major responsibilities include but are not limited to the following:
Extension
Enterprise budgets and other software tools.
Provide leadership with the design, development, promotion, maintenance and evaluation of farm management software tools. Deliver timely annual budget updates for a set of commodity production activities and maintain the corresponding enterprise budget website. Provide other software-based farm management decision tools as stakeholder needs evolve. Provide relevant educational outreach materials with practical applications for extension educators.
Oklahoma Land values.
Sustain a land tract sales database collected from the Farm Credit Associations of Oklahoma or other collaborators with annual updates. Extend a discussion of the results through various media outlets such as SUNUP interviews and webinars. In addition, update the “Oklahoma Land Values” website with current land value information.
Land tenure/custom rates.
Develop and distribute surveys to the Oklahoma public to determine rental rates for agricultural land under share, cash, and other payment arrangements as well as rates for custom agricultural services. Collaborate with USDA/NASS for survey delivery. Compile research results and publish the information via Extension Fact Sheets.
Teaching
Rural land appraisal
. Teaching a course for joint undergraduate / graduate credit specializing in land values and real estate appraisal. Collaboration with the real estate appraisal industry will be important in maintaining the value of the course materials. Knowledge and use of PVPLUS and other valuation software is preferred.
Required Qualifications
The successful candidate must have a Masters of Science degree in agricultural economics, or a closely related discipline.

Skills, Proficiencies, and/or Knowledge:
Provide agricultural budgets, land values and rental rates for agricultural lenders, farm managers, rural appraisers, and agricultural producers. Have knowledge of farmland appraisals and agricultural real estate. Have the ability to teach a Farm Appraisal course.

* Lead the development of condition-based maintenance, using data-driven insights to minimize unnecessary interventions and reduce lifecycle costs.
* Supports Project Engineering, Operations, and Maintenance with the installation and commissioning of new equipment in accordance with company standards.
* Partner with peers to integrate vibration and performance data into predictive maintenance models, RCM strategies, and long-term asset management plans.
* Develop asset health indicators for critical equipment, using advanced analytics to prioritize maintenance and capital replacement decisions.
* Must be comfortable working with remote supervision.
* Travel is required and may occasionally include out-of-town nights and weekend travel.
Education and Experience
* High School diploma or GED is required.
* Associate or Bachelor Degree in Engineering or related Mechanical Field Preferred
* ISO Category 2 Vibration Analyst Required, ISO Category 3 Vibration Analyst Preferred
* Must hold a valid Driver License and have an excellent driving record.
* Minimum of 15 years of experience with reciprocating and rotating machinery repair and/or machinery diagnostics.
* Thorough understanding of the mechanical aspects of gas compression equipment and their support systems.
Skills
* Excellent planning and organizational skills. Must be able to prioritize assignments according to business needs.
* Excellent written and oral communications skills - proven ability to produce clear, concise written reports, and discuss and review, and present technical information.
* Experience with reciprocating engine/motor/compressor condition monitoring systems.
