What you will do: Duties are as follows, but not limited to: Safeguard and protect the offender's right to privacy by ensuring that only authorized individuals have access to the medical information and that all releases of information are in compliance with state, federal and HIPAA regulations; Manage requests utilizing a wide variety of applications for medical record information from offenders, third party payers and others; Process requests in a timely and efficient manner within established timeline standards, maintaining quality and accuracy; Determine validity of requests for release of confidential health care information; Executes, copies and distributes the release of clinical information from health records; Request clinical information from other agencies; Prepare billing memorandums for medical release services rendered; Explain procedure and legal requirements for release of information to offenders and others including a release of information for continuity of care; Track all released and requested private health information; Schedule outside medical appointments for offenders at all DOC facilities per clinical guidelines; Resolve any scheduling conflicts; and Provide general office support as needed. Qualifications : Applicant must have, at a minimum, a high school diploma and one year of full-time experience with scheduling, data entry, scanning, and maintenance of protected health information. Required Competencies: Excellent interpersonal, multi-tasking and administrative skills; Ability to read and comprehend the English language; Ability to effectively communicate fluently in English both verbally and in writing; Individual must be thorough, detail oriented and have the ability to work independently; Individual must be proficient in HIPAA compliance; Proficient in Microsoft Word and Excel; Basic knowledge of medical terminology; Experience with electronic health records, pdf files, scanners, and computers. In addition to supporting the Division of Healthcare Access, this position will be assigned to the General Counsel to prepare legal documents for various applications including court filings. This would involve researching the type of document and the specific court and their requirements to ensure documents meet these requirements and meet legal deadlines. They will also manage correspondence, prepare reports, and maintain various recordkeeping for the entire department. They will schedule meetings and interviews, coordinate and staff events, create and publish meeting materials, and provide support during events and meetings as needed. This individual will be required to know and utilize purchasing regulations, ensuring that all policies, procedures, and best practices are implemented to best utilizing funds, including research and comparison for items outside of the State purchasing contracts. This position will also manage and maintain data related to assigned duties such as immunization records, reports to the Department Secretary, and legal documents, ensuring accuracy and confidentiality. This includes updating databases, generating reports, and analyzing data to support decision-making processes. The Senior Secretary will serve as a resource for training and guidance to other staff members at all levels, including development of "best practices" and training materials, and offer ongoing support to ensure staff are proficient in their roles. This position must possess the flexibility to prioritize projects and requests to ensure timely completion within changing deadlines.
