Job Summary
The onsite Specialist is responsible for coordinating and scheduling arrangements for delivering training programs, events, and workshops, including all logistical support. The person is required to manage and coordinate multiple tasks and detailed activities in a time-intensive work environment.
1. The work timing is 11:30am to 8pm PST
2. Working days will be Monday - Friday
3. There is no WFH. A person is required to be in the office (Seattle, WA)

Job Description
Ensure onsite training event activities are performed as per the “Event Readiness Process/System”
Ensure the Event Facilities are set up correctly and have the necessary equipment
Communicate with instructors and outside vendors in both written and spoken correspondence
Support the facilitators and ensure they have the required access to the facility
Interface with local suppliers
Coordinate and block the instructor's dates & and timing in line with the training and workshop calendars.
Arrange for the training materials, manuals, hand-outs, and other instructional aids (Trainer Package)
Manage the training logistics (training room booking, access, photographer, etc.) and share detailed information with participants and trainers in advance.
Participate in the kick-off of the program, administer the essential program briefings, and calibrate with the speaker and stakeholders.
Monitor completion of training activities - Pre-work, Attendance
Ensure activation of registration link, roster and logistics management on the LMS
Communicate with the internal and external vendors and ready the Purchase Order.
Maintain attendance records and feedback sheets, issuance of certificates, etc.
Calibrate with the offshore team for any changes/updates in the training event/program.
Ensure the smooth running of events as per the Program / Course Metadata in the CRM.
Follow the workflow/communication process on CRM and adhere to the case management process.
Experience and Skills
Experience in a corporate learning environment or performing event coordination services for corporate clients with customer-centricity in mind
Possess a “job permit” to work in a specific geography.
Proficiency in the English language
Must have an outgoing personality and skills in speaking, organizing, listening, leadership, communication, and decision-making.
Proficient in Computer (MS Office, SharePoint, and CRM tools)
Attention to detail and the ability to work easily with others.

Ensures dementia care programs are in compliance with Brookdale Excellence Standards Tool (BEST), Divisional Dementia Care Site visit tool, state, federal, and other regulations and meet Brookdale's mission, policies, procedures and dementia care standards as assigned by the Executive Director.
Collaborates with community leadership educating & providing resources to families and associates regarding Alzheimer's disease and other dementias. This includes how to engage residents and lead programs on an ongoing basis. This includes facilitating and coordinating dementia focused in-services and or events for families or computer based and situation specific training for associates including Understanding Alzheimer's & Dementia Care (UADC), as required by Brookdale.
May provide direct supervision of Clare Bridge Program Assistant/s, as required by Executive Director, which includes assisting with hiring, coaching, and counseling program assistant associate and conducting the documenting corrective action, as needed. Completes job performance evaluations. May act in supervisory capacity in absence of Manager or Executive Director.
Collaborates with community leadership in planning, coordinating, appropriately decorating, and participating in special events including holidays, signature programs, National Walk to End Alzheimer's, family socials, educational and marketing events.
Reports changes in residents' overall health to clinical partner, including changes in behavior; takes actions to address concerns in a timely manner and collaborates with the team in exploring approaches and interventions to address behavioral expressions.
Oversees social media content to ensure alignment with Brookdale's culture, brand, and social media guidance and Brookdale standards.
Plans and schedules programming events outside the community, which may include driving a community motor vehicle.
Maintains and adheres to department monthly budget and expense control and may manage volunteer program.

Physical Demands
While performing the duties of a VAD Coordinator, the employee is required to stand, walk, and assist with loading and unloading materials for extended periods. The role involves using hands and arms to lift, carry, push, pull, and secure freight, as well as to handle straps, pallet jacks, and other equipment. The employee must be able to climb in and out of the truck and trailer, and may need to stoop, kneel, bend, or crouch during loading, unloading, and inspection activities. Effective verbal communication and hearing abilities are required to coordinate with the driver and site personnel. Vision requirements include close, distance, and peripheral vision to safely assist around the vehicle, read labels or paperwork, and navigate warehouse or yard environments.
Work Environment
While performing the duties of a VAD Coordinator, the employee may be exposed to diesel fumes, dust, airborne particles, and varying weather conditions while assisting with loading, unloading, and securing freight. The work environment includes time spent outside the truck at customer sites, warehouses, terminals, and yard areas, as well as brief periods inside the truck cab while accompanying the driver. Noise levels can range from moderate to loud in loading areas, docking locations, or busy yard environments.
