This role may also be tasked with data security incident/breach reporting and coordination, data governance committee (DGC) meeting administration, limited attorney coordination, and other cross-functional business-wide programs. Salary Range $70,000-$80,000 Business Operations Specialist JOB-FLYER.pdf Essential Duties And Responsibilities Within a collaborative team environment, the Business Operations Specialist is responsible for providing support with one or more of the following business-wide programs: Business Program Support (75%) Centralized Contract Administration * Administer and maintain CCRC's contract management system, ensuring accurate tracking of current and historical contracts. * Organize and manage all CCRC agreements (e.g., grants, vendor/software agreements, MOUs, NDAs) in a centralized, searchable repository accessible by relevant staff. * Generate ad hoc or recurring reports to leadership on contract lifecycle status, coordinate with applicable functional or program areas on contract changes. Provide analysis and comparison of updated contract terms & conditions and highlight potential impact or risk to CCRC. Centralized Policy Administration * Develop and implement agency-wide policy administration processes in alignment with CCRC's Policy Management policy. * Create and maintain standardized policy templates that align with CCRC branding. * Assist all CCRC divisions with creating and updating policies using the approved policy template. * Establish and oversee procedures for recurring (i.e., annual) policy reviews by policy owners. Insurance Program Administration * Lead insurance coordination activities for CCRC insurance policy renewals, insurance changes, and coordinate with program leadership for business details. * Act as primary insurance broker coordinator for business related insurance. Plan/schedule annual renewal with Insurance committee. Ensure annual renewal tasks are tracked to meet timely updates and review quotes for renewals. * Manage CCRC vendor insurance validation in coordination with CCRC Purchasing and event activities. Provide regular coordination with CCRC Purchasing and CCRC staff to ensure vendors provide proof of insurance meeting CCRC insurance requirements. Business Continuity / Disaster Recovery (BCDR) Administration * Ensure implementation and regularly update CCRC BCDR program activities. Ensure business continuity plans are completed and reviewed annually (minimum) by all functional areas. * Initiate, plan, and execute recurring BCDR exercises at least quarterly. Oversee post-exercise review and ensure processes are updated after exercise completion. * Ensure BCDR training with leadership is completed annually and provide quarterly (minimum) reminders and training topics to CCRC leadership and staff. Cross-Functional Business Collaboration (25%) Data Governance Committee (DGC) Coordination * Manage scheduling and implementation of recurring DGC meeting. Complete meeting notes with action items and follow-up with assigned action item owners to complete tasks. * Establish processes for pre-meeting agenda and coordinate with non-committee members to attend meetings, provide presentations, etc. depending on agenda topics. Data Security Incident (DSI) Coordination * Lead implementation of DSI activities. Document and oversee efficient data security incident reporting and investigations. * Coordinate with CPCO, CAO, and CCRC leadership on DSI reporting, and ensure all follow-up actions are completed. * Coordinate external legal reviews, insurance actions, and oversee local/state/federal government reporting, when incident is determined to be a data breach. Provide CCRC executive team with updates on the status of investigations and provide detailed notes and action item logs. * Facilitate communication between all CCRC Divisions/Departments as needed Conflict of Interest (COI) Program Coordination * Develop and manage CCRC's COI program. Ensure annual COI disclosures are completed by all new staff and annually for all others. Establish automated procedures for disclosure mitigation actions, follow-up, and completion reporting for CCRC leadership. * Coordinate with People & Culture, Finance, Internal Audit, and program areas at least annually to review and update COI disclosure questions to ensure CCRC policy and funder requirements are met for annual disclosure reporting. Program Education and General Business Assistance * Establish and maintain regular coordination with Division leadership to ensure all responsible programs are efficient, meeting business needs, and process improvements considered. * Establish and lead recurring training and education program to ensure leadership and staff are aware of and have approved access to contract data, insurance documentation, policy update status, and other responsible administrative data repositories. * Define required action items, leading and/or facilitating client/partner/vendor meetings toward the resolution of contract issues and/or disputes. * Minimum Required * Education & Experience: * Associate's Degree in Business Administration, Technology, or a related field and 3 years of relevant experience; or * High School Diploma or GED and at least 5 years of relevant experience; or * Any other combination of equivalent and relevant education and experience that supports the successful performance of the essential job functions. * Relevant Experience must include demonstrated expertise in at least two of the following areas: Contract Administration, Policy Administration, Insurance Program Management, or Business Continuity/Disaster Recovery (BCDR). * Travel: This position requires 5% travel. Will consist of travel to and from CCRC business offices and possible non-local/out of state travel for conferences. Staff may choose any mode of transportation (driving, walking, bicycling, carpooling, etc.) to arrive to and depart from the location where attendance is required. Should a staff member choose to drive, the staff member must become an approved driver with CCRC prior to driving on behalf of CCRC. Approved staff driving on behalf of CCRC may choose to drive a CCRC vehicle or personally owned vehicle and must meet requirements to be an approved driver including holding and maintaining current auto insurance, current California Driver's License and receiving DMV clearance. * Work Schedule: Hybrid, Full time, typically M-F regular business hours. In-office presence is expected for business coordination, project-related needs, or as directed by Division leadership. * Work environment: Office work environment; ambient temperature, moderate noise level, indoors. General