The job duties for this position include:
Gift Processing & Data Entry
Receive, review, and process gifts including cash, checks, credit cards, ACH, pledges, payroll deductions, matching gifts, and in-kind gifts.
Accurately enter gifts, pledges, and adjustments into the finance and advancement databases in accordance with established policies and IRS regulations.
Ensures gifts are applied correctly to designated funds, appeals, and campaigns in alignment with donor intent.
Process recurring gifts, pledge payments, refunds, and gift reversals as needed.
Prepare deposit documentation and maintain appropriate audit trails.
Reconcile daily gift batches to ensure accuracy, completeness, and proper accounting.
Accounts Payable, Financial Closing, & Reporting
Provide backup support for accounts payable functions, including check processing and vendor documentation.
Assist with the month-end and year-end closing processes.
Support preparation of documentation for audits and financial reporting.
Ensure proper classification and recording of financial transactions in compliance with policies and accounting standards.
Scholarship Fund Compliance & Review
Assist in maintaining accurate records and providing fast and accurate information about the status of the funds to appropriate internal and campus personnel.
Respond to donor inquiries related to gifts, receipts, and fund designations in a professional and timely manner.
Generate timely and accurate gift acknowledgement and tax receipts.
Support donor stewardship initiatives by providing gift data and reports.
Administrative Duties
Maintain accurate, organized, and confidential electronic and paper records as required.
Assist with documentation of procedures and process improvements related to gift processing.
Perform any other duties as assigned.
Job Requirements
Minimum of two (2) years in gift processing, advancement services, accounting, or related field
Bachelor's Degree preferred
Demonstrated exceptional attention to detail with the ability to identify discrepancies, resolve errors, and ensure gifts are accurately recorded and properly accounted for.
Proven ability to manage a high volume of transactions while maintaining accuracy and compliance with established policies and procedures
Experience working with information tracking and projects.