Summary: Under general supervision, the Community Navigator provides resources and referrals to assist families experiencing homelessness, within the community college system, and/or from other at-risk populations. The Community Navigator supports families in obtaining access to and navigating childcare services to connecting them with child care resources. The Community Navigator will also provide comprehensive childcare intake services at Family Resource Centers (FRCs), Permanent Supportive Housing units, Homeless Shelters, community colleges, and other community agencies for CalWORKs participants and those categorically eligible through other public assistance programs. The Community Navigator ensures that parents are given appropriate information regarding choosing childcare, referrals to providers, and various family well-being services and resources. Essential Duties and Responsibilities Within a team structure, the Community Navigator will perform the following responsibilities: * Provide enhanced referrals for Stage I by connecting with and traveling to designated community agencies and/ or sites. (20%) * Make referrals to Head Start and other available services, as appropriate. * Navigate families to child care and other resources available (i.e. developmental screenings, parenting classes, workforce development.) * Verify participant eligibility in county CalSAWs system. Enter data for Stage I participants. Complete intake documents for participants requesting referrals and childcare services. Assemble and forward participant documents daily to CCRC. Review and complete assigned contract compliance components. * Assist families with identifying federal or state subsidized quality licensed childcare settings and/or programs. Support families in selecting a "best fit" provider. (15%) * Conduct one-on-one and group presentations to the community regarding child care (i.e., program overview, parental choice and education, types of childcares, and eligibility issues). As a Service Plumbing Project Manager, you will have the opportunity to leverage your expertise to actively seek out, design, coordinate, and oversee commercial plumbing service projects while managing a portfolio of key accounts. This role plays a crucial part in maintaining strong client relationships, retaining existing business, and generating new project opportunities that contribute to the continued growth and success of SVM's plumbing service department. In addition to managing the full lifecycle of service projects, you will help drive strategic account development and deliver solutions that align with our clients' needs. What You Will Do Develop and manage a portfolio of plumbing and piping accounts, specializing in service agreements, repairs, and commercial service projects. Proactively generate new business through prospecting, cold calling, emails, and onsite meetings with prospective clients. Build and manage a sales pipeline, tracking leads, proposals, follow-ups, and contract renewals, and provide regular updates in internal meetings. Conduct regular job walks and inspections to evaluate plumbing and piping systems, gather site information, and recommend repair or project solutions tailored to client needs. Prepare detailed proposals for new and existing clients, customizing scopes of work to meet client needs. Oversee service projects from inception to completion, ensuring alignment with client expectations, budget, and timeline. Manage project budgets, labor forecasting, job costing and material procurement to ensure financial performance and timely completion. Coordinate with project teams and field technicians to discuss job progress, troubleshoot issues, and ensure project milestones are met. Maintain all project documentation, including submittals, RFIs, change orders, purchase orders, and service reports, in an organized and accessible format. Participate in bi-weekly service project meetings to discuss pending and ongoing projects, labor allocation and challenges. Tracks and manage annual contract renewals, engaging with clients prior to expiration for repeat business. Identify and pursue cross-selling opportunities for HVAC services by collaborating with internal partners to deliver comprehensive service offerings. Collaborate with Engineering, Sales, and Operations teams to develop project scopes, ensure permitting and compliance requirements (e.g., Title 24) are met, and deliver seamless service execution. Collaborate with vendors to compile project submittals, procure materials, ensuring accurate pricing, delivery dates, and specifications. Maintain Work in Progress (WIP) reports and present financial updates in monthly accounting meetings. Address customer inquiries and concerns promptly, and accurately, escalating when necessary. Maintain a competitive edge by staying abreast of market trends, emerging technologies, and industry advancements within the assigned region. Provide technical expertise and attend job walks as needed to support internal teams with plumbing-related solutions. Conduct post-project follow-ups to address warranty issues, gather feedback, and identify additional service needs. Create detailed design solutions based upon site surveys, design drawings and in collaboration with sales engineers and senior team members. Collaborate with team members on unique opportunities or service contracts as required. Assist with other duties related to Service Projects as business requires. Education, Skills & Experience 3-5 years' experience as a Plumbing Project Manager, or equivalent 7-10 years of plumbing field management experience required. High school diploma or general education degree (GED; or equivalent combination of education and experience) required. Possesses a valid California's Driver's License and willing to submit to a DMV report a must Proficient in MS Office (Word, Excel, and Outlook), AutoCAD, Revit, and Bluebeam highly preferred. Proven expertise and comprehensive knowledge in plumbing, boiler, water treatment and process piping systems within diverse industries required. Proven experience in managing and installing new plumbing installations from breaking ground to building completion highly preferred. Proven experience in plumbing and/or boiler sales, estimating and system design highly preferred. Ability to identify field conditions and communicate viable retrofit design options to vendor sales engineers and team members required. Proven experience leading and developing small teams required. Proven ability to manage a diverse range of project budgets a must. Highly skilled in building relationships with customers a must.
